To provide extensive admin and clerical support to the Information Governance department

The post-holder will also be contributing to the Information Governance compliance for all Trust projects and service developments.

To assist in the training of Information Governance Mandatory training.

The post holder will be responsible for the planning and completion of compliance audits across the Trust

Will be responsible for the production of information leaflets for staff and patients using various Microsoft Office programs.

To be responsible for entering information onto the Information Governance Log for all IG queries.

Create and maintain accurate records relating to Information Governance Mandatory Training and producing reports

To highlight areas of concern re Information Governance

To take, transcribe formal minutes at Information Governance meetings and events

To data input, text processing and store information including being responsible for the creation of the IG Monthly newsletter, message of Day and IG resources.

Work as a member of the team and work using their own initiative within a busy office environment.

To assist with the production of policies, procedures as direct

To priorities own workload and can resolve any conflicting deadlines and schedules independently.

To liaise with Learning & Development Department to book suitable classroom sessions, meeting venues and equipment.

To manage own workload and to work independently with minimal supervision

To travel to different sites in the East Lancashire footprint as service requires

To follow policies in own role and have good understanding of the IG policies and may have to comment or advise other staff accordingly

to process good knowledge of Microsoft Office Programs and excellent keyboard skills

We’re seeking an Administrative Assistant to provide leadership and organization support to senior leaders within NVIDIA’s Information Technology organization. What you’ll be doing:

• Provide dedicated administrative support to multiple senior leaders and assist the extended team as needed in a full time, in-office capacity. 

• Manage and maintain multiple calendars efficiently and confidentially.

• Act as the administrative liaison between leaders and external partners; welcome and escort guests on behalf of the IT leadership team.

• Plan, organize, and schedule department meetings, including off-sites, celebrations, and team-building events, managing all logistics and within budget.

• Coordinate all travel arrangements and itineraries, negotiating the best rates with vendors and travel agents.

• Manage and reconcile expense reports and purchase requisition submissions.

The base salary range is 68,000 USD - 149,500 USD. We are looking for a motivated individual to take up the position of the Administrative Assistant within the Information and Communication Technology team based at King Street, Kirkwall.

The successful candidate will provide all aspects of administrative support as required and will work closely with the Operational Support Manager and ICT Services Manager to ensure a high level of business support is provided.

You will already have experience of working as an effective team member within an Administration team, have excellent administration and computer skills, ideally using Microsoft Office applications. You will need to be able to work under pressure to strict deadlines, use your own initiative, maintain confidentiality and be able to work unsupervised. We are looking for a good communicator and with excellent organisational skills as you will be part of a team liaising with a wide range of customers.

Duties will include telephone answering and reception duties; provide quotes; order goods; accurate record keeping; administer meetings and process invoices.
SVQ2 or equivalent level 5 SCQF qualification in a business or administration subject or where the essential qualification is not held, a minimum of two years' recent experience of working in an administrative role is required.

You should be able to travel efficiently and effectively between various work locations within Orkney to meet the operational requirements of the Service.
