1 Assist the ED in:

- Administration and operations of the Home

- Preparation, compilation and submission of documents, reports and statistics to External Agencies e.g. MSF

2 Administration work relating to:

- Home Expansion / Renovation

- Licensing

- Personal Data Protection Act (PDPA)

- Board of Visitors etc

3 Ensure that all statutory reports and returns are submitted correctly and on time.

4 Ensure that the Home’s Board Kit and relevant Policies/Manuals are updated regularly.

5 Liaison person between the Home and Council of Governors and Committees on administrative matters e.g. yearly submission of Declaration of Conflict of Interest forms.

6 Liaison person between Home and External Agencies such as MSF, NCSS e.g. visitation.

7 Partake in the administration of workplace safety (e.g. BizSAFE accreditation) and to ensure staff compliance.

8 Partake in the evaluation of Approved Vendors Lists for review by the respective Committee.

9 Attend and record minutes of meetings e.g. Weekly, Council of Governors, Nomination Committee, Facilities Committee. Where necessary, to chair the Weekly meeting in the absence of the ED.

10 Draft correspondence and reports.

11 Perform any other reasonable duties which may be required by the ED.

1 To manage volunteers in terms of their recruitment, placement, recognition / appreciation and training.

2 To create and maintain a volunteers' database.

3 To coordinate visits to the Home.

4 To orientate and conduct tour of the Home’s facilities and programmes for visitors and volunteers.

5 To attend to the liaison and the handling of gifts to the Home.

6 To be in-charge of publicity of the Home.

7 To identify programme needs of the residents and Day Care clients in collaboration with the respective Professional staff.

8 To plan, organise and coordinate programmes, outings and social-recreational activities for the residents and Day Care clients.

9 To maintain records of programmes, activities and outings etc.

10 To attend and partake in the discussion of Individual Care Plan (ICP) of residents and Day Care clients.

11 To compile and submit periodical reports and statistics.

12 To take minutes of meetings when necessary.

13 To cover the duties of staff in the Social Services Department in their absence.

14 To perform any other reasonable duties that may be required by the Executive Director or Head of Social Services Department.

1. Coordiante the recruitment of staff including advertising, liaison with employment agencies, administration of employment contracts, arrangement for work permits / passess, medical examinaitons, conduct orientation for new employees and exit interview for resignees, administer staff performance appraisal, counselling, discplinary management and handling of grievances.

2. Administer staff benefits such as insurance renewals, medical/dental claims, long service awards, and planning of staff events.

3. Administer the time management system and keeping records of staff training records.

4. Assist in the review of job description, HR procesess and updates SOPs.

5. Identify, develop and initiate staff training and learnig programmes with a view of enhancing staff proficriency and professional in colloboration with the professional and superviory staff.

6. Preparation and submission of periodic manpower reports including liaison with Government agencies such MSF, SG Enable, NCSS, MOM on employment matters and Statistical Returns.

7. Assit in manpower planning, prepartion and review of budget, Annual Report, etc.

8. Assit the Nursing Officers in the welfare and supervision of non-professional workers, i.e. the Healthcare Assistants, including periodic inspection of staff dormitories to ensure cleanliness, hygience compliance with Safety regulations and Home’s rules.

9. Assist in the area of houskeeping such as safe custody & issue of food stuff, groceries, laundry, etc. when necessary.

10. Administrative and secretarial support such as filling, recording minutes of meetings whenever required.

11. Cover the duites of staff who are on leave in the Administraiton Department when neccesary.

12. To perform any other reasonable duites requiered by Executive Director / Finance & HR Manager.

2. Defining treatment objectives for each client and implementing treatment programmes. The definition of “clients” in this context, applies to the residents of the Home, Respite cases and Day Care Clients.

3. To attend and partake in discussion of Individual Care Plan (ICP) of clients, case conferences and meetings.

4. To compile and submit periodic reports and statistics to the Director (Client Services).

5. Documenting clients’ progress, reassessing and refining where applicable.

6. To be responsible for the work performance and skill development of the Therapy Aides.

7. To improve and/or develop the Occupational Therapy activities from time to time.

8. To work with the multi-disciplinary team in the assessment of potential clients.

9. To maintain proper records of inventory and coordinate purchase/maintenance/repair of equipment, assistive devices, wheelchairs etc.

10. To collaborate with Executive (Volunteer Programme Management) on volunteers’ orientation, coordination and training for the Occupational Therapy areas as well as various social activities and on-going programmes for the clients at the Home.

Qualification

Should possess a recognized Degree in Occupational Therapy

Full registration with the Allied Health Professions Council

1 Identify, create/enhance and review activities and programmes for beneficiaries in collaboration with the other Professionals in the Home.

2 Plan, organise, coordinate, supervise and maintain records of programmes, outings and social recreational activities for the Home’s beneficiaries.

3 Attend and partake in discussion of Individual Care Plan (ICP) of beneficiaries.

4 Conduct group activities for beneficiaries including Residential and Day Care clients.

5 Administrator for the Red Feather Boutique (organisation, inventory, and maintain cleanliness) as well as coordinate, regulate and maintain records of handicraft sale.

6 Assist to maintain and update the website of The Singapore Cheshire Home.

As a SCH Corporate Communication Director, you will be responsible for planning, implementing, and evaluating strategies to increase awareness, engagement, and donations for our organization. Supervisory Responsibilities:

· Manages the accounting and finance staff who are responsible for financial reporting, billing, collections, payroll, budget preparation, investment management and fund raising.

