Requirements

• Bachelor's degree or equivalent experience
• 5+ years' experience of event management experience, ideally with a law firm
• Experience in planning multiple high-level, logistically complicated events simultaneously
• Experience with vendor contract negotiations, particularly hotels and catering
• Mandarin Proficiency is highly advantageous

Event Planning and Coordination

• Assist to organize offline events and online webinars (e.g., exhibitions, workshops, competitions, social gatherings) through effective communication and collaboration with internal stakeholders and external vendors

Marketing Collateral and Brand Management

• Create, maintain, and update corporate marketing materials
• A great eye for design and the ability to generate new ideas for content creation
• Plan and develop marketing collateral, such as posters and brochures
• Organise photo/video shoots with photographer/videographer
• Develop templates ahead to post on website, social media, email and other mediums
• Create and develop other designs such as presentations, pitch decks, signages, and trade show collaterals, as needed
• Manage and maintain the brand architecture, guidelines and corporate identity to ensure consistency across all channels
• Educate and train teams in upholding the brand image and reputation

Digital Strategy (Website and Social Media) and Lead Management

• Grow the Company’s digital presence as part of the overall marketing strategy
• Develop and manage content calendars for social media platforms, creative production (including text, images, videos, etc.), and foster community engagement and growth
• Plan and execute digital campaigns and promotions
• Plan, execute and measure A/B tests
• Manage the company’s official website, execute SEO initiatives (with additional support), and ensure smooth lead generation and nurturing processes
• Measure and report performance, return on investments (ROI) of campaigns and identify trends and insights to optimise spend and performance

Client Relationships Management & Corporate Communication

• Utilize CRM systems to generate insightful reports
• Develop Email Direct Marketing (EDM) campaigns and disseminate company updates to strengthen client relationships and trust
• Develop marketing automation journeys and create personalised email content on CRM systems to drive engagement and return stays
• Analyse performance of marketing automation and email campaign performance
• Assist in crafting media releases, and monitor public sentiment to maintain a positive brand image

Regular Market Research

• Conduct in-depth market analysis to monitor industry and competitors trends, identify emerging opportunities, and enhance brand awareness among targeted demographics
• Present findings to the Management

Marketing Budget

• Assist to develop marketing budgets based on activity-sorted expenses
• Compare actual expenses to the budget and escalate to Management any issues or discrepancies

Administrative

• Assist in coffee-production related administrative matters and any ad-hoc matters assigned

Job Requirements

• Degree in Business Administration, Marketing, Communications or related field
• At least 2-3 years of working experience in the related field required (FMCG, F&B and Hospitality)
• Experience in organizing major events, particularly in the coffee industry
• Strong command of the English language and strong copywriting skills
• A good eye for design and creative thinking is essential
• A structured and organized process-driven individual with an eye for details
• Accountable, self-motivated, attentive to details, positive working attitude
• Good communication skills and able to work multi-task and independently in a fast-paced environment
• Proficient in MS Office suite
• Proficiency with Adobe Creative Suite or similar technologies (particularly Illustrator, InDesign, Photoshop)
• Proficient in web analytics tools and content management system is an advantage

We have a current opportunity for a Event Manager (Japanese speaking) on a permanent basis.

Role: Event Manager (Japanese speaking)

Location: Singapore

Salary: S$4,500 - S$6,000 per month

The Event Manager builds and maintains client relationships, provides guidance and support while adhering to client procedures and standards.

The Event Manager is responsible for venue and supplier sourcing, contract and commercial negotiations as well as financial budget and payment reconciliation.

Additional scope to include program planning, on site event management, virtual meetings support, and attendee registration management will also be provided to client as and when required.

The Event Manager works on a variety of program simultaneously and serves as liaison between the client and venue(s)/supplier(s) for the duration of the meeting, and beyond when required.

Your Responsibilities

• Provide meeting and events industry-relevant guidance, enabling highest levels of benefit to client
• Provide consultative approach to supplier sourcing, ensuring client identified clear objectives for the outcome of the meeting, conference or program
• Commitment to program related KPIs, SLAs and data quality requirements
• Sourcing, selection and presentation of venues and/or suppliers, taking into consideration the requirements, budget, key success factors for the program
• Enforce and negotiate the adoption of the client’s terms and conditions to identify and mitigate any legal or financial risks with engaging with third party suppliers
• Establish ongoing relationships (including site visits) with key suppliers such as venues, DMC’s, caterers, restaurants, AV suppliers, and transportation providers as needed
• Efficient management of timelines/deadlines for multiple programs, maintaining effective communication and clarity with client throughout the sourcing and/or planning process regarding all aspects of the program, including venue management, budgeting, and final program reconciliation
• Ensure timely payment of all supplier/vendor bills, client invoicing, deposits and payment status with Accounts Payable

Additional Scope As And When Requested

• Ancillary services for virtual managed and produced meetings which include production, audio visual, creative services, speaker engagement, moderation, knowledgeable about various virtual platforms
• Provide logistics consultation and support, facilitate smooth operation onsite, communicate program/event details and provide relevant collaterals to client and suppliers
• Facilitate the creative direction and overall development timeline of program related participant and host communications materials, including, but not limited to web sites, invitation letter and registration form.
• Responsible for building and managing registration sites
