The core responsibilities of the Administrative Assistant is to provide support to our building management team on the day-to-day administrative and errand duties.

There shall be a completion bonus upon completing the 3 months of service which is above $500, depending on base salary.

Job Scope & Responsibilities – Administrative Executive

• To provide general office and administrative support to the team
• Undertake the tasks of receiving calls and taking of messages
• Handle and attend to tenants' requests and queries appropriately
• To assist the team with administrative task such as processing of Purchase Request/Order, invoice and work order management.
• To handle access card and facial recognition-related enquiries and requests.
• Assist with tracking and monitoring of building-related facilities e.g. security, car park and cleaning etc.
• Other ad-hoc events and work being assigned when needed

Requirements

• GCE "O" Level and above
• At least 3 years of working experience
• Positive attitude and willingness to render help whenever required

We are looking for a dedicated Building Executive / Senior Building Executive to join us in managing one of our commercial buildings at the One-North precinct (Buona Vista).

Ideal candidates shall display an ability to communicate effectively with internal stakeholders, tenants, and contractors, ensuring works are carried out accordingly.

Job Descriptions :

· Daily inspection of the building to ensure that it is in satisfactory and serviceable condition, and where necessary, follow up with rectifications or recommendations to the Management.

· Work functions may include security management, cleaning, landscape, waste management, irrigation system, lifting system, car park system, building defects and repair, etc. and overseeing the fire & safety matters

· Control and manage the use of common amenities and facilities in the Building.

· Ensure building components are serviced regularly by term contractors according to schedule and scope of work.

· Conduct regular inspections to ensure that the building is in good condition, e.g. cleanliness, car park and signages etc.

· Follow up with rectifications and make recommendations to the Management. Coordinate with the M&E team on the required testing or inspection to be carried out during the unit's fit-out and reinstatement work.

· Act as Company’s Emergency Response Team (CERT) member for the development

· Budget Control and Preparation for Operations and Capital Expenditures

· Conduct regular inspections of the fire protection facilities and systems and ensure that the systems are satisfactory and serviceable. When necessary, follow up with rectifications or recommendations for rectifications to the Management.

· Liaise with the public, tenants and relevant authorities on the required implementation of improvement Works

· Assist in contract administration and procurement of goods and services, manage and maintain proper records, files of correspondence, documents and materials about Building and Contractors

· Creating and maintaining good rapport with tenants and attending to their feedback and attending to emergencies when the need arises after office hours

Requirements

· Recognized Diploma in Building Management & Services, or equivalent

· Good interpersonal and communication skills, both written and spoken

· Customer service-oriented with a positive attitude

· Good team player and able to work independently

· Relevant experience in commercial properties, including carrying out routine inspections, following up on tenants’ complaints, arranging of repair and maintenance work

We are looking for a dedicated Manager with great leadership skills. The individual should be knowledgeable and experienced in managing commercial buildings.

Ideal candidates will display an ability to comprehend complex systems, identify the sources of any problems that arise, and decide on which actions to take to fix them.

• Lead a team of experienced Building Executives in managing the building operations and facilities, including outsourcing services e.g. cleaners, security, concierge etc.
• Manage, supervise and check on the quality of work delivered by the team and vendors. Ensure that the routine maintenance works and services are carried out satisfactorily and adequately.
• Conduct regular inspections to ensure that the building is in good condition, e.g. cleanliness, car park and signages etc. Follow up with rectifications and make recommendations.
• Prepare budget planning, management reports, contracts review, vendor performance evaluation and monitoring the general building repairs and defect works.
• Work closely with the M&E team to manage the building’s facilities and equipment.
• Prepare, call, evaluate, and administer quotations and tenders for preventive & corrective maintenance, repairs & replacement works, services and supplies, and advise on selecting suitable vendors specialists and award such quotations and tenders.
• Participate in the building’s Green Mark upgrading standards and requirements, and update the building’s policies and compliance regularly.
• Conduct regular inspections of the fire protection facilities and systems and ensure that the systems are satisfactory and serviceable.
• Conduct and lead the fire evacuation drills and tabletop exercises in compliance with SCDF’s regulations, including fire inspections by the Singapore Civil Defence Force (SCDF).
• Budget Control and Preparation for Operations and Capital Expenditures
• Liaise with all relevant authorities on the Building, apply and obtain all necessary licenses and certificates. Manage and maintain proper records, files, correspondence and documents.
• Attend to any other duties as and when required by the Management.

Requirements

• Recognised degree in Building Management, or equivalent
• At least 5 years of working experience in a similar capacity
• Strong leadership, good interpersonal and communication skills
• Customer service oriented with a positive attitude
• Good team player and able to work independently

The Company provides the selected staff with a good gross salary package with shift and phone allowance. Staff will also be entitled to variable bonus and medical and dental benefits.

This role requires staff to work shifts, six days a week. High Gross Salary.

Job description and requirements are as follows :

• Hands-on perform routine/periodic inspections, monitoring and checks on a variety of building services/facilities, follow up with the submission of checklist/report/defects list to the Manager and carry out necessary rectification works;
• To perform Installations, troubleshooting, preventive & corrective maintenance work on air-conditioning, mechanical ventilation systems and electrical systems – power & lighting, fire protection systems, building management systems, plumbing & sanitary systems;
• Attend to breakdowns, complaints/feedback, and tenant service calls on building services/facilities, perform relevant repair works and follow up with the submission of relevant service/maintenance reports to the Manager;
• Inspect, supervise and check on contractors and ensure that all maintenance, repair and replacement works and services undertaken by them are carried out properly and satisfactorily in accordance with the designated work scope and specifications;
• Supervise works carried out by contractors to ensure compliance with a method statement, risk assessment and workplace safety.
• Hands-on and able to carry out handyman and breakdown maintenance works (e.g. electrical, sanitary, plumbing, minor repairs etc.)
• To certify the completion of jobs undertaken by contractors.
• Check and keep stock of inventory and submit requests for purchases.
• Recommend improvements, cost savings measures, inventory control, etc.
• Attend to any other duties as and when required by the Manager

Requirements:

• Candidate must possess at least a Professional Certificate/NiTEC in Electrical and/or Mechanical or equivalent.
• at least 3 years of experience in building servicing
• Weekly rotating shift duties (3 shifts) - 7am to 4pm, 2pm to 11pm, 1030pm to 730am
• 6 days work week
