From beginning

About The Job

Responsible to manage the day-to-day operations of the accounts payables, prepare necessary reconciliations and accounting schedules and ensure timely book closing.

Key tasks:

Processing of all invoices and claims

• Process all suppliers invoices and credit notes related to inventory by verifying against GRN and PO. Ensure correct application of taxes in the suppliers invoices.
• Update invoice files and post transactions to Purchase Ledger/General Ledger.
• Monthly revaluation of foreign currency payables.
• Check and ensure all the expense/travel claims are according to the policy and with proper authorisation.
• Coding all suppliers invoices and employee expense claims to the correct expense type.

Payment Processing

• Process weekly and monthly payments for staff claims and local suppliers by generating the csv file for upload to bank.
• Prepare monthly payment proposal for foreign suppliers and coding of accounting entries for payment made.
• Issuing of cheque with approval from Finance Manager/Accounting Manager

Prepare Monthly Reconciliation and Accounting Schedules

• Reconciliation of Purchase Ledger vs General Ledger

Job Description

We are seeking a highly motivated Finance & Admin Executive to join our team. This is an excellent opportunity for a finance professional looking to be part of a growing company. You will play a crucial role in managing and maintaining the financial records and transactions of the company as well as the chance to gain hands-on experience with partial or full sets of accounts.

Job Responsibilities

• Support daily activities of Finance & Operations
• Create purchase order, delivery order, sales order, tax invoices and other documents
• Manage daily accounts functions like Accounts Receivable (AR), Accounts Payable (AP) and reconciliation
• Prepare monthly schedules, review of customer SOA and AP aging
• Handle meeting and travel arrangements, business visa applications and staff claim submission
• Perform filing/archive/sorting of operation related documents
• Assist in month end closing and related financial matters
• Coordinating and collaborating with other teams, including HR/project teams as required
• Undertake assignments as and when required

Job Requirements

• Diploma / Degree in Accounting, Business Administration, or related disciplines
• Knowledge of XERO accounting system will be a plus
• Proficiency in Microsoft Office
• Good verbal and written communication skills, enabling effective collaboration with team members
• Adaptable and thrive in dynamic, results-oriented environments, able to deliver under pressure
• Capable of working independently on tasks and projects, while also being a team player who can contribute effectively to group initiatives and goal

The position will report to the Corporate Financial Controller.

The roles & responsibilities of the position include but not limited to the following:-

Finance & Accounts Roles

• Handle full set of accounts in respect of entities account.
• Prepare analysis for the financial statements of the companies for management comments.
• Assist to prepare GST, income tax returns and computations and ensure timely filing to tax authority.
• Support month end closing and year-end audit process including reviewing financial statement, schedules of accounts.
• Assist to prepare monthly consolidated financial report as well as the financial reports of Mi Group and ensure timely submission.
• Assist to compile necessary financial data for quarterly reporting and ensure compliance with group requirements
• Liaise with company secretary, auditors and tax agents in respect of related matters of the companies

General Administrative Roles

• Support travel arrangement and scheduling for business trips
• Manage pantry & general office supplies, including on-time replenishment, marketing, ordering, delivery, and compile monthly report for bookkeeping purpose.
• Support day-to-day general administration of Corporate Office.
• Manage the availability/scheduling of meeting facilities.
• Support administrative arrangement and preparation for new hires.
• Support in document management for Corporate Office.
• Support in corporate events arrangement.

Requirements:

• Degree/ACCA and above
• At least 2 years of experience managing full sets of accounts
• Able to perform the full spectrum of accounting duties independently
• Able to manage stress and meet necessary deadlines
• Self motivated with a can do attitude important
• Proficient in Microsoft Word, Excel
• Able to speak & read Chinese
