An exciting opportunity has arisen within our Care Group for a TIA Medical Secretary to work supporting the clinical team.
We are looking for a new member to join our friendly administration team with the personality and passion to complement the existing team’s high standards.
The successful candidate must have a flexible approach, possess excellent communication skills, must be reliable, well organised, and able to work as part of a team or independently.
You will provide secretarial and administrative support, working both autonomously and as part of a team, involving day to day co-ordination and the booking of our rapid access TIA (Transient ischaemic attack) outpatient clinic.
• Administration and co-ordination of daily TIA clinics.
• Administration of clinic booking for our TIA clinical team.
• Central point of contact for the TIA service.
• Assist in timely data registration and reporting.
• Maintenance of up to date filing and archiving processes.
You should be able to work with minimum supervision and have a cheerful, tactful, sensitive approach to dealing with occasional difficult situations.
Communication and Working Relationships will include:
• Patients/Relatives/Carers
• Consultants, Nurses and Healthcare professionals both in Community and Acute services
• GPs
• Other Trust staff/staff of Statutory/Voluntary Agencies and Commercial Representatives
• Communicate/co-ordinate with General Practitioners and other Healthcare Professionals regarding patients, referrals, domiciliary visits, admissions, discharges, transfers.
• Direct communication with patients/carers resolving their problems and queries as appropriate.
Management and Personal Development
• Ability to plan, organise and prioritise own workload which can be pressured and require a high level of concentration.
• Provide cover/cross cover in the absence of other secretarial and administrative colleagues within the department as required to maintain a service to patients.
• To work according to Trust policies and procedures.
• To act as an information resource for other members of the team.
Administrative
• To provide a high quality secretarial service to the team facilitating effective communication at all times.
• To maintain confidentiality at all times and sensitivity when dealing with contentious and complex information.
• Set up and maintain accurate records and effective filing systems.
