Manages a solid team by driving all the Accounting operations within the company, responsible for Reporting, Payable, Taxation, Capital Expenditure, Control and Compliance to accounting policies, Process Improvement and assisting the Accounting Manager / Controller with the company’s financial affairs.

KEY RESPONSIBILITIES:

Finance & Operations:

• Manage the day to day Accounting operations including A/R, A/P, Treasury, Revenue Recognition, working closely with the Accounting and Operational teams to review processes, implement best practices and improve productivity.
• Manage the Capital Expenditure process, including obtaining approval of acquisitions and disposals, maintaining the Fixed Asset Register, and completion of the Annual Inventory certification.
• Complete all GL reconciliations, including Proof of Cash, Fixed Assets and other schedules for monthly P&L submission.
• Contribute to the preparation of the internal monthly accounts (Profit & Loss, Balance Sheet, Cashflows, and Analysis).
• Assist in information submission to statutory authorities for Payroll, GST, Corporation Tax and Statistic Dept.
• Contribute to the preparation of statutory financial information and tax computations.
• Provide required information/documentation for Internal Control Evaluations and Internal/External Audits.
• Support the Accounting Manager / Controller with miscellaneous projects and tasks.

People:

• Continually provide coaching and training to the team members
• Identify, develop, and mentor a No. 2
• Conduct timely 1:1 review and yearly employee performance evaluation.
• Ensure all staff and positions have job descriptions, clear expectations and are working with structured development plans
• Support in recruiting, hiring, provide input to find new potential candidates for the accounting department
• Meet company standards of 52 hours training per year
• Review department goals and personal plans periodically with staff to ensure buy-in and accountability
• Assist new hires with mandatory training completion within the first 6 months

To support the Branch in complying in Customs and any other government agencies’ regulations

Job Descriptions:

1. Declare all different types of shipping permits.
2. Applying Ordinary and Preferential Certification of Origin. (COO & PCO)
3. Coordinate with the respective departments on supporting documentation as required. Ensuring all documents are in accordance and timeline to provide approved customs entry declarations with help of pre-customs entry, checklist, Asia Customs SOP and pre-alert database.
4. Attend to customs enquiries and secure the permit approval.
5. To monitor and ensure all Cargo Manifest Declarations reports are submitted timely to Singapore Customs for both Import and Export permits transactions.
6. Creating file and preparing billing invoice. To ensure data accurate and timely billing to customers.
7. Generating essential customers’ or other reports as required.
8. Updating Asia Customs SOP with customers’ requirements and expectations.
9. Adhering compliance to Expeditors policy and expectations.
10. Maintain Branch procedure on customs entry declarations.
11. Key Performance Indicators are met within customers’ requirements and fulfillment Singapore Customs / Competent Authorities rules and regulations.
12. Performing internal audit for customs filling.

Working Hours : (Shift Work required)

5 days work week with 1 off day and 1 rest day (Sunday) within a calendar week

Roster 1 - 8:30 am – 6:00 pm ( 1 hour lunch break ) for 4 days

8:30 am – 5:30 pm ( 1 hour lunch break ) for 1 day

Roster 2 - 12:00 pm – 21:30 pm ( 1 hour dinner break ) for 4 days

12:30 pm – 21:30 pm ( 1 hour dinner break ) for 4 day

Roster 3 - 2:00 pm – 11:30 pm ( 1 hour dinner break ) for 4 days

4 years of freight forwarding working experience may substitute the lack of educational qualifications

Job Purpose:

To plan and facilitate Expeditors in/outbound LCL transshipment consolidation program for economies of scale, control, and security.

1. Work closely with Team Lead to support strategic planning and initiatives to meet department goals.
2. Promote Singapore LCL Gateway with a goal of maximizing profit and volume growth.
3. To work closely with Singapore and Overseas Expeditors offices to plan and execute our LCL via Singapore Gateway timely and efficiently.
4. Process consolidation through Expeditors system which require data entry, and as per outlined in the operations SOP.
5. Manage the overall gateway operations per KPIs outlined in Operational Performance Standards (OPS)
6. Timely consol Billing and Settlement for revenue recognition
7. Manage Order Management (OM) bookings as described in SOP
8. Promote process improvement to develop an efficient and effective team
9. Take up additional tasks as required to meet department’s needs.

Scope of Position:

• Is responsible for ensuring that exports comply with customs regulations and law and meeting Expeditors expectations and requirements as outlined in Operations Performance Standards (OPS). Also work with Singapore Customs and control agencies and shippers to ensure documentation is complete to facilitate customs export declarations, Preferential Certificate of Origin (PCO) and Certificate of Origin (CO).
• To provide exceptional customer service to both internal & external customers for timely freight booking and updating of key milestones for origin handling shipments.

Major Duties and Responsibilities:

• Interact with our customers in processing their origin handling services for their ocean export shipments by following procedure set by the company in OPS, and meeting customer’s expectations.
• Preparation & Updating of Internal/Customer SOP to ensure all customers’ requirements are in place.
• Ensure accurate and timely client and vendors billing for timely revenue recognition.
• Ensure permit(s) are approved prior to export from Singapore.
• Meet KPI standards in accordance with the Company’s procedures.
• Timely responses to emails and other form of communications within 24h hours
• Escalation of problems to Management when necessary
• Pass customs competency test and able to file for customs entry
• Comply with Singapore Customs / Competent Authorities rules and regulations imposed as well as adhering compliance to Expeditors policy and expectations
• Prepare and submit reports timely as required
• Take up additional tasks as required to meet the Department’s needs.

Qualifications, Experience and Education Requirements

• Minimum tertiary educational level
• Minimum 1-year related experience and/or training; or equivalent combination of education and experience.
• Understanding of ocean documentation process is a plus.

Provide operational support and process export documentation (billing invoices, reports and airway bill) accurately and promptly to achieve OPS objective and meet airlines departure
and helping branch in complying with Customs and any other government agencies’ regulations.

• Process export documentation accurately and timely for customers and meet Customers/OPS requirements and Airlines flight departure cut-off.
• Ensure all documentations (billing invoices, reports, AWBs, etc.) are complete, scan in e.doc, properly indicated and accompany with shipments.
• Check that all shipments checklists are completed, scanned, filed, and attached with the shipments as per IATA rules and regulations.
• To meet all Pharmaceutical & Healthcare requirement as per GDP/GDPMDS regulations and directives as required.
• Complete DAYEND closing report at end of the day.
• Review shipment events data and shipment manifests are update timely and accurately to meet Operational Performance Audit objective.
• Ensure all shipments pre-alert documentations are send to customers and destination offices promptly.
• Co-ordinate with Airlines terminal and warehouse vendor staff for any shipment dispute, discrepancy etc.
• Communicate with customer service team on any issues pertaining to rates, destination, and shipping instruction errors.
• Provide 24 hrs service to include after office hours, holidays, and weekends for Urgent/Aircraft on Ground (AOG) shipments arrangements.
• Required to perform shift work and rostered duties.
• Declare all different types of AOG customers shipping permits compliance with customs rules and regulations.
• Take up additional tasks as required meeting department’s needs.
