Job Description:
1. Event Operations Support:
· Provide day-to-day support to the project lead in managing event operations.
· Oversee team management, supplier/vendor coordination, and venue logistics to meet event, internal, and client expectations.
2. Project Workflow Planning:
· Plan and propose efficient workflow structures for projects.
· Collaborate with the team to streamline project execution.
3. Proposal Development:
· Create innovative and compelling event proposals for clients.
· Present creative ideas and concepts to clients effectively.
4. Cost-effective Solutions:
· Source and secure cost-effective solutions for event requirements and logistics from various suppliers.
· Prepare accurate purchase requisition documents and invoices for processing.
5. On-site Coordination:
· Supervise and coordinate on-site setup and teardown activities, working closely with suppliers to ensure smooth execution.
6. Stakeholder Coordination:
· Collaborate with internal departments and external stakeholders to align project requirements.
· Maintain open communication channels for successful project delivery.
7. Administrative Excellence:
· Ensure proper and accurate administration and paperwork to facilitate efficient project management.
8. Venue Management:
· Liaise with venue owners, ensuring all necessary paperwork is submitted in a timely manner.
· Coordinate layout and event day run sheet preparation accurately and promptly.
9. Crew and Volunteer Management:
· Assist in sourcing, recruiting, and managing volunteers and event crews.
· Ensure a smooth and efficient event operation.
10. Media and Influencer Coordination:
· Liaise with media outlets and influencers to promote events.
· Coordinate press releases, interviews, and media coverage.
· Identify and engage relevant influencers for event partnerships.
11. Flexibility and Initiative:
· Willingly take on ad hoc duties and responsibilities as assigned.
Job Requirement:
•Proficient in Microsoft word, excel, powerpoint
•Dedicated, self-oriented and results driven
•At least 3 to 5 years of relevant experience in Event or Marketing Industry.
•Possess good communication skills
•Willingness to work out of office hours whenever necessary
•Strong collaboration skills to accomplish the work assigned
•Able to multi-task and work independently, with good time-management and organizational skills.
