About the role
We have an exciting opportunity for a Facilities Administrator to join our friendly team based in Oxford. This is a full time role working 40 hours per week, Monday to Friday between 8am and 5pm.

As Facilities Administrator, you will provide secretarial and administrative support to the management and maintenance teams.

Responsibilities
Type and distribute reports and attend meetings for note taking.
Schedule appointments, meetings and training sessions, assisting the Managers with the preparation of material.
Receive incoming calls and visitors, refer to Managers where necessary and act as focal point and filter for all calls and visitors.
General office duties.
Implement, update and maintain a central filing system, supporting the service delivery requirements of the FM services.
Receipting all purchase orders raised to enable trouble free invoicing, and resolving any queries relating to purchase orders.
Check and verify all deliveries of materials ordered are complete, and if incomplete suppliers are pursued.
Maintaining and recording all subcontractors and internal quotations, purchase requisitions and ensuring these are archived to the relevant domain.
Produce Service Desk requests, and allocate to the relevant on-site maintenance technician and/or specialist sub-contractors.
Arranging for specialist subcontractors to attend site in response to equipment failures.
Update Service Desk requests and ensure correct priority is set to task, and returned by the on-site specialist subcontractors on a daily basis.
Ensure that all annual service inspection visits for all sub-contracted services are scheduled with the relevant specialist subcontractor.
Ensure that all specialist subcontractors service report sheets have been provided after each and every service inspection visit.
Monitor the quality aspect of the Engineers/Technician’s paperwork.

PRINCIPAL DUTIES & AREAS OF RESPONSIBILITY Under the direction of the Logistics Supervisor to transfer goods from the stores to Wards and Departments. To ensure that all goods received by customers have the necessary paperwork and signature of receipt, providing trace-ability and satisfying audit requirements. To assist in ensuring that the Stores is a safe and tidy environment and that all security procedures are adhered to. To provide the initial contact with customers. In respect of the final delivery, to be responsible for the safety and security, careful handling and receipt of goods to/from the designated delivery area within LTHT sites. To be responsible for working with colleagues to maintain and improve the quality of services provided to our patients and other service users and support the induction of new starters. To assist in ensuring that the Stores are a safe and tidy environment and that all security procedures are adhered to. To ensure that all goods received by customers have the necessary paperwork and signature of receipt, providing trace-ability and satisfying audit requirements. To work as part of a team responsible for the provision of a quality postal service for both internal and external mail To provide front end contact with customers and to be the link between receipt within the stores and the distribution of goods The sorting and organisation then moving/distribution of goods to the correct destination within the Trust. Distribution of goods to the relevant wards and departments using the correct lifting and handling equipment to ensure all Health and Safety guidelines are met. To ensure that all goods received by customers have the necessary paperwork and signature of receipt thus providing trace-ability and to satisfy Audit requirements. Maintains adequate file records of receipts as required in accordance with Supplies and Audit requirements. The loading and offloading of goods from delivery vehicles as required, utilising lifting and handling equipment. To maintain lifting and handling equipment in good working order and use it to maximum efficiency. Reports any faulty equipment to the Logistics Supervisor. Safe handling of potentially hazardous goods in accordance with Health and Safety and COSHH guidelines. Maintains good customer relationships with all internal customers. To report any security matters which require their attendance. To utilize the departments mobile communication system which co-ordinates the daily tasks which require undertaking. To ensure equipment is in good working order and use it to maximum efficiency. Reporting faults and breakdowns immediately to the Logistics Supervisor. To operate electrical equipment for the movement goods around hospital site. To ensure that any minor/major defects are reported immediately. i) To accurately sort internal and external mail. ii) The timely delivery to and from wards and departments at scheduled times. iii) To deal effectively both in person and by telephone with enquiries from customers. iv) To ensure that recorded and registered mail is properly documented and signed for. v) To assist the Logistic Supervisor with the letter check. Sorting and redirecting by the means of modern technology if required. vi) Franking mail and ensuring that all mail is ready for collection by the scheduled Royal Mail pick up times. The job may require other duties to be carried out as may be reasonably requested by line management commensurate with the grade of the post. These included but not limited to: the collecting and delivering patient trolleys, wheelchairs and pathology reports from all departments and clinics to all wards. In addition, especially in support of Supplies and Trust contingency planning arrangements, after the appropriate training and support, this may include: 1) Further to competency training, to operate electrical equipment for the movement of waste, goods and around hospital site. To ensure that any minor/major defects are reported immediately e.g. damage to body work, accidents, and punctures. This will include the driving of an internal tug, electrical vehicle. The loading and unloading of vehicles when required e.g. furniture, waste, etc. 2) The removal of rubbish and soiled (infected) linen and waste to designated areas in line with Trust Infection Prevention and Control Policy. 3) The use of hand-held Scan-for-Safety devices to log and respond to job requests. 4) With the relevant and certified training, the collection and returns of blood products via the blood tracking system. In addition, the collection of specimens from wards and departments ensuring if there is protocol in place, for a chain of evidence that this documentation and recorded as completed. 5) Unloading, sorting, prioritising, reloading in to segregated delivery cages then delivering and distributing mixed deliveries from RSC and Print Unit to designated delivery points throughout the hospital sites i) PHYSICAL EFFORT: This job can involve periods of frequent strenuous physical activity and therefore the post holder must be capable of undertaking such duties. Logistics operatives have to respond to customer requirements within a given time frame. This job can involve periods of strenuous physical activity. Use of a 2nd team member is usually required for the safe and secure delivery of these items. Manual handling aids will be provided to be used by staff. There is a requirement that a Logistics operative will be required to be mobile and on their feet for the majority of their shift pattern. Movement of CSSD equipment has to be acted upon immediately scanned in/out and instruments put away and knowledge and understanding and physical effort is required in ensuring this equipment is delivered safely. Involves the movement of goods to various blocks on a daily basis, using roll cages which can be excessively heavy, up to 239kgs and decanting packages and tote boxes etc, which can each weigh up to 23kgs. Occasional daily manual lifting and handling of larger, bulky, awkward or heavier items of goods i.e. metal cabinets weighing up to 28, 43 or 68kgs. Use of a 2nd team member is required for the safe and secure delivery of these items. Occasional daily use of manual pallet lifting trolleys to deliver pallets weighing up to 200kgs, some weighing over 250kg, occasioning the use of 2nd team member to assist on the slopes throughout the different hospital blocks/wings.
