Job Description

· Assist the HR and Business Development team in identification, hiring and onboarding of talent.

· Manage the campus recruitment cycle for hiring interns and graduates.

· Establish a network and maintain a database of potential candidates that will be crucial for the firm to grow.

· Automate / streamline existing process for scaling the business.

· Manage HR operational functions in the areas including but not limited to update and maintenance of employees’ data, benefits administration, off-boarding, work pass application etc.

Requirements

· Around 2 years of prior work experience in Talent Acquisition and/ or Human Resource is required.

Responsibilities

• Work directly with the UK and Ireland Human Resources Director and the Talent Acquisition Director to implement HR strategy

Job Purpose:

Key Responsibilities:

Payroll Administration

• Administer and Process monthly payroll including CPF Submissions in a timely manner and accuracy for 2 CLGs
• Verify employee records to ensure that employee changes are entered correctly and updated on a timely basis.
• Review and process deductions from payroll as well as reimbursement of part-timers claims via payroll system.
• Prepare and maintain proper payroll records and reports for audit purpose.
• Process and submit statutory claims and reports on time and with accuracy to relevant internal (like finance) and external parties:-
• Government approved grants like Maternity leave, Paternity leave, Childcare leave, NS pay etc.;
• Government funding schemes like Wage Credit Scheme, Job Support Scheme, Job Growth Incentive;
• Statutory reports from MOM, Department of Statistics etc.
• Attend to internal & external auditors’ queries relating to payroll
• Update the payroll policy and procedures as when changes are made
• Ensure payroll accuracy with no delay in payment
• Follow up promptly and submission of work/reports
• Ensure compliance with MOM, CPF, IRAS and other statutory rules at all times.

Benefits Administration

• Administer and process various staff benefits programs including Work Injury Compensation Insurance; Group Hospitalization & Surgical Insurance Plan etc.
• Liaise with outsourced vendor and manage outpatient medical claims

HR Reporting

• Produce month-end Headcount / Workforce Summary with descriptive data for analysis and reporting purpose, as well as adhoc reports like bonus provision and unused annual leave provision reports etc
• Prepare and submit all statutory reports and survey forms as required

Projects & Others

• Assist in Rewards activities such as annual salary/bonus/ benefits review exercise
• Assist in ad-hoc projects as assigned
• Answer to staff queries relating to payroll and benefits matters

We have a great opportunity for a Cluster Human Resources Officer to join us in the Cheltenham area at Leonardo Hotels. As a member of the HR team, you would provide quality HR support, coaching and guidance for your cluster and assist the Cluster HR Manager with the delivery of the HR strategy.

In this position you would be working within the HR department, which covers our Bristol, Exeter, Plymouth, Swindon, Cardiff, Cheltenham and our two Southampton properties. You’ll be primarily based in Cheltenham, with occasional travel to other hotels in your cluster, where necessary. Presence is important in our hotels and offices; we promote an open-door policy within all HR departments!

This is an HR generalist role, so you’ll be involved in many different activities within the department! Here are some of the role’s key responsibilities:

• Recruitment and Selection: support the end-to-end recruitment process including shortlisting, arranging interviews, onboarding activities and reference checks
• Compliance: maintain personnel files as appropriate, ensure risk assessments are carried out and comply with company policies, procedures and initiatives
• Learning and Development: support the delivery of new starter induction, and use the Learning Management System to carry out reporting and ensure all admin is completed, such as keying promotions, removing leavers and maintaining training attendance records
• Payroll: resolve any payroll queries, ensure all working time is recorded and advise line managers on any changes to payroll processes
• Employee Relations: support/coach line managers with welfare meetings, investigations and any other formal meetings, support with maternity process
• Engagement: produce monthly calendar of events for the hotels and support the development and delivery of the HR strategy for each of the hotels within the cluster
• Deputise for the Cluster Human Resources Manager where appropriate

An excellent Cluster HR Officer will have:

• Previous experience in an HR Administrator/Officer position
• CIPD qualification, or working towards one with up-to-date knowledge of UK employment legislation
• Self-motivated and organised with the ability to work well as part of a team- you must be a great team player!
• An understanding of good HR practice and application
• Ability to act on own initiative and effectively prioritise own work
• Excellent communication, negotiation and interpersonal skills
• Awareness of the importance of confidentiality in HR

Responsibilities

• Responsible for managing and administration of Singapore end to end payroll cycle for 400+ paxes including blue collar workers, and to ensure accuracy and compliance with all Employment Act and regulatory
• Responsible for working together with outsourced payroll vendors to facilitate and managing APAC countries payroll cycle
• Responsible for timely tax filing (including but not limited to IR21 and IR8A), CPF submission, all government claims and statutory pay requirements.
• Administration of ePayroll systems and manage all payroll outsourced vendors.
• Validate all payroll supporting data and documents to be accurate and truthful and ensure all payments and deductions are correctly updated into the payroll system.
• Ensure timely data update in payroll systems and related HRIS systems for payroll processing purpose.
• Maintain and archive supporting payroll documents and authorizations for internal and external audits.
• Maintain all payroll related reports for Finance/Payroll/Headcount report/Levy/MOM Surveys and ensure all report data are trackable in payroll system and authorised supporting documents.
• System administration of ePayroll system include Timesoft, BIPO Payroll system.
• Ensure employee benefits including claims and reimbursements as per rules and regulations.
• Other ad-hoc duties as assigned.

Requirements

• Diploma/Degree in Human Resources, Business Administration, Accounting, or related discipline.
• With at least 3 years of hands-on payroll full cycle experience. Preferably experience with TimeSoft system, BIPO payroll system.
• Must have experience in handling blue collar workers’ payroll related
• Working knowledge of Employment Act for manufacturing or similar industries.
• Proficient in MS Word, Excel (Pivot, Vlookup, etc)
• Ability to work independently and as a team.
• Ability to multiple task and work under tight deadlines.
• Good interpersonal and analytical skills.
• Meticulous, diligent, proactive, and analytical.
