About The Role

We have an exciting opportunity to join our Training Coordination Team, as a Training and Compliance Administrator at the office in Gresham Mill. The purpose of this role is to ensure the continued growth of the business through the provision and coordination of high-quality training. Furthermore, this role will play a key role in promoting the training courses available to external clients, securing strong course attendance.

Responsibilities:

• Act as main support to the Training Coordination Lead for the provision of Rail Safety critical training
• Support administration and coordination function for all training activity
• Organise training programs to meet specific training needs
• Track and report training outcomes
• Handle logistics for training activities including venues and equipment
• Provide feedback to program participants and Management
• Assist with the attraction and integration of new external clients through extremely high levels of customer service and dedication

• Assist with resolution of identified areas of concern with the Management team

A new exciting opportunity has arisen in Maternity at Homerton Healthcare to join the Education Team as the Maternity Education Administrator.

The appointed candidate will provide secretarial/administrative support to the Education Team as well as ensuring proficient and professional running of all learning and teaching sessions via the PDM and CPFThe post holder will help maintain PDM and CPF databases and spreadsheets and continue to deliver an efficient service to meet the demands of this busy department.

They will assist with mobilisation of kit to the clinical areas to support learning through clinical simulation and undertake the student rota in conjunction with the CPF.

To be able to work in a flexible manner with the Maternity Education Team

· To be able to work as part of a team but also independently and be responsive to change.

· Provide materials required for learning activities, including programs, handouts, visual aids, registers and certificates for training courses as necessary.

· Assist Maternity Education Team with administrative support.

· To prioritize own workload in the absence of any team member and plan ahead regarding future recruitment/ training sessions to ensure deadlines are met.

· Preparing the training room as appropriate including moving the chairs and tables where necessary.

· Coordinate the organization of any education sessions including booking rooms and notifying students or midwives.

· To open mail/e-mail communication and action as appropriate.

· To be prompt, efficient and courteous in dealing with student telephone enquiries and to deal with them accordingly.

The Support Services administration team is made up of three sub teams: Masters Education and Placements team, Statutory, Mandatory and Essential Training team, and Centre and Business team. The administration team are part of the wider Learning & Development department. Learning & Development provide access to a wide range of opportunities which include clinical and professional development, vocational qualifications, leadership and management development as well as Apprenticeships and Functional Skills support. Communication 1.1 Manage routine correspondence on a daily basis, including post, emails, telephone calls. For example, joining instructions, course handouts, HR forms. 1.6 Liaise with and assist the course tutors with any planning or booking that they require. 1.7 To develop and implement any projects undertaken by the Commercial and CFR Training Manager that require administrative insight. 1.8 Liaise with and assist with the booking and communication with external speakers and presenters. 1.9 On an on-going basis, ensure that student developmental records and trackers are kept current and up to date. Overall responsibility for applying to awarding bodies for certification. 1.10 Work as part of a team to ensure that the Education and Training Department are efficiently meeting their objectives. 1.11 Have the ability to work independently and meet personal goals in an appropriate time scale. 1.12 Lead communication between the training team and operational teams, ensuring clear understanding of any changes or updates, so that students always receive a positive handover between clinical training and operations. 1.13 Provide student information during corporate induction for each cohort. Understanding and student support will be required. 1.14 Assist students who have presented with additional learning needs, ensuring that the centre provides the equipment required, and the correct departments have been informed. 1.15 Minute taking and note transcribing for often complex and sensitive discussions or meetings, which will require confidentiality. 1.16 Minute taking for department meetings, and circulating minutes, agendas and action logs. Tracking of the action log and ensuring individuals are aware of tasks. Personal Development 2.1 Attend mandatory training when required. 2.2 Attend annual Compassionate Conversation with line manager to discuss progression and improvement within the trust. 2.3 Attend team meetings as planned. Health, Safety and Security 3.1 To prepare, amend and issue identification badges for staff and students when required. This includes taking photographs and producing badges. 3.2 Undertake work activities consistent with legislation policy and procedures, ensuring the safety of others managing an emergency and summoning help when necessary. 3.3 Identify signs that people may be at risk and reporting any suspicions to the appropriate person. 3.4 Main person of contact for reporting any risks or safety breaches around the building. Ensure this is reported promptly to the appropriate department and coordinate any precautions that should be taken. Service Improvement 4.1 Complete staff surveys as required. 4.2 Attend team meetings to discuss Quality Improvement and Assurance. 4.3 To assist the Commercial and CFR Training Manager in implementing procedures and processes within the department and promoting positive change. Quality 5.1 Invigilate on examinations and assist with marking multiple choice examination papers when required. 5.2 Responsible for the downloading, printing and security of examination papers once received from awarding bodies. 5.3 Prepare certificates for all courses on completion of programmes. Ensure that completed certificates are forwarded to the candidate. Certificates must also be registered on OLM and archived within the training department. 5.4 Forwarding appropriate staff information to Operations Managers to ensure continuity of support and learning. 5.5 Coordinate exam resits when required, ensuring that all students are given equal and fair opportunity to be successful. 5.6 Using analytical skill to collect and analyse data within the training records, often to measure course fill rates or pass/fail rates. This is reported regularly and requires precise records. Procurement and Commissioning 6.1 For your designated Training Centre, place orders for supplies such as stationery, kitchen supplies, cleaning supplies and clinical equipment. 6.2 Managing negotiation of price and booking of accommodation, hotels and external venues. 6.3 Coordinating student accommodation bookings, thoroughly auditing to ensure no errors are made. 6.4 Monitoring and maintaining student libraries within the training centre. Always ensuring that stock levels are maintained, and any borrowed resources are returned. 6.5 Responsible for ordering, stock control and distribution of supplies for the building and resources required for students and staff. 6.6 Preparing purchase orders electronically, to be countersigned by tutors, education training officers or education managers. 6.7 Accept and log any orders that are delivered to the training centre. 6.8 Arrange bookings of train tickets or hotels via Capita, as requested by manager. 6.9 Coordinate all time sheets, expenses and mileage claims for each student within the centre. This requires the post holder to use autonomy to authorise expense claims following trust guidance and be held responsible for any claims processed. Systems, Vehicles & Equipment 7.1 Reporting of any maintenance or risks of safety around the training centres to the appropriate department to arrange repair or call out. 7.2 Reporting any noticed IT or electronic equipment issues to the appropriate department to arrange repair or call out. 7.3 Management of logging equipment stock within each centre.

