Job Summary:

The HR &Account Administrator Executive is responsible both the Human Resources (HR)and

administrative functions within an organization.This position requires a versatile individual who can   handle a wide range of tasks related to HR operations,administrative duties,and office management. The ideal candidate will possess strong organizational skills,attention to detail,and the ability to

multitask effectively.

 

Key Responsibilities:

1) Human Resources Administration:

• Assist in the recruitment process,including job postings,screening resumes,scheduling interviews,and communicating with candidates.
• Coordinate new employee onboarding activities,including paperwork completion,orientation sessions,and provision of necessary resources.
• Maintain employee records and databases,ensuring accuracy and confidentiality.
• Support HR-related activities such as performance evaluations,training programs,and employee engagement initiatives
• Handle employee inquiries regarding HR policies,benefits,and procedures.

 

2) Administrative Support:

• Provide general administrative support to the office,including managing correspondence, scheduling meetings,and organizing travel arrangements.
• Maintain office supplies inventory and place orders as needed to ensure smooth operations. Assist in preparing reports,presentations,and other documents for internal and external stakeholders.
• Handle incoming calls and emails,redirecting inquiries as appropriate and ensuring timely responses.
• Coordinate office maintenance and repairs,liaising with external vendors as required.

 

3) Records Management:

• Manage filing systems and electronic databases to ensure efficient storage and retrieval of documents.
• Maintain confidentiality and security of sensitive information,including employee records and financial data.
• Assist in recordkeeping for compliance purposes,such as maintaining records of training, certifications,and licenses.

 

4) Office Management:

• Oversee day-to-day office operations,ensuring a clean,organized,and conducive work environment.
• Monitor and  replenish office supplies,equipment,and amenities to  meet the  needs of staff members.
• Coordinate  logistics  for   meetings,events,and  conferences,including  room  bookings,catering arrangements,and  audiovisual  setup.
• Implement and enforce office policies and procedures to promote a productive and safe workplace.

 

Qualifications:

• Diploma in Human Resource or equivalent.
• Minimum 2 years of relevant experience preferred,fresh graduates are welcome.
• Strong interpersonal and communication skills.
• Familiarity with Malaysian Labour Laws and HR practices.

ABOUT THE ROLE 

The role of a Talent Delivery Administrator is to support the company’s Recruitment Team and Delivery Team in the presentation of exceptional technology candidates to the company’s clients. The career path of a Talent Delivery Administrator can progress into either Lead Talent Administration or to Talent Delivery Specialist role or other specialized admin positions such as Finance and Marketing.  

 

RESPONSIBILITIES 

• CV Preparation
• Format candidate CVs using Qwilr and PDF to company’s standard timelines and quality.  
• Prioritise CV preparation using P1, P2, P3 framework.  
• Overseeing and responsible for quality of CV prep of other Recruitment Administrators.  
• Marketing  
• Build new Candidate Briefing documents using the company’s research and brief from consultant.  
• Use Canva to update branding and client materials, build presentations, banners etc.  
• Monthly clean-up and organisation of Qwilr folders.  
• Quarterly updates to consultant bios on Qwilr (including gathering testimonials).  
• Creation of new Consultant bios on Qwilr.  
• Recruitment Administration  
• Schedule candidate interviews with the Recruiting Team ensuring a smooth recruitment process as needed.  
• Ensure accurate documentation and information in Vincere.  
• Any other administration tasks in line with the Talent Delivery Administrator role.

• Ensure that the information held on a post is sufficient to meet the HESA reporting requirements, supporting monthly data housekeeping
• Ensure that all post management processes are process mapped and shared with colleagues within the Directorates of People & OD and Finance

• Produce regular data quality/integrity reports to identify inconsistencies and anomalies and to subsequently investigate any issues that arise, resolving where appropriate
