The Information Networking Institute (INI) at Carnegie Mellon University (CMU) educates and develops engineers through technical, interdisciplinary master’s degree programs in information networking, security and mobile and IoT engineering that incorporate business and policy perspectives.
Carnegie Mellon University is searching for an administrative coordinator to join their team. This is an exciting opportunity for someone who thrives in an interesting and challenging work environment. You will contribute to the department by providing administrative support to all functional areas of the INI, and other such tasks as assigned to you.
Your core responsibilities will include:
Providing support by reconciling PRC reports, troubleshooting sales tax exemption issues, preparing expense reimbursement requests for all INI staff and faculty, and working with the INI Business Operations to resolve any ER audit findings and other related issues.
Processing service contracts, including requests for contract review and approval, and contract addendums contracts renewals.
Making travel arrangements (e.g. airfare, ground transportation, hotel reservations, etc.) for faculty, staff and visitors, as needed throughout the year.
Assisting with planning INI events including assisting with agenda development, ordering supplies and equipment, working with vendors to ensure that administrative processes are followed, working with FMS for event setup and clean- up.
Providing meeting support including scheduling meetings and information sessions, facilitating agenda and briefing development, coordinating room reservation and technical support, taking notes, etc.
Assisting with INI building-related issues including working with FMS and external contractors to prepare work orders and trouble-shoot issues, maintaining building signage and key inventory as necessary.
Managing the INI Winthrop Street administrative desk and entrance and provide front desk coverage as needed.
Other duties as assigned.
