Transcribes medical dictation by physicians and other medical practitioners pertaining to patients' assessments, diagnostics, therapy and other medical reports relying heavily on typing skills, medical terminology vocabulary and standard concepts, practices and procedures within the medical field.

Incumbent coordinates the flow of Anatomic Pathology consult cases; these include cases sent to other institutions as well as consults sent to St Louis VAHCS from other institutions. Tracks all incoming and outgoing clinical lab samples and requests for services related to PLMS environmental water testing program. Ensures all incoming samples are logged in and all outgoing results are electronically tracked using Microsoft Excel or other appropriate spread sheet programs. • Performs work involving the collection, compilation, and/or tracking of data and statistical information in support of the Perioperative Service, and Inpatient Care and Ambulatory and Specialty Program operations.
• Prepares, executes, and/or tracks program assignments. Uses database applications to extract information to prepare/assist in preparation of reports.
• Evaluates validity of documents and other data collection forms. Coordinates incoming data from a variety of sources within the assigned program areas.
• Reviews documents, reports, and/or applications for omissions and inconsistencies, and ensures data entry is complete and accurate.
• Enters pertinent information into an automated tracking system. Assembles data for use of the ANEs in conferences and prepares appropriate information packets.
• Maintain controls and follow-up action on reports having specified submission dates for the administrative services.
• Reviews reports to ensure the content addresses pertinent issues; returns deficient submission for clarification to originating individual(s).
• Various reports and documents may include but are not limited to peer reviews, root cause analyses (RCAs), employee proficiencies, ECF and GS performance appraisals and other actions items.
• The incumbent coordinates with Nursing Service Administrative Officer (AO), Human Resources Management Service (HRMS), assigned program managers, ANEs, Deputy Nurse Executive (NE) and ADPCS/NE on matters such as the proper completion and timeliness of employee proficiencies, ECF and GS performance appraisals.
• Incumbent distributes forms and instructions to service supervisors for completion of annual performance reviews/proficiency reports; sends deadline reminders as necessary; compiles reports and reviews for inclusion of required information and performs scheduling of workgroups and boards, etc.
• Presents information on RN proficiency and boarding process to ONE, ANE and Nursing Service Managers; coordinates with HR, the secretary for the ADPCS/NE and Registered Nurse Professional Standards Board (RNPSB) Chair to facilitate the timely boarding of RNs assigned throughout the VAMC.
• Coordinates with the Program Application Specialist on the RN Proficiency Database.
• Performs clerical and technical level work in support of a budget analysis and/or administration function.
• Processes budgetary transactions for assigned appropriated funds, reimbursable travel, and transportation accounts; maintains responsibility for tracking of fund control points related to PSIC/ASP.
• Determines appropriations to be charged by object class and line item and forwards invoices to the appropriate accounting office for payment.
• Prepares and assembles various data, including narrative and statistical materials into reports, charts, etc., that are provided for justification of the budget or for other administrative uses.
• Monitors and tracks obligations and expenditures throughout the execution phase of the annual operating budget.

Major Duties

• Coordinating administrative activities of Nursing Education programs to include the shared programs with various Schools of Nursing as well as the training programs at the VA sites in bachelor of nursing, doctor of nurse practice, associated degree of nursing, masters of nursing, RN residency and Clinical Nurse Leader (CNL).
• Keeping management informed of new and changing administrative requirements in the facility, VISN and VACO.
• Responsible for maintaining phone calls and visitors, resolving matters, answering questions and also serving as a point of contact for vendors, fellows, residents, faculty members, staff members, and applicants for training positions which include individuals at the VA and other academic institutions nationally and internationally.
• Maintaining calendars for supervisors, scheduling appointments and conferences independently and without prior approval and ensuring the supervisor is briefed on matters to be considered.

MAJOR DUTIES AND RESPONSIBILITIES but not limited too:

The incumbent serves as a primary contact, liaison and resource for Dermatology Service. The incumbent assists the Administrative Officer in the administration of the service. This includes having knowledge of and being responsible for managing computerized databases related to budget, personnel issues, equipment/supply purchases, and clinical outcomes. This position coordinates and assists in meetings associated with Dermatology leadership, facility leadership, Veterans Integrated Service Network (VISN) leadership and other various facility staff. The incumbent appropriately triages information from the VISN, facility leadership and VA Central Office (VACO) to disseminate to the appropriate management staff ensuring to translate the request to clearly articulate the relevance and purpose of the request. Develops and compiles information used to identify trends in patient care or services, or for quality assurance and patient evaluation.

• The incumbent independently performs Automated Data Processing Application Coordinator (ADPAC) duties to ensure that Dermatology Service staff members have appropriate hardware/software and electronic menus to complete their clinical and administrative duties.
• The incumbent independently performs miscellaneous administrative duties in support of Dermatology including taking inventory and requisition of supplies, entering, processing, and tracking ADP work orders for information technology issues; repair of equipment; and engineering work orders for general maintenance, etc.
• Performs a wide variety of administrative tasks associated with maintaining and supporting the work performed within the organization.
• Primary contact for Dermatology to all callers and visitors. Assures that flow of correspondence in and out of Chief's office is expedient, accurate and correctly directed and assigned, and follows up on correspondence requiring immediate action.
• Prepares executive correspondence including Congressional responses for service chief and executive level signature; coordinates follow-up to address patient or other stakeholder inquiries and concerns.
