Responsibilities:
• Support the HR/Crewing Manager with all the crewing day-to-day activities.
• Ensure that the recruited crew have the proper experience, and certifications and are medically fit and supervise the application of the STCW convention on board the vessels.
• Controls crew recruitment process and makes sure that all submitted certificates and documentation are properly verified.
• Evaluate, audit, and recommend crewing agencies and crew training centers.
• Ensure the proactive update of the crewing database with prequalified crew for future recruitment.
• Monitors the execution of the crew appraisal process and ensures that all appraisal results are properly analyzed by the Crewing Coordinators for recommendations and further actions.
• Prepare and maintain the rotational plan for the entire fleet, plan and follow up on crew transfer, and ensure execution as per the safety guidelines.
• Control the crewing payroll process and ensure that the payroll journal is correct and that salaries are transferred in a timely manner.
• Ensure the validity of certifications on board the vessels as per the ISM, STCW, and MLC requirements.
• Responsible for the travel arrangements and bookings for all offshore crew. Verify and process travel tickets and hotel invoices for payment.
• With the HSE team – ensure the proper execution of the safety management system on board the allocation vessels.
• Perform miscellaneous tasks as assigned by his/her direct manager.
• Responsible for the development, performance appraisal, and succession planning of all direct and indirect reports.
• Oversee and implement the development program(s) that support the crewing department objectives and foster a highly effective management and leadership structure.
• Experience with handling multinational crews.
• Responsible for providing a wide range of office management and support to the Company.
• Support administrative needs of the Managing Director including scheduling and preparing for meeting and calendar management.
• Make travel arrangements for the Managing Director, Management, and Staff.
• Develop and implement administrative functions to monitor business operations.
• Manage and direct the activities of the staff in an administrative setup.
• Interact with other department heads in managing the entire administrative operations.
• Prepare and edit correspondence, communications, presentations, and other documents
• Arrange and coordinate meetings and events
• Maintaining confidentiality of sensitive and confidential information
• Participating in a wide range of company projects and events
• Develop inventory control management systems for the inventory department.
• Assist and support front desk management in handling visitors and clients
• Develop logistics in organizing records, files, and statements in an effective manner.
• Perform other work-related duties as assigned including supporting the corporate compliance team as needed.
• Maintains working relationships and communicates with all departments.
Requirement
• Minimum 5 years of marine experience, including 4 years in crewing management.
• Excellent knowledge of crewing regulations (including flag state requirements, MLC, STCW etc.)
• Working experience with Saudi Aramco and PTTEP projects.
• English fluency is a must, and Arabic and Thai language is a plus.
• Process good understanding and knowledge in document control and management.
• Proactive, takes initiative, and is well organized.
• Able to work fast under pressure.
• Abilities to multi-task and work independently.
