As an Administrative & Outreach Assistant Manager, your roles will include:

• Day to day running of the Office, including registration, recruitment and operations for Studio classes
• Organise and execute all administrative meetings with the Artistic Director
• Prepare and upkeep grant reports, annual budget information and maintain procedures manuals
• Manage clerical bookkeeping & financial administrative matters with the accounting personnel, keeping to required timelines.
• Oversee recruitment, hiring for part-time staff and freelancers and handle staff related administrative matters
• Plan, develop and execute engagement and outreach programmes through effective coordination with the Artistic team, freelancers and partners.
• Manage ticketing and Front of House administrative matters for Productions
• Promote company’s mission, performance platforms, classes and programmes
• Maintain and grow network and partnerships with a diverse group of stakeholders including government agencies, academic institutions and special interest groups and parents.
• Maintain company’s social media platform such as Facebook and Instagram and set up EDM campaigns for updates on outreach events and admin matters as required.

The ideal candidate should:

• Have good knowledge of arts administration, outreach event planning and management,
• Has at least 2-3 years of relevant working experience in a similar role, preferably in a performing arts, charity, or non-profit organisation
• Has a Diploma/Degree in Arts Management, Marketing, Mass Communications, Business or any other relevant field in the arts preferred
• Have initiative and can work independently as part of a small, lean team
• Good interpersonal skills and love to engage with people of all ages
• Detailed and have good communication and writing skills
• Digital proficiency in Microsoft Office, Google, social media software
• Passion for the Arts and a Dance background would be a plus
• Must be Singaporean or PRs
• Able to work a minimum 22 working hours per week, up to full time commitment
• Must be able to start immediately or at short notice
• Availability to work on Saturdays will be a plus

Scope

• Oversee the development and implementation of MPCSL’s key policies (e.g. HR, risk management, COI, etc.)
• Ensure MPCSL is compliant with all charity regulations (e.g. Code of Governance for charities)
• Ensure MPCSL taps on the relevant grants. Oversee the application and submissions for these grants.
• Assist the Executive Director in other MPCSL matters (e.g. planning and execution of programmes, assist the WeCare@MarineParade and Caregiver Support Network programme teams)

Details

• The AM will report directly to the Executive Director
• The AM is allowed to Work-from-Home (WFH) by default but is required to be physically present when required. This arrangement is subject to change at the discretion of the Executive Director.
• The AM will work a 5-day work week. The working hours are 0900 to 1800 hrs.

Requirements

• Degree holder (Polytechnic Diploma may be considered for those with experience)
• Good analytical skills and meticulous in nature.
• Relevant experience with the social service sector is a plus.
• Team player and problem solver. The candidate must show willingness to take ownership of assigned tasks.

Remuneration

JOB SUMMARY

• Assist the Principal in the administrative matters.
• Will play a pivotal role in ensuring the smooth and efficient operation of administrative processes. The responsibilities will span various facets of administrative management, including record keeping, communication, and coordination with staff, students, and external stakeholders. JOB RESPONSIBILTIES

(a) Records Management.

• Maintain accurate and up-to-date records of student enrolment, attendance, and education performance.
• Organize and manage student files, ensuring compliance with data protection and privacy regulations.
• Generate reports as needed for management and regulatory purposes.

(b) Communication and Correspondence

• Facilitate effective communication within the education centre by managing emails phone calls, and other correspondence.
• Act as a liaison between staff, students, parents, and stakeholders including parent organisation, conveying information in a clear and timely manner

(c) Scheduling and Coordination

• Assist in scheduling classes, meetings, and events, ensuring optimal utilization of resources.
• Coordinate logistical aspects of classes, meetings, events and other educational programs.
• Manage calendars for key staff members.

(d) Facility Management

• Oversee the maintenance of the physical premises, ensuring a clean and safe environment for students and staff.
• Coordinate with relevant department for facility-related services and repairs.

(e) Budgeting and Procurement

• Assist in budget planning and monitor expenditures to ensure fiscal responsibility.
• Coordinate procurement processes for office supplies, equipment, and other necessary items.

(f) Policy Compliance

• Ensure compliance with regulatory requirements and internal policies and procedures.
• Stay informed about changes in educational regulations and implement necessary adjustments.

(g) Human Resources Support

• Assist in the recruitment / sourcing of relief teachers.
• Assist the on boarding process of new staff.
• Maintain employee records and support HR-related activities.

(h) Event Planning

• Plan, coordinate and execute annual events, such as graduation ceremonies, open houses, and management meetings etc
• Assist in planning and execution of students’ co-curricular activities. Coordinate with volunteers for any such activities.

(i) Other Administrative Task
