Service management support

Support the Group service managers in managing various sections of service including arrangement of outpatient clinics and theatre lists.

Problem-solve all day-to-day management issues organising and reallocating work where situations change due to variations to the workload and staffing availability.

Ensure effective processes and procedures are in place to monitor and track performance against agreed targets within the service.

Exercise delegated authority on behalf of the service managers to resolve day-to-day management issues within the services.

Support the analysis of data so clinicians and service management colleagues have access to timely and accurate information on key performance indicators.

To produce and publish the theatre schedule six weeks in advance taking into consideration consultant leave, annualisation commitments and waiting list demand.

Assisting the Service Managers, Waiting List Team and Theatres team in ensuring that all available theatre capacity is utilised effectively.

To prepare for and attend the weekly Theatre Utilisation meeting, record actions agreed at these meetings and track progress, liaising with staff as necessary to ensure actions are being carried out within agreed timeframes.

Liaising with relevant teams to create additional capacity to manage clinical workload, e.g. Obs and Gynae operating time.

Monitor clinic utilisation and work with service manager and outpatient teams to ensure capacity is meeting demand.

Support service managers in the review of patient waiting lists to meet internal reporting requirements.

Plan and organise the medical secretary service within the Group, setting the goals of the secretarial service in order to fit in with the demands of the consultants’ timetables and act as a first point of contact for day to day issues, including annual leave requests.

To provide service performance monitoring information in response to requests from

Clinicians and Managers for both regular and ad-hoc reports, utilising the tools in use for analysis and presentation.

To support the service managers in the production of documents required for internal reporting forums, to attend such forums and develop and maintain action logs on behalf of the service.

To support the provision of reports to both Group 9 and Trust meetings/ Executive boards as required.

Ensure the maintenance of accurate logs of activities undertaken by medical staff attracting additional pay elements.

Human Resources, vacancy control and staffing management

Develop rotas in conjunction with Group Service Managers and maintain leave trackers to ensure up-to-date records are held in a central area to be accessible to all staff that require the information.

Ensure early escalation of potential significant staff shortages to the relevant Surgical

Service Manager and to jointly develop appropriate action plans to rectify problems, including proposing changes in processes and procedures.

Ensure that all leave and sickness is appropriately recorded and applied for according to due process. Monitor allocations and provide forward notice to staff with regards to managing their leave entitlement.

Carry out return to work interviews for straightforward absences, and support clinical supervisors by providing information and case tracking for more complex absences.

To develop new and maintain existing processes for medical staffing within the

Group, including leave requests and locum claims, ensuring they are tailored to specific needs.

To highlight and escalate where due process is not followed and to gain authorisation for exceptions from either the respective/ appropriate Service or General Manager.

To ensure the careful control and management of expenditure on agency medical staff in the Group, by assisting the Medical Workforce recruitment officer in the timely recruitment to vacancies and careful management of agency staff to minimise the hours utilised.

To work alongside the Service Managers to ensure rota gaps are identified and filled in a timely manner to support theatre utilisation and acute rotas.

Be responsible for the reporting of the expenditure on agency medical staff, ensuring with Group Service Managers, that this is within budget and that use of internal locums and bank are maximised to cover gaps wherever possible.



Application of knowledge

Responsibilities

Reporting to the General Manager, and is responsible for the delivery of residential care for all residents within the home directly managing the group of Care Supervisors.

We are seeking a highly efficient and knowledgeable Home Services Manager to join a team based in Bracknell. This is a full-time, temporary role covering sickness until October with possibility for extension. The Home Services Manager will play a pivotal role in owning and managing the customer relationship, providing mixed tenure landlord services within a designated patch, ensuring that excellent tenancy management services are maintained. Please note a Basic DBS is required for this role
Requirements

• Previous experience within a similar role in Tenancy/Leasehold Management
• Experience working in a customer facing role delivering excellent customer service
• Familiarity with legal framework around tenancy and leasehold management is a plus
• Excellent verbal and written communication skills
• Ability to multitask, prioritize workload, and meet deadlines
• Good administrative skills and knowledge of Outlook, Excel, Word. Ability to analyse and present information in a clear method
• Full enhanced DBS required

