• Lead or assist the Head of Company Secretarial in all aspects of company secretarial work, duties and ensuring compliance with the Companies Act 2016, other relevant statutory and regulatory requirements.

Summary Job Description:

1. Front Desk

• Operate the school telephone, determine the purpose of calls, monitoring and transferring calls, and delivering messages in an appropriate and efficient manner.
• Welcome, register, and host all stakeholders including school officials, staff, parents, students, and visitors.
• Regularly check and respond to incoming mail. This involves forwarding messages, arranging appointments, and giving reminders.
• Attend to front desk requests from students and parents including managing stationery purchases, uniform orders, and loan of school equipment.

2. Key Administrative Duties

• Provide support for a range of office functions including copying, printing, laminating, and management of office supplies.
• Manage the school database to ensure that it is updated and accurate.
• Manage daily student attendance record.
• Assist in the submission of any official documents to the pertinent government departments.
• Assist in ordering and replenishing office & pantry supplies for staff and maintain adequate stocks.
• Assist in the maintenance of office facilities and equipment, and calling service providers when needed.
• Ensure that regular maintenance tasks/services are scheduled and conducted in a timely and efficient manner by in-house personnel or external contractors/vendors.

3. Event Support

Accounts Payable

• Ensure timely processing of invoices and claims with accurate coding for approval as per company’s process.
• Ensure payments are prepared with high accuracy and on timely manner.
• Achieve agreed KPI associated with invoice processing or any other payables related activities.
• Update weekly cost trackers and perform month end activities such as preparation of reports.
   

Accounts Receivable

• Ensure timely issuance of invoices, debit notes and credit notes with accurate coding for approval as per company’s Monitor customer accounts for overdue payments by following up with customers via phone, email, or mail to facilitate payment and maintain accurate records of customer payments and adjustments in the accounts receivable ledger.
• Generate and send out invoices to customers accurately and in a timely manner.
• Investigate and resolve any billing discrepancies or issues customers raise and collaborate with internal departments, such as sales and customer service, to address customer inquiries and resolve billing disputes.
• Reconcile accounts receivable transactions and resolve any discrepancies with general ledger accounts.
• Prepare and distribute regular reports on accounts receivable ageing and collection activity.
• Identify delinquent accounts and initiate appropriate collection actions, including sending payment reminders and initiating collections proceedings if necessary.
• Assist in the development and implementation of policies and procedures to improve accounts receivable processes and enhance cash flow.
