Purpose
-To provide highly professional and responsive Executive Assistant support to the Director of Communications and Public Engagement-To provide critical administrative, and logistical support to select projects, such as the organisation and delivery of roundtables and internal workshops, coordination of open tender processes or other initiatives crucial to moving a project forward.
-To support the effective operation of directorate-wide meetings and meetings of the CPE management tier, including agenda setting and action monitoring.
-To work with the director to ensure members of the directorate are kept informed of any emerging organisational priorities or issues relevant to their work.
Your new role
*Diary and time management: ensuring the Director's diary is well managed, and their time is used effectively, including by providing advice, taking the initiative, and making informed judgements about priorities.
*Inbox management: ensuring that the Director's inbox is well managed, according to individual preferences and working styles, including by responding to factual emails and dealing with questions and queries directly wherever possible.
*Task management: enabling the Director to devote as much of their time and attention as possible to high value, high impact activity, but taking responsibility for resolving or progressing issues for them as far as possible (including travel and accommodation).
*Effective meetings: maximising the value of meetings involving the Director by helping to plan, prepare, develop agendas, liaise with other colleagues, draft papers and briefing materials, and write up actions.
*Central services liaison: ensuring the smooth running of key systems and processes on behalf of the Director, by acting as a key point of liaison finance (e.g. on budget management) and HR (e.g. on inductions for new starters).
*Directorate and wide support: supporting the smooth and effective running of directorates and the shared leadership work of the three Directors, by assisting the Head of Core Team in their wider responsibilities.
What you'll need to succeed
*Understanding of the essential components of highly effective executive support for senior leaders.
*Significant experience of working at an Executive Assistant level.
*Passionate about charities' mission and committed to contributing to social change.
*Highly competent administration and organisational skills.
*A team player who can build strong and effective personal relationships across the company as well as externally.
*Able to respond to a range of expectations and responsibilities.
Experience
*Significant experience of working closely with senior leaders within organisations.
*Experience of working with organisational systems and process.
*Significant experience of working autonomously and make sound decisions based on own initiative.
*Able to provide challenge to Directors/those outside of their control to ensure informed decisions are made in a timely/appropriate manner.
*Experience of working under pressure and managing competing demands effectively.
*Proven experience of drafting high quality briefings, presentations, correspondence and speeches, using own research skills and existing materials.
*Proven experience of in-box management.
