Job Description

To be able to coordinate the schedule, budget, issues, and risks of the project. Ensure the project management framework is well- organized and run smoothly. This includes communicating with team members to make sure everyone is on the same page.

Job Responsibilities:

• Effectively performs the day-to-day coordination of activities within the project team members and ensure that all tasks are complete as planned.

• Attends all project related meetings to capture RAID (Risk, Actions, Issues and Decisions) items and prepare minutes of meetings.

• Takes responsibility for ensuring that the RAID Log is constantly updated.

• Reviews the RAID Log with Project Manager to ensure proper management of all outstanding items.

• Monitoring project progress and creating project status reports for project managers.

• Ensures that the Change Request Log is constantly updated and discussed with the Project Manager to properly manage exceptions against approved project scope, timelines and budget.

• Assists the Project Manager in managing the project portal to ensure all project assets are uploaded in the portal.

• Assists the Project Manager in preparing presentation decks for meetings (e.g. Steering Committee Meetings, Stream Leads Meeting, etc.).

• Prepares / assists the Project Manager in creating and maintaining the project timeline in Microsoft Project.

• Reviews timesheets for proper project charging and submits to Project Manager for review and approval.

• Prepares schedules of what needs to be completed by what date, as well as of team meetings and coordinating the same with other members.

• Compiles and maintains interim project reports and minutes of meetings.

• Communicates relevant information to all team members, such as change in schedule dates, changes in the project's requirements, unexpected hitches etc.

• Performs other On-site work assignments and other duties as required.

• Consults with experts in specialist functional and technical areas; translate specialist knowledge on specialist areas of translation. This would require conducting meetings/interviews and capturing the intent of the document.

• Prepares project proposals, training materials, or online documentation and help systems for assigned projects.

Qualifications:

• Bachelor’s degree in business is required

• At least 2-4 years of relevant experience in an IT Industry or equivalent

• Knowledgeable in ERP Project Delivery, Microsoft Project, Microsoft Office

• Experience in Project Management Office (PMO) is desired.

• Excellent verbal and written communications skills.

Responsibilities:

• Manage project activities and project administration tasks such as disseminating information, monitoring milestones.
• Prepare documents and completion certificates, etc.
• Prepare and oversee project meetings, manage projects from inception to deployment, including defining requirements, scheduling, budgeting, and planning.

Responsibilities:

We have an opportunity for a Project Controls Coordinator to support a large infrastructure programme based in Plymouth.

You will ensure that the projects within the portfolio and programme remain within their approved time and cost envelope, ensuring that the programme remains aligned to strategy and affordability. The work you do will give you exposure to senior stakeholders, project teams and customers and you will be part of an ambitious team.

Some of your Responsibilities

• Support Project Delivery teams and Project Managers to deliver high quality monthly reporting to a consistent standard.

• Develop process and tools to ensure consistent capture and reporting of information required for control.

• Develop and implement the drumbeat for the monthly controls cycle ensuring it is aligned to the Programme Managers requirements.

• Provide guidance to project delivery around adherence to best practice and programme level controls requirement.

• Generation and presentation of reports for senior management.

Your Skills and Experience will be:

• Experience of project, programme, or portfolio controls.

• Collation of controls data and analysis of trends.

• Communicating data in a way that reaches its target audience by using appropriate applications.

• Proficient use of Microsoft Applications such as Excel, Word and PowerPoint and Power BI.

• Ability to prioritise workload, being flexible and adaptable.

Job Description

• Report directly to the Operations Manager and his duly authorized officers.
• To carry out job inspections and prepare the detailed job report as per inspected for submission to client.

Position Offered

This is a temporary project-based position, Project Coordinator (LE4), for three months (extendable depending on the project requirements) to onboard a new Contacts and Events system for the Australian High Commission.

The Australian High Commission Singapore is looking for someone to manage the migration of contacts data from a range of sources onto a new Salesforce based contacts and events system.

The position will be responsible for migrating data to the new system and consolidating the database, learning how to use it (training and support will be provided), then in turn sharing, training and documenting this for other key users across the High Commission.

Job Description

• Cleanse, update and migrate data from the existing contact lists into the new system.
• Work closely with the Australia team regarding the migration and functionality of the new system.
• Work with internal stakeholders at post to identify business needs and use of the new system.
• Become a master user of the system, with the ability to maintain, add and remove contacts and create invitations and events.
• Undertake the role of a trainer and system.
• Create SOPs on the regular system maintenance.
• Any ad-hoc duties as per assigned

Requirements

• Strong IT skills with demonstrated ability in Microsoft Office, particularly in Outlook, Word and Excel (Vlookup & Pivot Table), and data manipulation.
• Is detail-oriented and able to handle a range of inputs and large database.

• Represents SMU ExD at local events and in the community to enhance employer relations.

• Assists Dato Kho Hui Meng Career Centre (DKHMCC), Overseas Centre Jakarta (OCJ), and employers in posting jobs, coordinating campus interviews and other promotions on internships, to assisting in businesss in-house learning and development needs.
• Utilizes office software to keep notes of student advising appointments and walk-ins.
• Organize and/or participate in outreach activities that may include developing communications and training, planning/promoting events and/or conferences. Attends off-campus meetings and events as required.
• Independently implement, administer and evaluate day-to-day activities of the unit, function or program by identifying and executing tasks and objectives, making recommendations that impact policies and programs, and assigning resources to achieve the goals of the program.
• Cultivate, coordinate, and manage internships and relationships with the federal government, other partner organisations, the external SMU community, and university liaisons.
• Track and monitor student internship applications and security clearances across an array of government agencies, Singapore, Jakarta and other offices in the public and private sector.
• Advise students on a range of experiential learning components of program, including but not limited to, internship preparation and placement process, internship goals and outcomes.
• Organising the resume writing / mock interview workshops, admin brief, pre-departure brief, pre-trip courses and etc.
• Analyze and develop report requirements, portals, and student communications.
• Engage in critical analysis of student and program concerns to resolve issues which may span multiple areas, using advanced technical and professional knowledge.
• Collect and analyze data, create reports, review and explain trends; formulate and evaluate alternative solutions and/or recommendations to achieve the goals of the program or function.
• Arrange and coordinate flight bookings, visa applications, residences and other onsite supports.

QUALIFICATIONS

• Bachelors degree in related field, along with two to three years of relevant experience.
• More than 5 years substantial programme or project management experience or equivalent combination of education and work experience, preferably in hospitality, events or higher education.
• Excellent team working skills with a flexible can-do approach, self-motivation, resilience and a willingness to adapt to the changing needs and priorities in Executive Development and across SMU.
• A systematic, thorough, and highly-organised approach to work with the ability to work in tight deadlines.