· Recruits and hires accounting and financial and HR staff and conduct performance evaluations.

· Coordinates training programmes for new staff and identifies training needs for current staff.

· Manages staff who are responsible for governance, IT and HR.

Duties and Responsibilities:

1 Regularly reviews existing internal controls and guidelines for accounting transactions and budget preparation and puts in place incremental measures as required and in line with best practice.

2 Oversees and provides input into the preparation of regular business activity reports, financial forecasts, and annual budgets (based on a clear understanding of the organisation).

3 Oversees the production of periodic financial reports; ensures that the reported results comply with generally accepted accounting principles or financial reporting standards and requirements.

4 Responsible for reporting and coordinating grant applications with relevant government donors throughout the fiscal year, and files annual required reports.

1. To perform daily laundry duties including washing of residents’ clothing, towels, etc. and distribution of clean laundry to the residents’ room.
2. To ensure the Laundry Room is clean & tidy at all times including sweeping and mopping floor, clean windows and shelves.
3. To ensure that the washing machines/dryers are cleaned and dry when not in use.
4. To report to CNO/NOs or in their absence the E(Facilities) of any malfunctioning of washing machines/dryers, fans, lighting of the Laundry Room etc.
5. To replenish supplies of washing detergents as and when needed.
6. To ensure the cleanliness of the Visitors toilets and replenish toiletries whenever necessary.
7. To coordinate with vendor for collection & delivery of the residents’ linen and be responsible for stock taking of bed sheets/pillowcases in the absence of Kitchen Operations Supervisor.
8. To bathe residents and attend to their personal hygiene, brushing teeth, toilet etc when needed.
9. To help serve breakfast and feed the residents at mealtimes when needed.
10. To perform any other tasks assigned by CNO and NOs.

1. Assume shift or night duties or be on call whenever necessary.

2. Assist in wound management incorporating tracking of wound progress; and assist in assessing, documentation and reporting of wound condition to Nursing Officers in managing wound outcome.

3. Assist in preparing and serving of simple oral medication and topical application with supervision of Nursing Officer.

4. Assist the Nursing Officer in nursing rounds of Honorary Medical Advisor and other Allied Health Professionals (AHP) including Dietitian and Speech Therapist by preparing the required casenotes used for the rounds.

5. Assist in sending and fetching residents for medical appointments when required.

6. Prepare and arrange dressing trolleys and surrounding areas of Treatment Room and Medical Clinic.

7. Autoclave requisite for wound dressing preparation when required.

8. Serve medications prepared by Nursing Officers when on duty.

9. Supervise and assist in the ADLs of residents including serving and feeding of residents including handling the tube feeding of affected residents.

10. Supervise and assist care staff in handling of toileting needs such as bathing, transfer from bed to wheelchair and commode of residents for safety purposes.

11. Assist the Nursing Officers to handle any emergency.

12. Attend to telephone calls where applicable.

13. Assist in recording cash donations and/or donation-in-kind in the record book provided, when the Nursing Officer is not immediately available.

14. Assist in performing of all COVID clearance tests such as ART and PCR as per Home’s schedule. Ensure correct labelling of specimens before dispatch.

15. Assist in updating of case notes including post TCU and other changes in medical conditions.

16. Assist in migration of computer digitalisation when necessary.

17. Perform any other duties as required by the Chief Nursing Officer, Senior/Nursing Officers, Director (Client Services) or the Executive Director.

Duties and Responsibilities of Therapy Aide (Male & Female)

1 To be under the direction of the Physiotherapist and Occupational Therapist for the following:

a) Carry out specific exercises, activities and training for residents & clients on how to:

* Transfer bed to wheelchair,

transfer wheelchair to toilet,

transfer wheelchair to chair.

* Improve on mobility skills inside and outside the centre including sitting and standing balance.

* use equipment such as wheelchair and can opener.

* assist/train in use of computer.

* Perform activities of daily living including dressing, eating, grooming, toileting skills.

* Enhance community living skills such as how to use public transport, budgeting, cooking etc. where required.

b) To take group exercise programs including sporting and games.

c) To supervise residents and clients during hydrotherapy sessions, hydroponics, handicraft and other therapy sessions.

d) To assist in inventory checking of rehab equipments.

e) Any other duties as allocated by Physiotherapist and Occupational Therapist when needed.

2 To be under the direction of the Chief Nursing Officer or Nursing Officers for the following:

a) Help to give out food and feed the residents at mealtimes.

b) Help to bathe residents during a shortage of Healthcare Attendants.

c) Do dressing when required.

d) Attend to the needs of residents on weekends and public holidays.

e) Accompany residents to Outpatient Department and Hospitals when required.

f) Answer and take phone messages.

g) Help serve medicine when required under the direct supervision of the Nursing Officer.

h) Cut the fingernails of residents.

i) Supervise the personal hygiene of residents’ brushing of teeth etc.

j) Any other duties as allocated by Chief Nursing Officer/Nursing Officers when need arises.

ADMINISTRATION

a) To take attendance, temperature, blood pressure etc.

b) To fill out daily report book.

c) Maintain inventory and coordinates maintenance and repair of equipment and assistive devices.

d) To clean and tidy the equipment and department.

e) To have undertaken, training program in First Aid and to administer first aid where required.

f) Where required to assist in transporting residents/clients from one area to another.

g) To have undertaken training in techniques of lifting residents/clients.

h) Typing, filing of reports, therapy schedules and other documentation as instructed by Therapists.