To work as part of a team providing the administration support for the Organisation Learning and Improvement team with the main focus on core mandatory training and PDRs. To be the central point of contact for all staff and Line Managers to support with core mandatory training and PDRs ensuring always dealt with in a helpful and courteous manner. Manage the Training and PDR inbox in a timely fashion and resolve queries. To provide a learning and development function within ESR; to create learning certifications for e-learning courses and recording local face to face courses and competencies for mandatory training courses. Apply national and local changes in accordance with ESR directives in relation to learning enhancements/amendments. To be point of contact for queries relating to OLM and ESR e-learning access and use of the system, including solving complex issues regarding staff access to ESR e-learning due to system errors. Coach staff on how to navigate the portal and undertake problem solving to find causes for errors and resolve them, referring any unsolvable issues onto ESR Service Requests for further investigation. Support with the development of a range of resources and delivery techniques, including the development of alternative resources such as e-learning, multimedia and simulation, in order to provide a blended delivery package for core mandatory training. Update core mandatory competencies and competency profiles required to new positions liaising with SMEs and managers to ensure accurate training is assigned. Responsible for sending out Workforce generated monthly/bi-monthly training & PDR reports and liaising with report holders to ensure correct hierarchy are recorded. Coordinate the delivery of a range of events/activities/initiatives impacting a wide range of multi-disciplinary staff at all levels, including the core Mandatory Training classes to ensure sessions run monthly for both delegates and SMEs. Support Subject Matter Experts if sessions are cancelled and contact delegates of changes to the program/schedule and update ESR accordingly. Take responsibility for receiving, recording and storing confidentially all PDRs trust wide. Pro-actively checking the criteria for the increment is met by cross checking staffs learning records and communicating the outcome to each individual. Liaise with Payroll to ensure incremental dates and steps are suspended on ESR including back dates. Provide advice on PDRs and pay progression including issues regarding pay. Ensure PDRs are launched annually to line managers with appropriate supporting documentation Ensure Bank applicants are supported with their training using multiple IT systems (ESR/Trac). Implement the process to ensure new starters complete mandatory training in a timely fashion informing recruitment of any delays and completions to mandatory training. Book training venues, rooms and external facilitators for services ensuring training environments are appropriate for use, including hospitality, catering and equipment if required. Provide administrative support to OLI leads. Provide advice on additional learning programmes and specialist areas to learners, managers and other team members on an ad hoc basis. Create content for communication platforms and channels to promote training dates and offerings. Liaise with Bank Staff and Payroll to ensure training time is reimbursed accurately. Responsible for ensuring internal and external post is distributed to HR colleagues appropriately, confidentially and within a timely manner. Ensure all confidential paperwork is filed or shredded promptly and securely. The Edinburgh College of Art (ECA) is looking for an enthusiastic and motivated Research Finance Administrator to join the ECA Office team. This is a full-time, fixed-term contract, Covering family leave within the finance team.



The Opportunity:

The successful candidate will provide financial support for the research activities undertaken by Edinburgh College of Art, including: financial administration for the College’s wide range of external and internally-funded research grants; The post holder will ensure correct processes and procedures are followed, potential improvements highlighted to line management and accurate financial records are maintained. The role will also involve ensuring correct allocation of income/expenditure.

This post is full-time (35 hours per week). We are also open to considering requests for hybrid working (on a non-contractual basis) that combines a mix of remote and regular on-campus working (minimum on campus 60% of the time).
