Location: Romney Marsh, Kent
Hours of work: Mon-Thu 09:00am-16:00pm OR Mon-Wed 07:25am-17:00pm. Site based role.
Applicants must posses the following:
* Administration background & competent skills
* Strong organisation skills
* Computer literate
* Proficient with Microsoft Office
* Ability to multi task and prioritise work loads
* Strong stakeholder management skills
Role information:
* Deal with customer/client queries and resolve them within a good level of competence
* Draft correspondence to support day to day progression of tasks
* Provide a good level administrative support within the relevant function including processing expenses, arranging meetings, managing travel/ accommodation arrangements and organising refreshments
* Ensure that databases are updated in a timely fashion
* Manage and maintain effective filing systems
* Prepare agendas, minutes and action plans
* Comply with the Health, Safety, Environmental and Quality policies.
* Support the continuous improvement of Health, Safety Environment and Quality on Site.

About The Role
We have an exciting opportunity to join our Training Coordination Team, as a Training and Compliance Administrator at the office in Gresham Mill. The purpose of this role is to ensure the continued growth of the business through the provision and coordination of high-quality training. Furthermore, this role will play a key role in promoting the training courses available to external clients, securing strong course attendance.
Responsibilities:
• Act as main support to the Training Coordination Lead for the provision of Rail Safety critical training
• Support administration and coordination function for all training activity
• Organise training programs to meet specific training needs
• Track and report training outcomes
• Handle logistics for training activities including venues and equipment
• Provide feedback to program participants and Management
• Assist with the attraction and integration of new external clients through extremely high levels of customer service and dedication
• Promote group function
• Supply snapshot reports of training delivered/declined to Management
• Assist with resolution of identified areas of concern with the Management team
• Planning and organising the training schedule
• Promote course availability through weekly mailshots to external client base
• General assistance with admin function where required
Essential Skills:
• Extremely organised and efficient
• Highly dedicated to customer service and completion of tasks
• Intermediate/Advanced knowledge of Excel/Word/Outlook/PowerPoint
• High level of communication skills
• Ability to work autonomously
• Ability to think creatively to ensure a solution is found
• Prior knowledge and experience of the Rail Industry and/or Training Business
Experience:
• Experience of managing diaries and arranging meetings/trainings
• Experience of collating figures and producing statistics to be used by management for reporting
• Experience in liaising with team members from different divisions

Leave Administration – Manage end-to-end leave processes including monitoring of the email inbox, supporting queries
in leave management and entitlement policies, computing the leave balance for HR BP and Payroll team, maintaining the
internal communications on leave administration, preparing leave accrual reports for Finance and other reports for
management reporting.
Training Administration – Manage end-to-end training administration processes including monitoring of the email inbox,
maintaining the course catalogue, tracking attendances and feedbacks, event management, sending email reminders to
employees who have yet to complete their required training hours, preparing of training reports, agreements, and SOWs.
Audit – Maintain a secured archival to support annual and ad-hoc audit exercises.
Government Paid Claims – Process, submit and follow-up on government-paid claims such as but not limited to national
service, maternity, paternity, childcare, shared parental leave, and adoption leave. Monitor and report the status of the
claims. Interact and follow-up with employees on claims matters including outstanding documents.
Minimum ‘A’ Levels or Diploma
Minimum 2 years working experience in leave and training (and grants) administration, preferably with knowledge of SAP or SuccessFactors systems.
Proficient in Microsoft Excel, minimally Intermediate level (vLookup are Pivot Table are a must)
Special Knowledge or Skills:
Individuals with customer-facing experience will be preferred
Excellent communication and interpersonal skills
Strong analytical skills
Meticulous and have a keen eye for details with an inquiring mind.
Able to work in a dynamic and fast-paced environment
