Position Overview:

As an intern at our Supply Chain Innovations Planning (SCIP) Hub, you will play a crucial role in driving data-driven decision-making and process optimization within our supply chain operations. You will have the opportunity to work closely with our talented team to enhance our supply chain analytics capabilities, utilizing coding skills and Microsoft Power BI expertise.

Responsibilities:

• Understanding our current processes and support daily/weekly report generation and ad hoc task required
• Work with the supply chain operations team to analyse data from various sources (eg. ERP, Rapid Response ,PBI etc)
• Identify opportunities to optimize supply chain processes and procedures through data analysis
• Collaborate with cross-functional teams to develop report/processes to reduce complexity and improve efficiency
• Present findings and insights to the supply chain operations team for next course of action
• Display keen interest in the Digital space (web page, Gen AI, ChatGpt etc.)

Qualifications:

• Currently pursuing a degree in Supply Chain Management, Business Analytics, Computer Science, etc.
• Knowledge of any analytics or visualization platform coding languages such as Python, R, Tableu, MS VBA or similar languages.
• Prior experience with Microsoft Power BI report development is a plus.
• Familiarity with data manipulation, transformation, and visualization techniques.
• Strong analytical mindset and problem-solving skills.
• Effective communication and collaboration abilities.
• Ability to work independently and manage tasks within established timelines.
• Willingness to learn and adapt in a dynamic environment.
• At least able to commit 6 months

Job Purpose

This position is the system administrator of Ship Manager ERP system (smart PAL) purchase software used by various type of vessels.

To support user through developing functionality with software vendor, resolving the issue and standardize the procedure.

To implement purchase system to new ship managers though facilitation of gap analysis, preparation of use manual and conducing end-user training.

Job Description

Operational Responsibilities

SmartPAL Purchase module system administration

- Understand full functionality of purchase module.

- Follow up on purchase module issue and take initiative to resolve.

- Collect feedback from users and plan for future development of new functionality.

- Conduct User Acceptance Test of new functionality to deployment

- Monitor vendor’s work progress for development and issue fix and follow up whenever necessary.

- Budget and Actual management of new functionality development

- Create operation manual for end-user.

Implementation of Purchase Module

- Support implementation purchase module to new ship manager including conducting gap-analysis, prioritization of function development and User Acceptance Test coordination. Need to collaborate with various stakeholders to establish a implementation plan.

- Support implementation of mobile application of purchase module for onboard crew members.

Procurement strategy building

- Manage and create purchase related BI report based on the system date.

- Gathering the insight from BI report and prepare procurement strategy.

Job Requirement

Experience: At least 1 years of working experience in the purchase department (international procurement).

IT Skills: Proficiency in IT tools such as Microsoft Excel, Word, PowerPoint, Outlook, and Business Intelligence (BI) tools.

Soft Skills: Good organizational and communication skills, a positive attitude, self-motivated, detail-oriented, and a team player. Project Management and problem solving skill.

Documentation Skill: Excellent and speedy documentation skills.

Negotiation Skill: Better have negotiation skills, but attitude of having dialogue with various stakeholders is important. Need to take a lead of discussion among stakeholders.

About the role

As part of the Supply Chain & Logistics team, this role will have the opportunity to work with stakeholders across the region, assisting in the coordination of contract logistics project, using data visualisation tools to develop and establish processes for operational excellence. • Work with project stakeholders to ensure timeliness of project updates and validation of any changes used for upstream reporting
• Initiate and adopt digitalisation opportunities through designing, developing and implementing of applications and workflow platforms for automation

Continuous Improvement

• Work with internal IT team and customers on changes, improvement and clarification of both existing and new parameters
  

Re-engineering/ Optimisation

• Assist in monitoring key performance indicators (KPIs), scorecard reporting related to the assigned operations
• Customise the objectives of each parameter, definition, target, calculation, frequency, source, retrieval method
• Highlight issues of failing KPIs and trigger correction action within relevant function

The successful candidate

Essential

• Undergraduate or Graduate Degree student in Supply Chain Management/ Industrial & System Engineering/ Computer Engineering/ Business Analytics/ Computer Science or related fields
• Strong and proficient in Tableau application
• Proficiency with MS Office applications (Excel, PowerPoint etc.)
• Basic programming skills (Eg. VBA Macros, R, Python)
• Strong communication and presentation skills
• Strong problem-solving skills and highly adaptable
• Fluent oral, written and presentation skills in English
