Job Description

1. Assist Training & Management Department on day-to-day operational matters (e.g., trainer support, invigilation, administrative support, ad-hoc support etc).

2. Managing lesson administration (e.g., LMS and Zoom (or equivalent)), supporting relevant software.

3. Provide first-level Tech and Admin support (i.e., LMS, Zoom) to staff and students, addressing admin issues (e.g., EdTech Tools tech support & administration), and network connectivity for classes and daily operations.

Job Requirements

1. Diploma / O levels & above.

2. At least 1 year of administrative work experience.

3. Basic software Skills: Experience in Microsoft Office and Zoom, with the ability to conduct basic troubleshooting. Experience in Learning Management Systems (LMS) is an added advantage.

4. Ability to support users on administrative issues.

5. Singaporeans / Singaporean PRs are welcomed to apply.

Job Descriptions

• Communicate with manager to identify training needs for different category of cleaners.
• Schedule ongoing WSQ training for workers who have completed 3 months of employment in according to NEA/job requirements.
• Source for training providers and register employees for courses.
• Communicate training details to the Manager/Supervisor and ensure they attend the mandatory training.
• Ensure all employees must have Singpass for taking e-attendance prior to attending training.
• Check with training provider on attendance and ensure trainees who are absent will attend reschedule training
• Work closely with training provider to update attendance after every course attended.
• Ensure all cleaners are 100% trained 3 months before expiry of cleaning licence.
• Register employees for training subsidies.
• Monitor training grants
• Manage and update training information in EasyPay.
• Visit sites to help employees retrieve training certificates using their Singpass and update their certification in EasyPay.
• Update and manage employee records.
• Preparation relevant letters to effect staff movements (appointment, resignation, transfers, confirmation, promotions, warning letters etc).
• Responsible for the documentation of new hires; up-to-date, accurate information and documents are kept in employees' P files.
• Handle work passes related issues such as application, renewal, cancellation etc. via WPOL/EPOL.
• Any other ad-hoc duties as assigned.

The Continuing Education and Enrichment (CEE) department of Metropolitan YMCA (MYMCA) Singapore endeavours to be a progressive continuing education provider that delivers high-quality, innovative and responsive programmes to learners of all ages through strategic collaborations. The department serves both adult learners and children from three years old.

The Senior Executive, Learning Delivery adds value and contributes to the growth of the Continuing Education and Enrichment (CEE) Department by ensuring the smooth operations of clients satisfaction, admin and logistics operations.

Responsibilities:

1. Programmes Delivery Operations

• Plans and executes business and learning delivery operations for all programmes, classroom learning and events at MYMCA and external venues
• Uses digital tools and systems that support an efficient and accurate learning delivery process and follow-up
• Be present, follow up on the deliverables and outcome of all learning activities – some week nights and/or weekends will be affected
• Leverage on SkillsFuture Singapore’s (SSG) Training Partners’ Gateway (TPG) to submit coursewares and documents related to learners’ learning
• Knowledgeable in the SSG funded programmes’ schemes
• Instructors’ Management
• Develop, maintain and update department’s related policies, SOPs and record keeping of official documents

2. Programmes Development –

• Establishes network with external stakeholders and market programmes
• Works with Programmes Leads on instructors’ availability
• Builds collaborative relationships with external stakeholders

Requirements:

• Passionate about continuous learning for both adults and children
• At least 3 years of operations and business development, hands-on experience in the education and training sector
• Skilful and knowledgeable with the various funding schemes from the public agencies, and the use of Training Partners Gateway (TPG) and online learning platforms such as Teachable, Udemy, Coursera and etc is preferred
• Independent and confident in using digital and web technologies to conduct trainings, webinars, seminars and etc
• Has initiative, resourceful, good interpersonal skills, detail-oriented and creative in publicity
• Ability to follow through programmes and projects implementation
• Possess the ACTA/ACLP and/or a Degree/Diploma in related disciplines
• Proficient in Microsoft Office Applications

The candidate should possess strong communication and interpersonal skills, as he/she will work closely with academics, students, and other administrative executives.
