Position Summary:

The Senior Real Estate Specialist is a member of Real Estate Administration & Development team responsible for managing and administering Nordstrom’s entire portfolio (retail, warehouses, storages, distribution/fulfillment centers, and offices) reporting key data and critical dates, maintaining the system of record, abstracting leases and developing business relationships with local store teams, regional teams, property managers and landlords. The Real Estate Administration team specifically supports many internal cross-functional business partners including Real Estate-Development, Store Design and Planning, Legal, Tax, Facilities, Risk Management, Accounting and Finance, etc.

Key Responsibilities:

• Process and distribute all real estate documents via asset management software system.
• Maintain/File hard copies of all important documents for record in Real Estate’s storeroom.
• Distribute all notices received in Real Estate to appropriate internal teams.
• Build and distribute specific reports created via Lucernex to different internal teams.
• Provide accurate interpretation of lease terms to internal cross-functional partners or teams.
• Assist with all incoming property management/maintenance issues, questions, and requests.
• Assist Real Estate Manager with the collection of allowances, security deposits, and reimbursements timely.
• Draft lease summaries and distribute to Store and Regional Facilities Teams.
• Assist Real Estate Manager to prepare general correspondence and other legal documents such as allowance/reimbursement request letters, estoppels, simple amendments, short-term storage agreements, license agreements, demand/default letters and lease renewal options letters, etc.
• Distribute correspondence related to account statements, utility statements, ad-hoc statements, insurance requests and Opex/Tax reconciliations.
• Assist Real Estate Manager and Real Estate Directors with varied ad-hoc projects and requests.

The Property Management Specialist maintains property accountability records in GCSS-Army, SAP and PEMS systems and arranges disposal of surplus or obsolete property through the PCARSS system for final disposition for prime contracts.

Roles and Responsibilities

• Coordinate property control activities to ensure continual accountability of government/customer owned property as described in Property Plan and prescribed in Federal Acquisition Regulations, Part 45.
• Receive, record, and issue all GFP/CFP, equipment and UFP, maintain property records in appropriate database and provide audit trail.
• Ensure that postings are complete and timely.
• Prepare DD1149 and other applicable documents for US Government-owned scrap property to salvage yard and coordinate completion of required documents and complete system transactions.
• Conduct quality control self-assessments, utilizing developed metrics, and provide data as needed.
• Ensure that Government / Customer Property is managed by contract regardless of which function or organization has custody of the property at the site.
• Provide Property Surveys, Property Listings to the customer for annual reports.
• Verify the integrity of GCSS-Army, SAP and PEMS system records for populated information with actual physical locations, and ensure sales reports are linked to the WBS record to convey appropriate contract information.
• Provide joint supply support as instructed by the COR.
• Support all US Military Force and Black Sea AST units as per instructions from the COR.
• Assist the PBO office, the Property Book Officer and the Property Book Technician with all Property Book processes outlined locally which require GCSS-Army access.
• Input information into Army War Reserve Deployment System (AWRDS).
• Submit orders of parts and bench stocks primarily through the federal supply system.
• Support the COR for implementation of the Command Supply Discipline Program (CSDP) and Army Management Controls.

Your new role
You will join an established and friendly team of coordinators who provide exceptional customer service to guests and homeowners, as well as additional office administration. This vacancy is largely based in Saxmundham with occasional travel to Southwold and neighbouring areas to visit guests, properties, and oversee housekeeping. You will manage customer queries and handle complaints in a positive and professional manner. You will also answer incoming telephone calls, schedule contractors (housekeepers, gardeners, etc.), and keep records accurately on the administrative systems.


What you\'ll need to succeed
As this position requires travel to remote locations on occasion, holding a valid, clean UK Driving Licence and your own vehicle is essential. You will have prior customer service and administration experience, and be an enthusiastic and engaging team player. Having excellent attention to detail and organisation is a requirement to efficiently manage the property portfolio and maintain the administrative systems. Having good IT literacy is advantageous.
The role will differ daily, which requires resilience, a "can-do" attitude, and a portfolio of handling complaints in a positive, professional way. If you possess experience in travel or property management, this will highly benefit your application, but is not essential.

Your new role

Your new job working as a Real Estate Account Executive means you will be responsible for providing the day-to-day service delivery to a mixed portfolio of UK and or European property owner and real estate clients. You will act as a client advocate serving as a key contact within the account team working with an allocation of clients from varying sizes from commercial to large corporate Property accounts. You will be responsible for obtaining both renewal and new business quotations and prepare market presentations. Property Transactions Specialist

Role Objective

You will be leading the legal department of a fast-growing UK real estate company. You will be responsible for handling all of our property transactions, and mortgage applications, and preparing any other legal contracts as needed.

You will also need excellent communication skills as you would need to work with our external UK lawyers, mortgage brokers, tenants and contractors.

Duties and Responsibilities

• Facilitating the sales and purchase of UK properties, reviewing property transaction documents and reporting to the CEO directly regarding the legal findings
• Facilitating communication between property owners, landlords, clients, and lawyers.
• Assessing and preparing contracts, lease agreements, and closing documents.
• Working with the mortgage broker to review financing options, lending requirements, title affidavits, and bankruptcy claims.
• Conducting research and distributing real estate documents.
• Analyzing title documents and legal descriptions of the property.
• Documenting processes, as well as maintaining hard copy files and electronic records.
• Answering client questions and escalating serious concerns.
• Keeping clients informed of progress made with real estate applications.
• Submitting accurate legal documents in a timely manner.

• A minimum of 2 - 3 years experience in real estate conveyancing is required
• Professional demeanor including an ability to manage all incoming client inquiries, work well with colleagues, lawyers, external clients and outside service providers
• Excellent organizational and time management skills
• High attention to detail and accuracy
• Reliable and able to work independently taking initiative when required
• Knowledge of and ability in Google Suite and ProLaw is an asset
• Competency in legal project management software, such as Amberlo and Accelo.
