Job Descriptions:

• Collaborate with the team and employee to ensure the organization’s HR policies and procedures are widely adhered to , accepted and updated.
• Manage and communicate new or revised organization HR policy and procedure issues in the respective employees including delivery of short briefing, ensuring the employees are appropriately equipped and constantly supported in introducing and managing such changes.
• Support and advise employees in terms of organization HR policy and procedure or any relevant statutory terms and conditions.
• Understanding individual’s job roles and collaborate with Manager / Head of Department to update their Job Description.
• Provide assistance to Admin & Human Resource Assistant Manager implement program and initiatives designed to improve employee engagement.
• Support performance appraisal processes by assisting managers with goal setting, performance evaluations and feedback session.
• Provide assistance to organize and coordinate staff training, company events, and office programs. May instruct training programs including conducting new employee orientation.
• Administer staff confirmation, transfer, promotion, and other related staff movement.
• To prepare remittances for EPF, SOCSO, Income Tax, Zakat and HRDF Levy.
• To liaise with relevant government bodies such as HRDF, Income Tax, KWSP, SOSCO, HRDC Levy etc.
• To maintain staff’s personal records and keep the data updated from time to time.
• May assist in evaluating and modifying the JM’s training programs.
• May assist with establishing and implementing the training calendar.
• To review and monitor employee attendance, discipline record, annual leave and medical leave.
• Any other reasonable duties that may be assigned to the Admin & HR Manager and top management from time to time.     

Required qualifications:

•  Posses at least at a diploma or bachelor’s degree in human resource management /business studies/administration/ management/ or equivalent
• At least 4 years of working experience in HR with a similar position
• Possesses a high level of confidentiality, responsibility, self-motivation, self-discipline and good interpersonal skills.
• Good organizing skills with the ability to manage time and prioritize.
• Good interpersonal, communication and problem-solving skills.
• Good team player, strong sense of responsibility and able to work under pressure.

• To oversee daily branch operations and provide assistance and support to branches;
• To liaise and work closely with internal departments as well as external parties such as auditors;
• To ensure the compliance of local authority;
• To maintain productive communication with other branches / departments and convey important information, messages or announcements from HQ to branches and colleagues;
• To ensure staffs to follow the company and operational procedures and related policies;
• To ensure that all assigned work activities and operations are carried out smoothly, timely and compiled with the company' requirements;
• To monitor the usage and issuance of manual delivery order;
• To review monthly Shell petrol transaction;
• To act as a HR window and be responsible for all HR and Administrative related matters such as to conduct new employee orientation, to prepare, check and verify attendance report, trip commission and overtime report, to arrange for maintenance servicing for office equipment, assets and vehicles, to monitor and renew for business license / Quit Rent / Assessment / Road Tax etc and prepare Exit Employee Checklist for resigned staff and collect all the company properties;
• To act as an IT Window and assist IT Department for all IT related issues;
• To be in charge of the ordering and distribution of stationery, administrative items, groceries and staff refreshments;
• To prepare, monitor and submit Non-Trade bills/ invoices to HQ - Accounts for payment;
• To review and submit Sales Personnel expenses monthly claim;
• To be in charge of branches' Petty Cash claim reimbursement (including of keying in into system);
• To arrange bank in of cash and cheques and system knock off for customers' payments;
• To check and review PCR/Return Order and monitor pending Return Order in AX System and submit workflow to get approval from required approver(s);
• To issues Credit Note and/or Debit Note;
• To monitor Cash Sales / COD1 accounts' payments in AX System;
• To undertake any other ad-hoc assignments or duties assigned by superior when required.

Requirement:

• Diploma in Business Studies / Administrative / Management / Marketing or equivalent and/or at least 5 years of working experiences;
• Computer literate and have good skills in Microsoft Office or equivalent;
• Responsible, self-motivated, well-organized and meticulous;
• Able to communicate in Mandarin, English and Malay;
• Willing to travel.

GENERAL JOB OVERVIEW

Handling office tasks, such as filing, generating reports and presentations file for the meeting and ordering from supplier. Prepared invoices on-time to avoid late billed to customer which will result delay in payment received for every month. 

DUTIES & RESPONSIBILITIES

• Process orders via multiple channel: Email, Phone, Order form, etc
• Check data accuracy in orders and invoices
• Preparing purchase order, details and GRN and referring the price through quotation.
• Preparing documentation for new order eg. Agreement, DO, Collection note, etc.
• Preparing invoices via OBM System.
• Contact clients to obtain missing information or answer queries.
• Liaise with the Logistics department to ensure timely deliveries
• Maintaining and updating accurate sales related information in MS Excel
• Updating salesperson’s schedules in Excel spreadsheets.
• Develop monthly sales reports & statistic
• Communicate important feedback from customers internally
• Stay up to date with new products of company.
• Preparing CIF (Customer Information Form) for any inquiries, upgrading request from customer or termination to Sales Team.
• Perform ad-hoc task assigned by supervisor as & when required.

QUALIFICATIONS

• Minimum Diploma holder in administrative, Marketing, Sales or relevant field.
• Proven work experience as a Sales administrator or Sales support (Min. 3 Years)
• Hands on experience with MS Office (MS Word, Excel & PowerPoint).
