Job Description:

• Responsible for the general administration functions.
• Managing correspondences with internal/external stakeholder
• Responsible in warehouse management.
• Responsible in office maintenance, office equipment and office furniture.
• Responsible to liaise with supplier/vendor/contractor for quotation or office repair maintenance, repair office equipment, furniture etc.
• Insurance and road tax renewal and updating.
• To support others administration staff in their daily job when necessary.
• To ensure all Admin activity process with more systematic and efficiency.
• To work closely with other team members in order to meet the management targets.
  Ensure the confidentiality, integrity and availability of the Company’s information assets is protected

 

Requirement: 

• Possess at least a Diploma in Human Resource Management, Business Administration, Office Management or equivalent from a recognized university.
• One or more years of exposure in clerical support experience and duties will be an added advantage.
• Proficient in Microsoft Excel, Power Point and Outlook
• Possess Driving/Motorcycle license.
• Hardworking and focused

Duties:
Bookkeeping
Managing all accounts payables and accounts receivables.
The immediate processing of all invoices, deposits, receipts as well as entering all expenses.
Reconciling all invoices and payments against each job.
Handling all aspects of payroll including weekly pays and timesheets.
Weekly monitoring of the overall business P&L.
Managing all tax, superannuation, and long service leave.
Preparing and lodging quarterly BAS whilst liaising with an external business accountant.
Administering debtors, payments, credit card reconciliations, and highlighting any concerns requiring escalation.
Generating financial reports as well as preparing all relevant analytics for the owner as part of regular business updates.
Managing online banking.
Other bookkeeping duties as required (role may grow over time)
Administration
Organising customer paperwork from first point of contact (pre installation) through to job completion (post installation).

In terms of general administration, the role will also require:

Answering incoming calls and directing them to our Sales Manager or Owner.
Overseeing every facet of our employees' lifecycle, from contract initiation to uniform procurement, trade school enrolment, TAFE fee payments, weekly payroll, and timesheet processing.
Managing the business CRM database.
General day to day assistance to the Sales Manager or Business Owner.
Other general administrative tasks as required.

Experience:

You must have at least 5 years’ experience as a bookkeeper.
Minimum Diploma in Bookkeeping.
Advanced computer literacy.
Must have a thorough knowledge of Xero (With the ability to help with transition from QuickBooks to Xero as of 1 July 2024)
Experience with Google calendar will be well regarded.
Previous usage of the ATO portal.
Knowledge in all aspects of BAS.
Online Banking.

File Preparation

• Pre-appointment checking, chasing and preparation of all report files;
• Pre-appointment preparation of templates for experts and transcribers;
• Maintain accurate and timely updates and uploads to Salesforce;
• Maintained detailed Notes to File when matters deviate from standard procedure or when instructions varied by the client;
• Post-appointment processing of files, scanning and archiving

Communication and Customer Service

• Provide exceptional customer service and product/service information;
• Resolve emerging problems and handle customer complaints by providing appropriate solutions and alternatives within time limits, follow ups to ensure resolution, record customer interactions and escalation;
• Ensure excelling service standards, respond efficiently to customer inquiries and maintain high customer and expert satisfaction;
• Communicate urgent file requests with other staff as required;
• Contact customers to track paperwork and any other file issues;
• Inform the QA Manager regarding staff/roster/leave changes.

Reception Support

• Support the Clinic Coordinator in management of reception on day to day basis;
• Greet and sign in experts and examinees to Lex Medicus’ offices;
• Ensure that clinics are clean and well stocked in between examinations;
• Ensure that experts have all requirements while using the clinics. Files, Dictaphone, hand weights etc.

General

• Function as an effective, positive team member;
• Maintain active knowledge of work health and safety practices and procedures;
• Adhere to all policy and procedures;
• Complete all required training, learning & development courses on time;
• Promotion of Lex Medicus on social media;
• Attending Lex Medicus seminars, functions and training days as required;
• Business development communications with lawyers and clients.
