Job Descriptions:

• Collaborate with the team and employee to ensure the organization’s HR policies and procedures are widely adhered to , accepted and updated.
• Manage and communicate new or revised organization HR policy and procedure issues in the respective employees including delivery of short briefing, ensuring the employees are appropriately equipped and constantly supported in introducing and managing such changes.
• Support and advise employees in terms of organization HR policy and procedure or any relevant statutory terms and conditions.
• Understanding individual’s job roles and collaborate with Manager / Head of Department to update their Job Description.
• Provide assistance to Admin & Human Resource Assistant Manager implement program and initiatives designed to improve employee engagement.
• Support performance appraisal processes by assisting managers with goal setting, performance evaluations and feedback session.
• Provide assistance to organize and coordinate staff training, company events, and office programs. May instruct training programs including conducting new employee orientation.
• Administer staff confirmation, transfer, promotion, and other related staff movement.
• To prepare remittances for EPF, SOCSO, Income Tax, Zakat and HRDF Levy.
• To liaise with relevant government bodies such as HRDF, Income Tax, KWSP, SOSCO, HRDC Levy etc.
• To maintain staff’s personal records and keep the data updated from time to time.
• May assist in evaluating and modifying the JM’s training programs.
• May assist with establishing and implementing the training calendar.
• To review and monitor employee attendance, discipline record, annual leave and medical leave.
• Any other reasonable duties that may be assigned to the Admin & HR Manager and top management from time to time.     

Required qualifications:

•  Posses at least at a diploma or bachelor’s degree in human resource management /business studies/administration/ management/ or equivalent
• At least 4 years of working experience in HR with a similar position
• Possesses a high level of confidentiality, responsibility, self-motivation, self-discipline and good interpersonal skills.
• Good organizing skills with the ability to manage time and prioritize.
• Good interpersonal, communication and problem-solving skills.
• Good team player, strong sense of responsibility and able to work under pressure.

• To obtain the approved selling price from the Sales & Marketing Department with approved signatories and memo for new launching projects – to key into the Road Runner system.         
• To prepare purchaser files for each respective phase/project, ensuring all copies of sales documentation comprising Sales & Purchase Agreement (SPA) & transfer documents are adequate for each launch & price checklist on the individual information of each respective lot e.g., pricing, land & built-up areas, lot status. 
• To manage Sales Management processes/procedures and the Road Runner system.        
• To provide any assistance during launches as required, e.g. assist in sales documentation, completion with the purchaser, and data entry of purchaser details in the Road Runner system.         
• To liaise with the Legal Department to get confirmation on the panel of solicitors for the new launch and allocate units accordingly to the panel solicitor involved. 
• To instruct the Lead Solicitor to prepare a Sale & Purchase Agreement (SPA) to be approved by the Legal Department.
• Responsible for preparing the Pre-Qualification Form for Real Estate Agents (REA) appointments. 
• Responsible for preparing the REA commission claims.  
• To manage and monitor the services and performances of Solicitors on SPA execution and to submit the Evaluation Form every financial year-end. 
• Responsible for preparing the solicitor's legal fees.  
• To arrange briefings to the appointed solicitor – project brief, sales packages, and allocation.
• To schedule appointments between purchaser and panel solicitor for SPA signing solicitor upon request by Sales Executive.
• To issue first and second reminders to purchasers to sign SPA and to track.
• To verify each SPA according to the checklist and responsible for arranging for SPA (authorized signatories).
• To verify each purchaser’s file before submitting it for conversion to the Sales Administration Department according to the checklist.
• Responsible for producing conversion aging report i.e., sale completed but the physical file has not been transferred to the Sales Admin Department.
• To prepare and compile daily, weekly, and monthly reports – Master Control, Conversion Report, Legal Fees & REA Commission.
• To prepare, compile, and disseminate through email the Monthly Summary Research on nearby Competitors Report.
• To provide administration & marketing support for immediate superior when required.
