Job Description:

Provides secretarial/administrative support directly to executives (including CEO), exercising confidentiality, tact and diplomacy. Key Responsibilities:

Duties and responsibilities

• Provide exceptional service to all customers.

• Process credit loan applications and use product knowledge to present loan solutions to current and potential customers.

• The incumbent has varied range of duties related to the enrollment and eligibility and benefits and travel to determination of Veterans
• Maintain a through and up to date knowledge of the rules and regulations, and policies and procedures in determining eligibility of Veterans for VA Healthcare
• Advises applicant of the health care benefits they are legally entitled to in person or over the phone, initiates administrative process for establishing care, and notifies appropriate healthcare personnel accordingly

• Communicates through data systems, verbally and electronically with the REC on a regular basis by providing accurate eligibility and enrollment information
• Serves as the Veteran's initial contact with the Medical Center. He/ She enrolls the Veteran by inputting information from the 10-1 0EZ Form into VISTA. In addition to the advisement of health care benefits
• Processes re-enrollment into the system and assist Veterans. He/ She connect Veterans with other program areas as needed
• Correspond with national contacts to resolve processing and conflicts that require action the Heath Eligibility Center
• Interacts with the entire Enrollment System Redesign (ESR) website to electronically enroll Veterans, a process recently mandated down to the local level in 2015, by inputting all required registration information

Applies experience and advanced knowledge to plan and perform administrative assignments with a broad understanding of how administrative assignments contribute to organizational activities. Initiates requests for personnel actions and other documents required to fill vacancies and effect other personnel actions (promotions, details, resignations, certification, etc.). Coordinates questions with the servicing HR office regarding personnel actions, routine discrepancies, and missing/vague guidance. Maintains and updates organizational systems to ensure accurate account of staff levels, employee position assignments and employee status. Collects compiles and formats historical and trending financial information to contribute to the preparation and submission of budget requirements. The Personnel Security Assistant performs work related to the collection, organization and/or tracking of information in support of the Personnel Security Program. The Personnel Security Program includes the processes of initiating, reviewing, and approving background cases for release to the Office of Personnel Management (OPM) in compliance with policies relating to completion of suitability investigations for Federal employees and others requiring background investigations for non-sensitive and public trust positions.

• Review position risk sensitivity levels as full assistant to the Personnel Security Specialist. Assemble position descriptions and functional statements for the Personnel Security Specialist for review. Track electronically the level assigned and the appropriate background investigation needed.
• For pre-employment processes, serves as the initial point of contact for new appointees including but not limited to paid or without compensation employees, volunteers, students, residents, and contractors. Reviews information submitted by the requesting office to validate level of background required, enters appointee information into a local data base tracking system and refers appointee for fingerprinting.
• Initiates, reviews and releases appointees background investigations in the Office of Personnel Managements National Background Investigation Services (NBIS) system or in conjunction with the VA- Adjudication Center (VA-AC).
• Regularly monitors the status of specific pending items, compiles data to produce reports, follows up to determine status and records results. Reports are produced on a regular basis (weekly) to keep top level management apprised of the status of the Suitability/Security Program and for performance management/performance improvement initiatives.
• Maintains logs of current employees who are in public trust positions and ensures reinvestigations are initiated, reviewed and released using eAPP within the required timeframe as per policy. Works closely with the VA-AC to monitor the progress of investigations when applicable.
• As needed, works with applicants who may be experiencing difficulties with completion of electronic forms related to the background screening process. Also works with Recruitment and Staffing to assure required background documents are complete and accurate as per policy (OF-306, SF-85, SF-85P, etc.).
• Takes and transmits electronic fingerprints for appointees or when the FBI returns fingerprints unclassifiable for various reasons.
