The Real Estate Manager - Lease Administration will support the FBI related projects to include but not limited to lease and real estate management, portfolio analytics, space management, and facilities management of a large and complex facility portfolio.

Track payables and receivables associated with the leases in portfolio. Process client rent rolls utilizing the database. Prepare export files and sends to accounting for payables processing.
Prepare invoices for subtenants, reconciles subtenant accounts, reviews incoming invoices for errors/accuracy with lease document and ensures correct coding.
Perform annual operating expense reconciliations, monitor audit windows and audit requirements contained in the lease documents.
Assist manager with preparation and distribution of periodic and ad hoc reports in a timely, accurate manner.
Run standard reports for management review and runs ad hoc reports with assistance. Assist with the design of reports utilizing a variety of software tools.
Prepare and distribute critical date reports; maintain tickler system for tracking important dates and tasks.
Create and maintain client lease files ensuring they contain current, accurate information.

What Will I Be Doing?
Here are just a few things you can expect to do daily:
Manage and maintain overall facility management services to ensure maintenance of the facilities and grounds, and provision of associated services, is executed in a manner consistent with the Client’s and Firm’s standard processes and professional brand image and compliant with applicable local laws, rules and regulations.
The Facility Manager will manage the activities of the C&W Services personnel, HVAC, maintenance, janitorial contractors. This individual must exhibit exceptional customer service and communication skills and ensure that facility maintenance services are being provided in a proper and cost-effective manner. This individual should have the ability to establish trusting relationships, and effectively manage multiple external and internal needs for the client and firm.
PRIMARY DUTIES AND RESPONSIBILITIES:
Responsible for the leadership, direction, and performance of all assigned site maintenance and services activities.
Supervise C&W Services technical staff on all work and can provide hands-on assistance as necessary.
Direct and schedule vendors who may include electrical, mechanical, plumbing, janitorial, etc. Direct 3rd party and Agency activities and ensure compliance with contractual obligations
Oversight of all processes ensuring conformance to federal, provincial, and local regulations, and conformance with company and customer policies
Ensure Safety First and is a significant consideration in all activities including customer relations, policy implementation / enforcement, budget preparation and cost control
Manage and lead quality control, maintenance process development and compliance, and other account administrative functions as necessary
Must always demonstrate good judgment when making decisions affecting the company’s business
Ensure that all work performed under his/her supervision is done in a timely and cost-effective manner according to the applicable codes
Effectively communicate in person, and electronically to relay complex information to all parties
Develop and effectively manage site budget
Produce monthly financial and operational reports and additional reports as requested
Coordinate in building budget forecasts and make recommendations based on spending trends
Ensure that EHS procedures are being implemented and issues are being resolved through the direction of both the Client’s and Firm’s EHS representatives
Assist with the development and execution of the account’s strategic plans
Respond to customer satisfaction surveys requiring follow-up, and develop and execute corrective action plans as required
Build and manage relationships with the Site Leadership and Business Unit managers to ensure their needs are met
Interact with customer and client personnel to determine and meet customer/client expectations
Coordinate activities to ensure effective and efficient performance in all activities to minimize disruption and impact to building occupants
Assist in the development of long-range planning in support of the Client’s goals and objectives
Maintain positive customer relations by being flexible to meet the needs and demands of a constantly changing work environment
Complete and oversee other duties as directed
QUALIFICATIONS:
Education: Bachelor’s degree in Facilities Management or related field, such as Engineering, Architecture or Business or commensurate experience or similar experience preferred, not required
Experience: a minimum of five (5) years of experience in Facilities Management / Facilities Services of a corporate industrial environment
Must be technically competent and can perform technical work or provide assistance as necessary on electrical, mechanical, and/or plumbing systems
Extensive background in planning / scheduling and budgeting
Computer Skills: Demonstrated proficiency in creating and working with documents in Microsoft Outlook, Word, Excel, and PowerPoint
Experience with Building Control Systems and CMMS tools (SAP preferred, but will train if previous CMMS experience on another system)
Excellent verbal and written communication skills is essential
Ability to multi-task and effectively organize responsibilities to achieve account goals and objectives
Must pass back ground check and drug screen.

Key Role:
