Join our team as an Accounts & Admin Assistant, a pivotal role reporting directly to the Accountant. This position primarily focuses on accounting responsibilities, encompassing 80% of the workload, while also involving 20% administrative tasks.

The successful candidate will play a key role in maintaining accurate financial records, ensuring compliance, and contributing to the overall efficiency of our finance department.

Description

• Partake in full spectrum of AP and AR duties such as preparing and processing electronic transfers and payments, reimbursement of staff claims, generating sales invoices, preparing Statement of Accounts and following up on the overdue invoices;
• Assist in month-end closing and quarterly GST submission;
• Assist in annual statutory audit / corporate income tax filing;
• Liaise with external parties such as auditors, banks and vendors;
• Handle day-to-day office and admin duties like answering phone calls, mailing data entry, collect mails from letter boxes, purchase order, filling and etc;
• Administration work including ordering of stationery and pantry items, renewal of electrical license, maintaining accurate historical records etc;
• Support internal stakeholders on travel desk management such as reservation of hotel rooms & air tickets;
• Maintain clean and organized documents - both paper and electronic files, keep records up to date;
• Any other ad-hoc duties assigned.

Requirements

• Minimum a Diploma in Finance/Accountancy/Banking, or equivalent.
• Meticulous and detailed oriented.
• Proactive and possess positive attitude.
• Able to work independently.
• Written & spoken English and Chinese to communicate with parent company.

Responsibilities

Accounts Receivable

• Responsible for the full spectrum of Accounts Receivable, including monthly cash flow forecast
• Follow up with customers to encourage timely payments including but not limited to chasing customers for payments for overdue balances by phone/email and coordinate with customers to resolve any payment discrepancies
• Coordinate the local cheque/cash bank-in process and update all receipts into NAV/BC on a daily basis
• Reconcile accounts receivable transactions and handle reconciling issues promptly
• Ensure meticulous documentation of all financial transactions
• Prepare/Record/Reconcile month-end rebates/Trade Offers Credit Notes
• Month end closing for Accounts Receivable

Accounts Payable

• Responsible for the full spectrum of Accounts Payable, including monthly cash flow forecast
• Processing invoices and expense claims and payments accurately and promptly.
• Verifying vendor and bank account information to ensure secure payments.
• Communicating with vendors and staff regarding payments and accounting issues.
• Monitoring bank balances for sufficient funds.
• Preparing reports for monthly, quarterly, and yearly closing, including bank reconciliation, AP aging reports and GST reports.

Other Scope

Qualifications:

We are expanding our dynamic team and seeking a bright and enthusiastic scientist to explore the therapeutic potential of anaerobic bacteria in treating solid tumors. In this role, you will perform research to gain a deeper understanding of anaerobic bacterial biology. You will also be engineering anaerobic bacteria strains with improved therapeutic properties and testing them in animal models.

Responsibilities:

• Research & Development: Investigate the use of anaerobic bacteria as a therapeutic agent for solid tumors
• Experimental Design & Execution: Design and perform in vitro and in vivo (mouse) experiments, ensuring rigorous and reproducible results
• Data Analysis: Analyze and interpret experimental data; present findings at internal and external meetings