Role Expectations

• Taking ownership of assigned patch, promptly addressing customer concerns, and managing expectations
• General tenancy and leasehold management, including letting empty homes, maximizing income and managing arrears, setting service charges, resolving anti-social behavior and managing casework, ensuring gas and fire safety in customers' homes, effectively carrying out repairs, and undertaking estate inspections and implementing agreed actions
• Serve as a point of contact for customers, investigating complaints and resolving issues in a timely and professional manner
• Maintain accurate and up-to-date records of property-related information, including tenancy agreements, maintenance requests, tenancy renewals, and correspondence
• Driving continuous service improvements and managing change effectively
• Driving improvement in key performance indicators including customer satisfaction, letting vacancies, property inspections, and income collection
• Liaise with contractors and maintenance personnel to ensure that all properties meet a high standard
• Build relationships and work collaboratively with internal and external Stakeholders
• Keep up to date with current legislation and regulations related to property management

We are looking for a dynamic Project Manager to join our delivery function. The post holder will support the design, implementation and management of a complex and politically important two-year commission with Sport England.

This is a change programme which aims to embed physical activity as a norm for prevention within the NHS, working with both senior decision makers and frontline workers in the healthcare and physical activity sectors.

The programme objectives are to:
• Align internal NHS England programmes with other national agencies
• Envision the future role of Physical Activity in delivering NHS priorities
• Strategically position Physical Activity within the development of Integrated Care Systems
• Support local systems and places in the delivery of physical activity for health improvement.

A key element of the programme is the convening and development of a national network of organisations working to connect physical activity and healthcare. The project manager will play a core role in developing the maturity of this network to help members contribute to the overall goals of Sport England’sUniting the Movementstrategy.

High-cost area allowance will apply to this role where there is a service requirement to routinely work from the London base and/or to be available to work within the local operational area (a minimum of 40% of contracted hours)

Stakeholder Engagement

Communication is vital. You'll regularly connect with both internal and external stakeholders, building and nurturing relationships with project partners and members of our national network. You'll lead meetings and discussions, facilitating collaboration and the exchange of knowledge to drive the NHS and Sport England’s missions forward. We do lots of our stakeholder management online, so you’ll be frequently setting up and managing large MS Teams meetings and utilising functions such as breakout rooms, and getting creative with interactive on line tools such as Mentimeter, Mural and Canva.

Network Convening

Manage and support the leadership of the National Physical Activity and Healthcare community of practice which brings together organisations from across physical activity and healthcare. You'll organise meetings and workshops to encourage collaboration and knowledge sharing. You will need to remain agile to support the evolving needs of the network.

Project & Event Management

Each day, your role involves coordinating, planning, and scheduling various projects and events from start to finish. You'll keep a close eye on project progress, milestones, and deadlines, ensuring everything is on track and addressing any challenges that may arise. Flexibility is key, as you might need to adjust project plans to meet changing requirements as the day unfolds. You will be the key event organiser for our collaborative work, whether they are hosted in person or online.

Strategic Planning

Present the complex physical activity and healthcare landscape in “plain English” standards to a range of audiences. This will include checking documents and contribute to the writing of policies, procedure, workflow documents, reports or project plans on national physical activity and health policy and strategy.

Research and Analysis

Part of your daily routine involves researching industry trends and best practices related to physical activity and healthcare. You'll analyse data and information to inform your decision-making, helping shape our work.

Support for other NHS Horizons Programmes

Collaboration is key in this role. You'll work across our team and support the delivery of multiple projects. Your expertise in project management will support organisational objectives and ensure cross-fertilisation of your learning in the physical activity space.

Main accountabilities

- Ensuring that the required engineering standards and authorised practices are employed across their teams.

What you’ll need to do the job


- An experienced Aircraft Engineer
- A minimum of 10-years’ experience in either a Civil or Military aviation environment
- Knowledge of MAA, CAA & EASA Part 145 Regulations/Approvals
- Hold or have the ability to hold Level G/H Engineering Authorisations
- Be or have the ability to hold an A1/A2 NVQ Assessor to Level 3 standard in aeronautical engineering.
- Understanding of all Civil and Military Airworthiness Safety Regulations
- Proven leadership and management skills, able to enthuse, inspire and engage.
- Creative thinking, able to develop business improvement ideas and innovate.
