Job Overview:
Setup and maintenance of the Electronic Document Management System (EDMS) in accordance with client specifications; Writing the processes and overseeing the control and delivery of project documentation generated by project team and suppliers; and Ensuring all client, project and supplier documentation is processed, tracked, reported, expedited and archived as per the project specifications.
Key Tasks and Responsibilities:
Translate project requirements into functions provided by the EDMS.
Implement and maintain EDMS on project.
Communicate complex document management solutions and concepts to project team.
Review and develop plans to comply with document management sections of the project contract and requirements.
Write and distribute document management procedures in adherence with project requirements and update as necessary throughout project execution.
Plan and coordinate the day-to-day document management activities and quality checking processes.
Oversee process to onboard new users and provide training in EDMS and project procedures.
Liaise with suppliers to promote, explain and ensure compliance with document management requirements and assist as required to support timely delivery of documentation.
Assign project document numbers in conjunction with client, project team and suppliers.
Create and maintain document distribution matrix in conjunction with function leads.
Manage project document control team work-hour budgets and resources.
Supervise, train, mentor and provide direction to document control team.
Provide instruction on new technologies and/or system enhancements to document control and project teams.
Participate in project documentation audits.
Provide feedback to project management concerning training and implementation strategies.
Responsible for providing document management lessons learned from project execution.
Make recommendations for work improvement processes to information manager.
Prepare document management work hour and budget estimates for bids and proposals as required.
Qualifications for Internal Candidates
Essential Qualifications and Education:
Minimum 10 years’ Document Control experience in Oil and Gas Industry.
Appropriate qualifications to a degree level.
Previous experience in supervisory role mandatory.
Previous experience with iDocs EDMS prefeStrong analytical and problem-solving skills.
Excellent oral and written communication skills.
Effective interpersonal skills with a positive, customer service-oriented attitude.
Ability to work overtime and/or hours outside of the normal work periods.
A good working knowledge of quality systems, including ISO9001.
Able to work with a multicultural globally dispersed team across time zones.
Proven record of delivering results on complex projects.

Knowledge of class library requirements based on ISO-15926 or CFIHOS guidelines.
Good understanding of subsea engineering practices and project execution concepts.
