Summary
The General Administrative Assistant is responsible for providing administrative support to the company's management team. This includes providing administrative support to the office manager, as well as providing administrative support to other departments as needed. The ideal candidate will have a strong understanding of administrative procedures and be able to work independently and as part of a team.
Administrative Assistant Job Responsibilities:
· Provides administrative support to ensure efficient operation of office.
· Answers phone calls, schedules meetings and supports visitors.
· Carries out administrative duties such as filing, typing, copying, binding, scanning etc.
· Completes operational requirements by scheduling and assigning administrative projects and expediting work results.
· Prioritize inquiries and requests in close coordination with our Senior Staff, while troubleshooting scheduling conflicts effectively.
· Keeping our Senior Staff well informed of upcoming commitments, following up and making any necessary changes.
· Manage a global calendar in coordination with our top global stakeholders for committee meetings.
· Handle all the business-related issues for, and oversee special projects as assigned by the Senior Staff.
· Solve any issues in real time.
· Build working relationships with key stakeholders and their relevant staff.
· Makes travel arrangements for senior staff such as booking flights, cars, and hotel or restaurant reservations.
· Exhibits polite and professional communication via phone, e-mail, and mail.
· Supports team by performing tasks related to organization and strong communication.
· Develops administrative staff by providing information, educational opportunities, and experiential growth opportunities.
· Ensures operation of equipment by completing preventive maintenance requirements, calling for repairs, maintaining equipment inventories and evaluating new equipment and techniques.
· Provides information by answering questions and requests.
· Planning and managing company events.
· Collaboration with group companies.
· Maintains supplies inventory by checking stock to determine inventory level, anticipating needed supplies, placing and expediting orders for supplies.
· Check and record employee reimbursement.
· Prepare and manage the payments cycle for outsourced vendors and recruitments companies.
· Complete monthly and yearly submissions to the tax authorities (social security, VAT, etc).
· Manage monthly and yearly-end closings.
· Perform HR related duties at the Administrative level and carry out responsibilities in some of following functional areas: new hire, orientation, employment, labour relations, leave administration
Education and Experience Requirements
- Bachelor’s degree or associate degree qualified
- 3 years+ of administrative assistant experience
- Excellent verbal and written communication skills in English and Japanese
- Willing to work from office (MBFC)
- Able to multi-task, self-motivated, meticulous and organized
- Outstanding organizational and time management skills
- Positive attitude with good communication and interpersonal skills
- Good Knowledge of appropriate software including: Microsoft Word, Excel, and Outlook, Microsoft PowerPoint and Adobe Acrobat
- Strong desire to grow or continue your career
- Excellent verbal and written communication skills in English, Japanese - an advantage
- Frequently required to sit, stand and walk
