The successful candidate will administer the Fee Protection Scheme (FPS) and all administration on Cash, Cheque, NETS and Credit Card payments from parents or students relating to tuition and other school activities, recording and reporting on payments as required.

Responsibilities

Fee Protection Scheme (FPS) Administration

• Manage the end-to-end process of the procurement, administration, reconciliation and reporting of FPS purchases and cancellations in compliance with the CPE and Edutrust requirements;
• Work closely with Quality Assurance, Admissions team and relevant support staff for the review of FPS in alignment with CPE and Edutrust requirements;
• Prepare the monthly FPS reconciliation in relation to the FPS invoice and credit note

Accounts Receivable (AR)

• Handle the receipt, recording, reconciliation and administration of Cash, Cheque, Nets and Credit Card transactions, organize banking of cheques and cash;
• Support the AR team in managing fee collection , such as follow-up with parents on outstanding fee payments, while maintaining high level of customer service;
• Key point of contact for a portfolio of students in relation to fees matters;
• Prepare billings and receipts issuance for School-activities, application, ad-hoc and tuition fees;
• Prepare the refund of school-activities, application, ad-hoc and tuition fees, ensuring timeliness of refund in compliance with College policies;

General Ledger

• Prepare daily, weekly and monthly AR reconciliation reports, such as bank reconciliation, school activity revenue reports and daily transactional journal report.

• Ensure circulation desk is staffed to provide student and patron service at all times;
• Ensure the library is tidy and organised at all times;
• Assist in managing library computers, iPads and library laptops;
• Promptly assist all patrons (students, staff, community) with resource requests, locating books and other library resources, including digital resources accessed via the staff, student, and parent portals;
• Engage with the library collection to be able to guide student reading choices, promote library resources and to be able to create and curate recommending reading lists for students, staff and parents;
• Deliver and collect resources to/from classrooms and other College libraries, reception areas as required. This requires use of staircase on occasion;
• Manage the circulation of all library materials for library patrons (students, staff and community). This includes issuing and renewing loans, managing holds, following overdue procedures, collecting and shelving book returns;
• Communicate clearly and respectfully with all patrons both verbally and via email;
• Assist the Senior Library Assistant to process new books, ensuring they are correctly catalogued and prepared according to procedures;
• Assist the Library Team with collection management – repairs and replacements as required;
• Assist the Library Team to carry out the annual stocktake and inventory check;
• Assist the Teacher Librarian and Library Team with displays, events and general marketing of the library;
• Supervise students during duties and class time. Actively monitor student use of the library, assist in ensuring that library rules are followed, and standards of behaviour are adhered to;
• Supervise student leadership groups;
• Organise and direct parent volunteers;
• Attend relevant College meetings, as directed by the Teacher Librarian, and act as library liaison with teaching and support staff as required;
• Engage in Teacher Librarian identified professional learning;
• Assist the Line Manager to prepare paperwork for payment with the Finance Department;

All other duties commensurate with the role of Library Assistant as designated by the Librarian.

• GCE ‘O/N' Levels;

The College is recruiting an outstanding Executive Assistant to support the Director of Business Administration (DBA) in their daily work and in managing projects, managing diaries, drafting minutes, reports and other documentation as required, across multiple functions (IT, HR, Finance, Operations and Facilities, Compliance, Procurement and Nursing). The post holder is required to work with minimal supervision and with a high level of initiative and competence in office management, administration and project management.

The duties and responsibilities of the role are as follows:

Projects

• Initiate and coordinate projects such as audits, certifications, accreditation with professional bodies, and committee management etc. ensuring timely and accurate completion;
• Deliver projects in the various disciplines supporting Heads of Functions as required;
• Track progress of projects and update DBA on a weekly basis;
• Lead and co-ordinate the implementation and delivery of the Dulwich Customer Experience initiative for the Business Support Departments;
• Coordinate with Heads of Functions in the strategic plan activities for departments under the DBA’s report;
• Support other projects and drive innovation in both reporting and projects managed by the DBA;
• Coordinate performance management reviews for all department heads who report to DBA (IT, HR, Compliance, Procurement, Nursing, Finance, Operations).
• Support DBA with tender activities and any other ad-hoc projects as required.

Administration

• Manage the DBA’s diary effectively by planning ahead and anticipating needs, scheduling and managing appointments as required;
• Take responsibility for all secretarial and administrative tasks for the DBA, including planning agendas and travel, drafting minutes, preparing reports and analyzing data as directed;
• Prepare agendas and make arrangements for Committee meetings and follow up on action points which arise from them;
• Support all general administrative tasks for the DBA, liaising with other Departments under their remit as required;
• Personal assistant duties/responsibilities.
• Prepare and organise meeting rooms for DBA related activities;
• Develop and use tables and numerical data in the drafting of minutes, reports, plans and other documents;
• Undertake communication, via phone and in writing, with parents, suppliers and third parties on Business Support related matters;
• Take responsibility for the coordination and effective delivery of the DBA’s related bookings for meetings and venues, and allocating resources;
• Manage the booking of business travel and accommodation for the DBA;
• Distribute information, letters and newsletters to parents and colleagues;
• Manage orders in the filing room, boardroom, and pantry, and stationery for the business support office, coordinating with the Campus Administrators and other Personal Assistants as required;
• Administer the medical insurance claims process including contacting and emailing parents and College Nurses, and coordinating reports and payments as required;
• Assist in any of the DBA’s departments from time to time, as directed;
• Reconcile corporate Credit Card and other corporate accounts.
• Streamline processes under their supervision and propose improvements.
• Assist with the preparation of reports, letters, presentations and other documents using the full Microsoft suite of programmes.
• Manage the ordering and stock take of stationery and pantry items.

The successful candidate will have:

• A minimum of a diploma or certificate in business/administration or a related area.
• Strong administrative experience, including a minimum of one year’s experience in a similar role, providing administrative support at a management level;
• The ability to manage projects, and demonstrable experience of seeing projects through to completion;
• Experience of managing conflicting demands, and prioritising work to meet relevant deadlines;
• The ability to work independently and use own initiative;
• Experience of taking and preparing meeting minutes and disseminating as appropriate;
• The ability to work as part of a team, including experience of coordinating team members;
