Brief overview of the role

Euromonitor International is looking for an experienced HR Office Manager with ideally HR experience for our Sydney office. You will be highly organized, approachable, self-motivated with excellent attention to detail. You’ll need excellent communication and interpersonal skills, as the ability to build relationships with multiple stakeholders globally will be the key to your success.

Key Responsibilities

HR & Payroll

• Ensuring the HR Database accurately reflects current staff conditions and details. This
• includes inputting starters and leavers, contractual amendments, change of details, annual
• leave and recording of sicknesses and other leave.
• Ensuring electronic and paper-based personnel files are maintained and filing/archiving is completed in a timely manner.
• Ensuring all payroll instructions are prepared and logged in time for the monthly payroll
• run and submitted, for example; contractual variations, new starters,
• leavers, contractual benefits and staff benefits.
• Be the primary contact for queries on the HR related queries.
• To provide an effective Human Resources administration service relating to the employment
• lifecycle (on-boarding and induction, appraisal and staff development, and leaver administration).
• Providing day to day advice to Line Managers and Employees on general HR related queries, requests and policies and procedures, escalating more complex issues to the HR Director, APAC
• Assisting in formal meetings, such as employee disciplinaries and grievances undertaking such tasks as may be required by the HR Director, APAC.
• Assist with the creation and/or review of positions including advising on employment conditions, job design and position description development.

 

Office Management

• Review of corporate secretarial compliance function including ASIC annual statements, address changes, registrations and deregistration, incorporating companies/new entity set-ups
• Building and facilities management (Liaise with vendors on maintenance and service agreement renewals) – cleaners, soft phone system, lighting, aircon, indoor plants, pest control, fire alarm, printers.
• Office supplies administration - Business cards, locker and door keys, fruit, cleaning supplies and stationery.
• Ownership of all Health & Safety matters, including appropriate provision of fire wardens and first aiders.
• Coordinating with IT on all office equipment and ensure smooth running of IT systems
• Managing the office floor plan and ensuring staff workstations are set up correctly to minimize risk of injury.
• Organizing office events and gatherings (as required).
• Managing all incoming and outgoing post and deliveries.

• Permanent Part time role. 3 days work week (Tues to Thurs), 22.5 hours
• Proven experience of min 3-5 years as an Office Manager/ HR Manager
• Experience in either HR Management and office administration are highly desirable
• Proficiency across the Microsoft Office suite (Word, PowerPoint, Outlook, Excel, Teams)
• Strong interpersonal skills with a dynamic, vibrant and collaborative style with the ability to manage multiple stakeholders. A positive and friendly nature coupled with the ability to be assertive when necessary.
• Must have exceptional attention to detail, strong organizational and time management skills with a proven ability to juggle multiple tasks and work autonomously to meet deadlines.

The HR Manager in Employee & Labor Relations is pivotal in maintaining a harmonious and productive workplace in Jakarta, Indonesia. The specialist will also manage relationships with employees, unions (if applicable), and government labor agencies, ensuring that employee rights are upheld and organizational goals are met.

Key Responsibilities:

• Labor Law Compliance:
  • Stay updated with Indonesian labor laws and regulations.
  • Advise HR and management on labor law requirements to ensure all company practices and policies are compliant.
  • Collaborate with legal counsel on labor-related matters.
• Dispute Resolution:
  • Manage and resolve complex employee relations issues, including investigations and disciplinary matters.
  • Act as a mediator in employee disputes and grievances, ensuring fair and consistent enforcement of policies and procedures.
• Union Relations (if applicable):
  • Serve as the primary point of contact for union representatives.
  • Lead or participate in negotiations for collective bargaining agreements.
  • Address union-related concerns and ensure the company abides by union contracts.
• Training and Development:
  • Design and deliver training sessions for managers and employees on employee relations best practices, Indonesian labor law updates, and other relevant topics.
• Policy Development and Implementation:
  • Collaborate with HR leadership in the development and revision of HR policies and procedures.
  • Ensure all policies and procedures align with local labor laws and promote a positive work environment.
• Data Analysis and Reporting:
  • Monitor and report on key metrics related to employee relations, such as grievance frequencies, dispute resolutions, and labor law compliance issues.
  • Use data to provide insights and recommendations for improving employee relations strategies.
• Stakeholder Engagement:
  • Foster strong relationships with government labor agencies, legal counsel, and other external partners.
  • Work closely with HR teams and company management to drive employee engagement and satisfaction.

• Bachelor’s degree in Human Resources, Law, Business Administration, or related field.

• Minimum of 4-6 years of experience in an employee and labor relations role.
• In-depth knowledge of Indonesian labor laws and regulations.
• Experience in union negotiation and understanding of collective bargaining processes, if applicable.
• Strong conflict resolution and mediation skills.
• Excellent communication and interpersonal abilities.
• Proficiency in HRIS systems and Microsoft Office Suite.
