SCOPE

Reporting to the Purchasing Manager, the incumbent in this position is responsible to procure quality food, beverages, materials, equipment, supplies and services for the hotel while minimizing cost.

OVERALL OBJECTIVES

REQUIREMENTS

· Proven experience as a Purchasing Executive, Purchasing Officer, or similar role preferably in the hotel industry.

1. Job Description

• Perform procurement tasks such as publication of tenders.

DUTIES & RESPONSIBILITIES

Purchasing Function

• Purchase operating supplies and source for services as required by operations.
• Review and control items or services sourced by the respective departments for technical supplies in terms of pricing, credit terms offered and reliability of suppliers. This will include the review of the tender process, where relevant.
• Maintain a list of suppliers and current quotes of items frequently purchased.
• Issue purchase orders upon receipt of duly authorised purchase requisition forms (PRF) and ensure prompt delivery.
• Ensure that all PRFs raised are properly authorised in accordance with policies set with regard to Authorising Limits.

Inventory Control

• Assist in the annual stock count process.

Accounts Payable Function

ROLE PURPOSE (Why do we need this role?)

To attend to all purchasing requests promptly with the best price in order to provide operational and technical purchasing support to vessels and/or logistical support to 3rd party clients.

Operations Purchasing

• Deal with assigned vessels on a daily basis and liaising with accounts, purchasing, Technical and other relevant departments on operational requirements.Contact and follow up with vendors/contractors on quotations and issue purchase orders in ORBIS/SAP/In-house apps for services.
• Track TDW vessels shipments in/out of warehouse and coordinate with forwarding agents and transport companies for shipments delivery to shipyards/ jetty for vessels.

General Warehouse Management

• Report on any non-conformance in warehouse operations, ensure corrective actions are taken and, where applicable, introduce into warehouse standard operating procedures.
