About the Role

This role is in charge of making quotations, following up offers, daily operation works and completing assignment and reports to supervisor/operation manager.

• Quotations – Work with sales team closely to make sure quotations to be done correctly and properly
• Follow-up of offers – Work with sales team closely to get feedback of offers and push for real bookings in return
• Daily operation works – Ensure all daily operations to be done properly
• Complete assignment and reports to supervisor/operation manager

Job Requirements

Key Responsibilities

• Quotations
  a. Gather as much group information as possible (including flight details, group purpose and possible competitions)
  b. Review itinerary as well as requested services
  c. Make proper quotation from system by following all the information and requests.
  d. Prepare quote sheets as well as sales sheet
  e. Get selling prices from sales team and then send offer letter to agent
• Follow up offers with calls
  a. Make sure agents get our offers properly
  b. Get feedback of offers and pass related information to sales team for further action
• Daily operation works
  a. New group bookings, including series and ad hoc
  b. Push confirmation of services, including hotels and ground services
  c. Deadline control
  d. Revenue/budget control
  e. Regular update of sign up pax
  d. Communicate with agents, LPICs and HRD people whenever it needs
  f. Cancel groups when required and follow up cancellation fee if any
  g. Materialize groups when approved by agents and make sure all services to be confirmed properly by due time
  h. Change services and follow up confirmation by due time
  i. Finalize groups and send out final document to agents
  j. Check BIS reports and create invoices
  k. Trouble shooting while groups are in the trip
  l. Join weekly operation team meeting for information sharing and case study
• Complete assignment and reports to supervisor/operation manager
• Internal Communication
  a. Clear, open and effective communication with Destination Management Office Operations
  b. Collaboration with Sales teams
  c. Price and condition negotiations with clients and Destination Management Office

Accounts Receivable (AR)

Generate invoices and account statements including monthly aging reports

System entry into AP Module on timely manner including posting of AP transactions from IMOS system to Oracle and maintain proper records and filing

Investigate and resolve any enquiries relating to AP

Provide support and implement improvements in system, processes and controls

Role and Responsibilities

JOB PURPOSE: (Role Summary)

The Accounts Executive will be responsible for supporting the Senior Accounts Executive in all aspects of day-to-day accounting functions and operational activities. This position reports to the Senior Accounts Executive and to the Company Accounts and Finance Head.

KEY AREAS OF RESPONSIBILITY:

The responsibilities shall mainly include:

Accounts

1.Accounts payable review including:

a. Vendor Payments (starting from issue of PO, obtaining approval, vendor bill review, rebilling, payment monitoring, vendor account reconciliation and closure in Accounting system)

b. Expenses review (recording in Accounting systems, verification with policies, documentation and approvals review, etc.).

c. Salary (including yearly bonus) and reimbursement processing, verification and approval from management.

2. Petty Cash management

3. Supporting in closure of pending Sales orders, invoicing, documentation required thereof.

4. Bank statement and bank reconciliation review.

5. Ledger Scrutiny and reconciliation on monthly basis.

Statutory compliances

Annual Compliance management with statutory requirements (including applicable laws, Insurance, safety regulations, requirements of Ministry of Manpower, etc.)

GST compliance:

Supporting in preparation of GST working and submission of quarterly GST return.

Documentation review (e.g. Sign and stamp on delivery notes for zero rated sales)

HR

Documentation review of employees.

Leave and attendance record maintenance.

Administration

Processing of employee Visa application, Ministry of Manpower pass requirements, etc.

Inventory Management

Responsible to manage and review Inventory control in Zoho for receipts, issues, stock balance.

Review and monitoring of consistency between physical stock taking and accounting records.

Miscellaneous

Fixed Asset register including annual physical verification.

Maintenance and preparation of documentation including policies and processes.

MIS reporting as and when needed.

General

Liaising with internal stakeholders and external stakeholders such as Banks, Auditors, Recruitment Agencies, Vendors, etc.
