Job Description:

• Ensure that all delivery of goods are covered by approved Purchase Order, Purchase Requisition or Market List.
• Ensure that the incoming goods are received at the right price, right quality in good condition.
• Check the Receiving Note and purchasing requisitions before sending to the Accounts Payable and distribute the copy to the department concerned.
• Co-ordinate with Purchasing for items without Purchase Orders, items which are not delivered on time and consulting them in case of any discrepancies noted on the delivered items.
• Follow up those outstanding POs that has yet to be delivered with supplier and check with user department if the PO is cancelled or delayed in delivery.
• Prepare daily receiving summary record and ensure all the daily deliveries entered to the system and pass to AP on daily basis.
• Maintain filling system for all documents received.
• Assist in receiving goods that need to be picked up by the Hotel.
• Ensure proper filing of all the Purchase Orders for goods.
• Inform the designated department for the arrival of the goods.
• Ensure that the goods are directed to the correct location.
• Perform common duties as may be assigned by the management.

Job Requirements:

• Minimum of 2-year experience in receiving, 5 star luxury environment preferred.
• Working knowledge of computer programs for entering data

Duties and Responsibilities

• Process vessels’ requisition orders including orders for equipments, spare parts and other supplies
• Source, select and contact suppliers, both local and overseas, to obtain quotes
• Compare prices and shortlist suppliers
• Confirm orders and co-ordinate with suppliers for smooth delivery to the vessels or office
• Monitor, input and update requisition requests, quotations received and approvals by the General Manager and Fleet Managers into the Central Processing system to generate purchase orders number and order confirmations
• Manage suppliers to improve quality, delivery and service performance

Requirements

• GCE “A” Level or its equivalent and above
• Minimum 1 to 2 years’ experience in handling purchasing and / or procurement work in ship management activities or related industries
• Good MS Office Skills
• Resourceful and meticulous
• Able to work under tight deadlines

• Bids received must be based on a specified quality and quantity. All purchase requests must state vendors names in the appropriate spaces and bids received from each vendor on the appropriate lines.
• Order placed with suppliers must ensure the following considerations :
• · That bids are for the specified merchandise. If yields differ, the lowest price may not be the best to buy.
• Promptness of service and past experiences with vendors should be
• · considered in selecting the vendors. However, care should be taken to avoid reliance on a limited number of suppliers.
• · In obtaining quotations, ensure that it includes freight and delivery to the Hotel.
• · Frequently, in the course of ordering, the suppliers will offer "Bargains" for larger quantity purchases.
• In general, large quantity buying should be avoided. These "Bargains" must be brought to the General Manager's and Director of Finance’s attention for approval.
• Assist Cost Control Executive in cost control and receiving functions
• Assist to ensure Store, Receiving and all their related areas are strictly complied with the standards at all time.
• Support Cost Control Executive in conducting monthly inventory of beverage store and supervising stock-taking in stores, kitchens and bars.
• Support Cost Control Executive in checking recipe costings, inter-kitchen transfers, wastages at outlets, beverage variances and any other cost control related matters.
• Assist to check Market List, Receiving Record, Costing List to ensure the effectiveness of the control system.
• Perform duty as and when required by Director of Finance.

1-1. Primary Job scopes:

- Unloading pallets from incoming laden containers by forklift

- Perform the inbound verification by using either eye-ball checking or scanning

- Perform break-bulk from mixed SKU pallets or cartons

- Put-away to either selective rankings / shelvings *In case of put-away to selective racking, the reach truck needs to be operated.

- Picking from either selective racking / shelvings *In case of picking from selective racking, the reach truck needs to be operated. - Perform outbound verification by using either eye-ball checking or scanning - Pack multiple items into new carton(s)

- Perform stock-count and find out any discrepancy if necessary

- Do some house-keeping based on the instructions from the direct superior

- Perform daily pre-inspections on the relevant MHEs (i.e. Forklift, Reach Truck)

- Report whatever irregularities to a direct superior in a timely manner.

1-2. Competency

- Must be open and honest

- Need quick response and reporting in case of any irregularities

- Must be accurate in terms of counting / verification

- Must be time-bound on job completion (i.e. within the set turn-around time, need to complete jobs)

- Must have a experience on operating both forklift and reach truck
