Our Home Delivery Driver/Customer Service Assistants have a varied role which includes the picking and packing of orders, before delivering to the customer’s door in our branded cars & vans – all while providing the excellent customer service Scotmid is known for.

Our home delivery service runs from 9am to 9pm, Sunday to Saturday, so we have a range of hours available to suit your home life. A real team player, when not picking, packing or out delivering an order, you will play a key part in the wider store team, supporting your instore colleagues in a variety of tasks.

You will need to have full UK driving licence, with at least one year’s driving experience, and no more than 6 points on your licence. Due to Scottish licensing laws you will also need to be 18 years of age or over.

Training will be provided, along with a vehicle and all other necessary equipment, but experience in a sales or retail environment would be an advantage, as would previous knowledge of food safety practices.

Job Purpose:  

This position will enable the individual to play a key role within the Sales Operations Team.  the incumbent will be the point-of-contact for Direct Sales, Internal Sales, Finance, Compliance, and other cross-functional departments, and serve as an internal business partner to Sales. This position will cover primarily sales Success operations functions to support the regional business, including quotation and sales order processing for products & services

Responsibilities:

• Develop an in-depth knowledge of the Company's core business model and processes, acquire an understanding of IT product attributes and vendor requirements in order to successfully place accurate quotations and sales orders.
• Be knowledgeable on business initiatives, key processes and guidelines, internal resources and vendor requirements in order to assist Sales in accomplishing company goals
• Serve as an important business partner and point-of-contact for the Sales function and coordinate as needed with Direct Sales, Inside Sales, Pre-Sales, Finance, Compliance, Procurement
• Cultivate relationships with sales management teams and delivery partners/suppliers to drive demand for products or services
• Embody a customer success mindset by communicating successfully with partners, suppliers, vendors, to drive customer satisfaction and positive outcomes for Sales overall
• Follow guidelines to ensure that business is conducted with utmost compliance and integrity at all times and that behavior is aligned with the Company's values
• Maintain integrity of information in the Company's systems including up to date and complete information in SAP (data management, etc.) and the Company's Sales Quotation tool.
• End-to-end involvement in the opportunity from quote to cash (support to AM/BDM), and perform reporting functions on an ongoing and timely basis, including but not limited to quotation generation, sales order generation, outbound documentation, follow-ups with internal Finance/Credit and Compliance depts. and customers: 
  • Quoting of hardware, software and services including Deal Registration where eligible
  • Process orders received from customer and/or Sales in SAP and the Company's Sales Quotation tool (e.g., Q2O).
  • Review and validate Sales order request details submitted by Sales, ensuring information tallies with necessary supporting documents.
  • Responsible for providing operations-related information and handling operations-related inquiries from vendors and/or customers where applicable, (e.g. ETA, other confirmation, etc.)
  • Be the first level “gate keeper” to ensure full compliance to stated guidelines, per operating manuals and any other required practice
  • Follow through to ensure fast turnaround of Sales order requests to meet business requirement and SLA, including obtaining necessary approvals.
  • Rectify and amend Sales order details in System as may be required from time to time, per guidelines.
  • Follow through with order close-off and Sales order backlogs in the system regularly.
• Process high volume of Sales orders while maintain high levels of accuracy and efficiency.
• Be flexible and available to support business needs at various times.
• Overall, meet and exceed predefined service level agreements (SLA) and individual KPIs.

Knowledge, Skills and Experience:

• Minimum 2-3 years of relevant working experience, ideally in IT multinational environment
• Business-focused with a sales-oriented and customer-success-driven mindset
• Track record of Sales/Procurement Operations, including but not limited to SAP and the Company's Sales Quotation tool (e.g., Q2O)) experience, is an added advantage
• Have good communication skills in English
• Proven ability to work independently and effectively in an office-based environment.
• Ability to multitask, work under pressure to meet deadlines, and handle long hours during month-end closing period
• Sensitive to business needs, at the same time ensuring high quality output and full compliance
• Willingness to acquire new skills/ product knowledge

JOB DESCRIPTION:

JOB SUMMARY

Reporting to Customer Service Manager, this individual will support daily activities relating to order receiving – order entry, invoicing , customer feedback, and working closely with other functions to address and resolves issues.

Also, monitor outsource team performance and support training if required.

In addition, as part of  order entry automation , will play important role of EDI expansion and analysis.

Major Responsibilities

General:

Customer Service

• Own order process, collaborate with outsourcing team, and carry out stable order processing.

• Coordinate with other departments and manage product control, shipping restrictions, backorder support, etc. related to order processing.

• Accepting inquiries regarding orders from customers (Dealers)

• Examining the efficiency of the order process for Capital products

• Work closing with sales and marketing teams, regulatory, global planning, and local supply chain team striving to provide and accurate demand signal

• Proposal and implementation of order processing efficiency improvements in collaboration with other departments

• Support for smooth operation of product phase-out and phase-in

• Drive action on the short UBD, inactive Inventory, phase-in/phase-out, communicating with business partners to minimize the negative cost impact

• Resolve customer’s complaints to customer satisfaction and proactively seek to identify root cause to prevent reoccurrence.

SAP Master and System control

• Maintain Master of supply chain related SAP

• Organizing SAP system requirements(ITDR), making requests, and conducting tests.

• Determine and maintain EDI parameters in  EDI order convert system.

Compliance with audit rules

• Complying with Abbott Policies

• Follow compliance and Medical Device requirements (Regulatory Affair)

• Providing materials and explaining work content during Sox audits and other audits(Including Abbott policy）

Reporting

• Utilize reporting tools (BO, BW, Power BI, Data Mart and SAP)

Continuous Improvement

• Initiate continuous improvement for driving improvement of work quality, efficiency and accuracy in customer service

• Provide trainings to team members to enhance quality of work

Minimum Requirements

Education:

• Bachelor’s degree or equivalent

Background:

• 1-5 years of working experience in similar roles

Language:

• Business level English /Japanese communication skills required. (e.g. TOEIC 700+)

Preferred Requirement

• Proficient or experienced user in the following IT environments: SAP CRM, ECC and GTS, Business Objects, Business Warehouse ,MS Excel & Access.

• Additional system knowledge welcome/ e.g. VBA macros, power BI
