A fantastic opportunity has arisen for a Programme Administration Assistant (maternity cover) to work within Liverpool School of Tropical Medicine’s Registry team, within the Department of Education.
Working as part of a team, you will provide high quality administrative support to staff and students across several LSTM programmes. This includes supporting Programme Directors in the administration and management of programmes, issuing advice and guidance to students, providing secretarial support to committees and administering a range of both internal and statutory processes/procedures related to programme administration and students.
Key responsibilities will include, but are not limited to:
Provide basic advice and guidance to Programme Directors, academic staff and students on LSTM programmes.
Use the Student Information System (SIS) effectively and proactively to manage programmes and students, ensuring that central records are appropriately maintained.
Support the production of timetables, book teaching space and ensure that timetables are communicated to staff and students.
Support assessment and examination procedures including assessment development, assessment verification, resit assessments, distribution of mark sheets, invigilation, checking moderation procedures and input of marks to the SIS.
Take responsibility for the administration of external lecturers and external examiners
Issue standard scheduled communications to students on key events such as induction, registration, assessments, meetings and graduation.
Using specified procedures, monitor student attendance and engagement on programmes and report up issues when they occur.
The ideal candidate will demonstrate:
A minimum of 5 GCSE’s at Grade C or above (or equivalent) including English Language and Maths
Knowledge and evidence of understanding of the importance of education quality management systems
Relevant administrative experience
Strong interpersonal skills, with ability to communicate and build good working relationships with academic and professional services colleagues and students
Strong IT Skills, including word processing, spreadsheets, databases and use of e-mail and the internet
Capacity to manage own time effectively and deliver outputs consistent with expected standards in terms of productivity and quality
Well-developed organisational skills with the ability to prioritise own workload
Able to draw on knowledge and experience to provide information and advice in which staff and students can have complete confidence
Able to take clear, concise and accurate minutes of meetings
Able to work calmly under pressure, and adapt readily to changing circumstances
Able to set up and maintain efficient systems for record-keeping and managing workflow for quality-related systems and processes
Appropriate regard for confidentiality and security
