Job Summary

This role supports key regional GPS platform-focused initiatives, projects, and programs, ensuring an excellent employee experience and delivering measurable value/ROI to the business.  The Digital HR Analyst is a change agent, ensuring that system solutions drive the adoption of HR processes.  Additionally, the position utilizes standard methodology in employee data management to resolve requests and help achieve overall business objectives.  This position will participate in requirements definition, analysis, testing, deployment, and documentation of business functions and processes, as well as consult on strategic plans and work to optimize the use of Digital HR platforms (Workday, ServiceNow, and Cornerstone OnDemand).

Responsibilities

• Executes and supports global and regional medium-priority, medium-impact projects relating to Workday, HRSM-ServiceNow, Learning & Development (CSOD), and other Global People Services technologies.

• Supports the development and oversees the execution of global and regional governance and operational processes (change request process, support models, integrations, system configuration requests, COE-engagement strategies, etc.).

• Assures the definition of a standard client engagement methodology to enhance and expand the Digital HR portfolio/services is achieved and maintained.

• Ensure employee records in core HR systems align with current standards. Perform routine checks, validation, and audits to ensure the integrity of the data in the systems is 100% compliant and accurate based on what has been provided or submitted through system workflows. 

• Maintain data in Digital HR systems ensuring information is available on a timely basis by performing group data updates (mass loading), exports, imports, clean-ups, and research/report on any data discrepancies. Monitor data integrity that flows to downstream systems; research issues for the root cause; and engage the necessary resources to resolve them.

  • Help support data quality initiatives by maintaining data integrity in systems using queries, reports, dashboards, and data analysis. 

• Participate in the identification and implementation of process improvements to ensure accurate employee data is maintained in the Digital HR systems and personnel files according to state and federal laws and company records retention guidelines. 

  • Actively utilizes PDCA methodology to identify value add services and operational enhancements.

• Create/ update/ maintain documentation requiring the application of specialized knowledge of the assigned function. 

• Supervisory Accountabilities: Supervises contract staff (onsite/offshore) to monitor workload and provide direction on running the business support needs and project execution. Coaches and provides guidance, training, and staff development to other team members. Additionally, the role participates in interviews for contract/offshore staff.

• Experience with Workday or similar systems (HCM, Talent/Performance, Recruiting, Time Tracking/Absence, etc.), HRSM-ServiceNow, & LMS applications. Background in an application, database or front-end web development is a plus. A strong understanding of data structure concepts is desirable.

• PeopleSoft & SAP system skills are desirable.

• Advanced-level knowledge of Microsoft Office Suite and other PC applications required.

• Business-focused project management experience is required to support large-scale, regional/global business projects and change management initiatives.

YOUR MAIN DUTIES: 

1- Recruitment Support (30%)

• Download and upload resumes
• Publish and remove job ads
• Perform data entry into relevant system, documentation and filing
• Schedule job interviews and contact candidates as needed
• Assist with career fairs and community involvement initiatives 

2- HR Administration (30%)

• Maintain and update physical and digital personnel records, internal HR database by inputting new employee contact information and employment details
• Assist with new hire pre-employment duties and onboarding
• Assist payroll process by providing relevant employee information (e.g. leaves of absence, sick days and work schedules)
• Support for expat paperwork related to WP/RC and visa processes 

3- Office Support (40%)

• Ensure the hygiene of the office by working closely with cleaning service providers
• Provide general logistics and departmental support across departments
• Liaise with external partners, vendors to source and compare quotations, purchase office supplies for the best combination of quality, price and delivery of materials
• Support to coordinate with local authorities, foreign diplomatic organizations and agencies for all tasks related to Vietnam entity 
• Update fixed-asset reports
• Assist with all company engagement activities and events as well as coordinate annual employee service awards

The Team Member Experience Analyst – Human Resources is responsible for managing various HR processes, providing support and guidance on delivering truly Human Experiences during the Team Member (TM) lifecycle, impacting touch points including, Onboarding, engagement as well as Industrial Relations, compliance, and administration of Human Resources operational activities. The ideal candidate will have a strong understanding of HR principles, excellent communication skills, people-centric with the ability to work effectively in a dynamic and fast-paced environment.

What will I be doing?
As the Team Member Experience Analyst – Human Resources, you will be responsible for performing the following tasks to the highest standards:

• Provide innovative, practical, and impactful human resources solutions that support the overall mission and core values of the company.
• Implement and execute HR guidelines, procedures, and standard documents that support the TM journey from onboarding to leaving Hilton.
• Compile HR data and metrics and create HR dashboards containing relevant automated data for easy analysis and comparison.
• Manage the onboarding of new employees and support the relocation process where required.
• Build strong brand affiliation by facilitating the implementation of new TM orientation and training.
• Prepare and administer, payroll preparation, benefit programs administration and communication, and TM relations activities.
• Design, document and implement procedures to streamline HR processes.
• In charge of work pass processes for foreign employees
• Educate and support TM's adoption of company policies and HR practices.
• Manage TM surveys and exit interviews.
• Maintain and update TM employment records.
• Gather and disburse government labor statistics, new employment regulations, and labor laws.
• Contribute to systems updates and participate in HR system projects in support of the overall HR strategy.
• Organize events and activities to promote a positive workplace culture.
• Contribute to the development of HR strategies aligned with organizational goals.

• Partner with HR team members, leaders, and stakeholders across Western Digital to develop a deep understanding of current and emerging HR use cases and challenges, identify priorities for research and execute impactful research projects
• Design, build and deploy the analytical/ BI reports like People Insights & Collaboration using enterprise-level tools and technologies.
• Connect and analyze multiple sources of organizational data to provide actionable insights on HR strategies
• Responsible for analyzing and visualizing the various domain-specific data.
• Provide subject matter expertise and advice on People analytics topics and data collection

• Demonstrate ethics and judgement when dealing with confidential data and research with underrepresented communities
• Stay current on research and best practices, summarizing findings and recommendations for enhancing current processes and practices

• Strong command over French language to read, write, speak
• Deliver first line support for all HR queries across the spectrum of the employee lifecycle from new hires to employees leaving the business for key HR processes and applications related to global HR Shared services
• Support local HR Generalist group with ad-hoc requests
• Individual should have high energy with the ability to organize/prioritize workload.
• Respond to queries received through HRSS Mailbox and calls
• Analyze HR transactions and own data integrity of all transactions by adhering to work guidelines and processes to ensure compliant transactions are maintained
• Collect and process electronic and manual employee data into the Oracle systems
• Deliver timely and accurate services, ensuring that timelines are met per schedule and requests are addressed promptly
• Provide superior customer service daily to both external and internal customers
