The Senior Admin cum Customer Service Executive will be responsible for providing administrative support in the daily general admin functions and handle customer service tasks. The personnel will oversee the front office, dispatch, office inventories, facilities maintenance services and customer service functions.

Responsibilities:

1. Administration

• In charge of requesting quotations and preparing purchase orders (PO).
• Responsible for the building and facilities maintenance support and services which include managing contractors in service, repair and renovation work.
• Assist in outsourcing dispatch, overseeing cleaners, gardening services, pest control and any other services related to providing a comfortable working space.
• To coordinate in purchasing office equipment and supplies as well as monitor the deliveries from vendors and suppliers for pantry stock and stationery, photocopier paper, toner etc.

• Assist in administrative tasks, which include obtaining stamping from LHDN via the online portal, providing company mobile phones to employees, following up with the Finance department on the payment, generating or replying to emails etc.
• To assist in any other ad-hoc tasks from time to time.

2. Customer Service

• Serve as the initial point of contact for VIP customers regarding digital photography & camera repair or service requests.
• Greet and welcome VIP customers in a professional and friendly manner to establish a strong rapport with customers, understand their needs and concerns.
• Conduct initial diagnostics to identify issues and assess repair requirements. (Don’t worry, we've got in-house trainings for you)
• Collaborate with technical teams to ensure accurate diagnosis and efficient resolution of issues.
• Monitor and update VIP customers on the status of their repairs, ensuring transparency and communication throughout the process.
• Prioritize VIP customer requests and escalate urgent matters as needed.
• Maintain accurate records of VIP customer interactions, repairs, and service history.

 Requirements:

• Minimum Diploma / Degree in Business Administration, Business Studies, or equivalent.

About the role

With growing customer accounts and demands in Aerospace, we are assembling a team of Customer Service Executives to deliver visibility, proactivity, optimization and high level of customer satisfaction to our major Aerospace account. Based in our Subang Jaya 4PL hub, the team of Customer Service Executives will be rostered in 4 shifts to ensure 24/7 availability to meet our customers' needs.

What you will be doing

Monitor Operational Workflow to Ensure a Full Supply Chain Visibility to the Customer

• Receive and control customer bookings according to the processes in place
• Check optimizations from Optimizer if applicable and propose consolidation options
• Assign customer booking to a selection of freight forwarding agents (3PL)
• Monitor shipments on regular basis (3PL shipment confirmation, milestones completion etc.)
• Drive corrective actions when required (missing event etc.)
• Monitor delays and deliveries events using the dedicated IT solutions (internal or external TMS, BI…)
• Alert the customer team proactively in case of deviation and propose backup solutions
• Communicate with internal (regional and overseas) and external organizations, ensuring all communications generated in the dedicated IT solution (chat, tasks etc.) are handled in a timely manner
• Create reports and analysis to give a consolidated vision of the flows for customer

• You organize and coordinate tenant’s festive gift, including purchases for tenant’s gifts and other relevant Tenant Management inventories.
• You strategize deal structure and standardize variations for casual leasing, ie. pushcarts, ATM, vending machines, kiddies ride, etc.
• You deliver best possible lease deals by achieving or exceeding pre-defined commercial goals through negotiations strategy.
• You contribute and support yearly lease plan actions and merchandising mix for the centre.
• You contribute in goal setting and planning for casual leasing rent projection and tenant mix plans.
• You consolidate, analyse and evaluate Casual Leasing monthly gross sales performance and recommend necessary support.
• You establish and maintain comprehensive Tenant's database in Ikano Centre Management System (ICMS), Tenants Relation Management database and filling system for all tenants (i.e. sales information, licenses, permits, insurances, agreement and other correspondences).
• You monitor Tenancy and License Expiry for casual leasing and ensure timely renewal.
• You collaborate and support other departments for the improvement of tenant’s performance, tenancy, mall operations and/or other tenant’s related matters (e.g. Fit out, Mystery Shopper survey, Centre House Rules, Outstanding debts)

• Utilize Microsoft Dynamics to support the sales team by accurately maintaining existing client and new prospect data, managing sales pipelines, and generating reports. 
• Collaborate with the sales team to ensure timely and accurate entry of client orders, including pricing, product details, and delivery schedules. 
• Provide administrative support to the sales team by preparing sales presentations, proposals, and contracts, ensuring all documents are accurate, professional, and meet company standards. 
• Monitor and track sales activities, such as customer interactions, leads, opportunities, and follow-up actions, using Microsoft Dynamics to ensure timely and effective customer engagement. 
• Assist in preparing sales forecasts and performance reports, analyzing data to identify trends, opportunities, and areas for improvement. 
• Coordinate with cross-functional teams to ensure seamless order fulfillment, resolve customer inquiries, and optimize the overall sales process. 
• Maintain up-to-date knowledge of product features, pricing, and promotions to provide accurate and relevant information to clients and the sales team. 
• Contribute to the continuous improvement of sales support processes and systems, making recommendations for enhancements and implementing approved changes. 
• Provide exceptional customer service by promptly responding to client inquiries, resolving issues, and ensuring client satisfaction throughout the sales process.
