Purpose of Job:

As the Customer Relations Officer, you will play a supporting role in ensuring the best customer experiences been provided to all our customers, while also maintaining an updated online booking system and database. You will be responsible for understanding the business basics including all price packages & promotions, characteristics of our cleaning specialists as well as customers’ requests, preferences and expectations, in order to support in providing customer-oriented solutions to the needs and wants of our customers.

MAJOR DUTIES AND RESPONSIBILITIES (Essential Functions):

1. Understanding One Heart Cleaning & Our Residential Cleaning Business

· Understand the mission, vision and values of One Heart Cleaning as a social
enterprise, as well as practice them during daily tasks and routines

· Understand and be familiar with all information with regards to:
- Services & solutions available
- Price plans and promotions
- Characteristics & Specialties of all cleaning specialists
- Characteristics & Behaviours of all customers

2. Customer Relations Management via Online Booking System & Phone Calls

· Manage enquiry and bookings from website, online booking system (OBS) &
phone calls.

· Follow up and update customer requests, schedule changes and payments
etc

· Work closely with the sales and operations in providing required information
to customers

· Monitor reminder text/call to customer daily

· Flexible and proactive in proposing and/or counter proposing available
options based on customers’ needs

· Demonstrate professional behaviour when responding to customer
complaints

· Resolve daily situations if any

3. Online Booking System Enhancement and Maintenance

· Be aware of and be able to use all functions of the online booking system

· Be aware of all current enhancements possible for the system

· Regular testing for online booking system for bugs/functional errors etc and
alert both management and system vendor

· Data entry and maintenance

· Prepare new staff on-boarding and off-boarding in system

· Monitor and check accuracy & updates of cleaning specialists’ daily schedules

· Work closely with Finance Team on customer related issue, e.g. payment etc

· Prepare and compile monthly reports using dashboard compilations to
management and relevant departments

· Other related duties as assigned

QUALIFICATIONS & SKILLS

· Diploma or relevant qualifications with equivalent years of experience

· Fresh graduates are welcome to apply

· Relevant planning/scheduling experience in related industry will be an advantage

· A good team player and good communication & customer service skills

· Aptitude in resolving issues with a customer-focused orientation

· Strong troubleshooting and problem-solving skills

· Independent, self-driven and proactive attitude

· Ability to multi-task

· Ability to explain complex technical concepts to non-technical users

· Proficient in English and a second language

· Proficient computer knowledge in Microsoft Office

Responsibilities:

• Marketing activities for both digital & traditional.
• Support with day to day copywriting, editing, design, social media planning/execution duties.

Key Responsibilities:

• Assist with office duties such as filing, scanning, and organizing documents.
• Manage incoming and outgoing correspondence, including emails and phone calls.
• Record & maintain office supplies inventory and place orders when necessary.
• Manage schedules and ensure timely reminders and follow-ups.

Data Entry and Documentation:

• Enter data accurately into databases and spreadsheets.
• Update and maintain digital and physical records.

Service Job Assistance:

• Provide support to ongoing service task, including training course arrangement, customer enquiry, customer service & excellence, etc
• Assist in organizing Service-related materials and documentation.

Qualification & Experience:

• Strong organizational skills, attention to detail.
• Good written and verbal communication skills.
• Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
• Ability to multitask and prioritize tasks
• Strong interpersonal skills and a positive attitude.
• Adapt to new challenges.
• Prior administrative or office experience is a plus, but not required.
• On-site & 5 days work week
• Contract basis 3-6 months with the option to renew

1. Oversee daily operations, plan and schedule manpower based on project or customers’ needs.
2. Ensure periodic schedules have been enforced and followed up accordingly.
3. Coordinate with HOD and customers to ensure quality service delivery (compiling, analyzing, and review of operation plans to improve work procedures and quality service delivery)
4. Ensure cleaning specialists adhere to safety measures when executing cleaning tasks/operations.
5. Recruiting of manpower for projects. This includes job fitting and job matching of candidates.
6. Manage inventory, cleaning equipment and maintenance schedule - allocating equipment and/or technologies and supplies to the project.
7. Monitor working time to ensure that overtimes are completed correctly, meeting payroll requirement.
8. Maintain proper administrative records of all cleaning specialists’ schduele.
9. Assist in resolving existing contract conflicts, and/or report potential risks on contractual changes to the management without delay.
10. Assist in negotiating terms, conditions, and pricing, and ensure they are accurately executed and satisfied.
11. Ensure that budget guidelines set are followed and deviation to these should be communicated with explanations.
12. Completes other duties as assigned by the Director or HOD.

REQUIRED KNOWLEDGE, ABILITY, AND CAPACITY:

1. Nitec & above (in any discipline)
2. IT savvy
3. Possess good customer service skills
4. Demonstrated ability to think strategically and juggle multiple priorities.
5. Excellent verbal and written communication skills and demonstrated success in working on a team.
6. Good team player with effective communication and interpersonal skills
7. Self-motivated, detail-attentive, show a high level of initiative.
8. Experience in cleaning industry would be advantageous
9. Class 3 driving license (optional), physically fit as it requires traveling around from site to site.
