Job Description of Accounts Executive

As an Accounts Executive role in the organization overseeing accounting within an organisation. Roles including monthly closing, AR & AP function. Process staff claims and vendor invoices. It supports the growth and expansion of the company and all business processes run smoothly, efficiently, and in line with the company’s objectives.

Responsibilities

· To supply and manage the accounts receivable, accounts payables, general ledger.

· Prepare, post, verify and cord customer payments and transactions.

· Prepare invoices according to terms of contracts; submit invoices to customers. Update invoicing database.

· Maintain and update customer files, including name or address changes, and customers’ contacts.

· Generate accounts receivable reports and reconcile accounts receivable on a bi-weekly basis.

· Generate and send statements of accounts to customers on monthly basis.

· Follow up on past-due accounts and collections, identify overdue accounts and contact customer to request payment.

· Reconcile revenue accounts each month.

· Check/process suppliers’ invoices and staff expenses reimbursements for approval.

· Check/update commission payable to agents.

· Reconcile revenue with cost of sales.

· Prepare/update accounting schedules.

· Prepare/update monthly accounting reports.

· Perform other related duties as assigned by the Line Manager.

Requirements

· Excellent verbal and written communication skills.

· Proficient in Microsoft Office or related software as well as other accounting software programs.

· Work independently and in a fast-paced environment.

· Anticipate work needs and interact professionally with customers.

· Excellent organisational skills and attention to detail.

· GCE A level / Diploma in Bookkeeping & Accounting or equivalent

He/She covers duties such as work that is specific to accounts receivable, accounts payable, tax filing, data compilation, billing, payroll or other accounting tasks. He/She works specifically with accruals, fixed assets accounting or the monthly and yearly finalisation of accounts for audit purposes. He/She assists with the preparation of trial balance, basic financial statements and simple consolidated financial statements. He/She may be called on to participate in ad-hoc finance-related projects and systems testing when necessary.

Key Responsibilities:

Accounts Payable (60%)

• Processing of all supplier invoices compliance with goods/service received in the Finance System.
• Ensuring all invoices have a copy of the acknowledge signed delivery order.
• Preparing cheque payment with approved invoice and monitor cheque clearance
• Performing day to day financial transaction, including verifying, classifying, computing, posting and recording accounts receivable.
• Reconcile the accounts receivables ledger to ensure that all payments are accounted for and properly posted.
• Generate financial statements and reports detailing accounts receivable status including updating vendor credit application.
• Assist in preparing petty cash pay-out to staff.

Accounts Receivable (10%)

• Processing accounting receivables and income payments in compliance with financial policies and procedures.
• Preparing bills receivables, invoices and bank deposits. Ensure all cheques are banked in promptly.
• Preparing debits and credit notes for any approved short payment/over payment for internal adjustment.

General Ledger (30%)

• Month-end Closing:- Ensure all financial related entries are promptly posted to the correct period
• Audit Schedules reconciliation for all balance sheet items and selected profit and loss items
• Bank account reconciliation to bank statement with general ledger
• Quarterly GST declaration to IRAs

Other duties

• Update supervisor on due insurance to be renewed and track all machineries and vehicle insurance coverage.
• Any other adhoc duties as and when assigned

• Analyze all financial reports for the Group and assist in improvement and execution process, review all earning releases to ensure accuracy.
• Coordinate with sales team and company Directors on the authorisation of payment transactions for the Group.
• Manage monthly closing process, including reconciliations and analysis of related accounts.
• Coordinate the Group's annual audit with the independent auditors, prepare recurring financial reporting packages and draft report.
• Develop and maintain the integrity of the financial reporting process and financial controls.
• Coordinate, develop and update written policies and procedures over the financial reporting process.
• Prepare and interpret all operating results for periodically management reports.
• Develop and maintain supporting documents for all financial reports and evaluate it for various departments and committees.
• Ensure compliance to all reporting requirements.

Qualification requirements

• Diploma/Degree in Accountancy or Banking and Finance
• Good knowledge and understanding of English language;
• Significant experience in Bookkeeping, and Internal or External Audit;
• Independent worker with strong analytical skills, drive and sense of urgency;
• The ability to plan and organize work independently.
