Communication and Team Working: Act as a point of contact for any member of staff, public or patients internal or external to the organisation requiring either to speak with or meet with any member of the Operational Directorate Team. Respond promptly, efficiently, and appropriately to face to face, telephone and email enquiries. Participate in administrative team meetings as required. Work as a flexible member of the Operational Directorate secretarial team, providing cover for colleagues as appropriate. To provide support to the Tactical Control Centre as required. Take part in induction and training for new secretarial and administrative staff. Assist other members of the administration team in the achievement of a quality service. 2. Analytical and judgemental: Provide administrative support for projects undertaken within the Operational team. Lead and co-ordinate small-scale projects and be accountable for managing these projects and achieving project deadlines. Maintain effective working practices to assist in the timely completion of projects, ensuring own deadlines are achieved and that the flow of work is prioritised in order that targets, and objectives are met. Communicate with key stakeholders during project planning. Monitor compliance for mandatory training and appraisal data and produce divisional reports as required. Collate relevant information and updates for a regular divisional Newsletter (or similar) Update information for the relevant division on the Trusts intranet. Collate information for Performance Review Meetings Record annual leave and sickness leave and produce reports as required Support Divisional level business planning Support and input to the production of audits within the Operational team. Collate and input data for audits as required within the Operational team. Clarify any data issues/queries with relevant Operational team members/internal and external stakeholders to ensure provision of accurate data/final reports whilst ensuring that deadlines are met. Assist in the preparation of reports including briefings under guidance.

The successful candidate will be required to work flexibly between home and the office and the frequency for attending the office may vary depending on the exigencies of the service.

The Administrative Officer (Assistant SSD Chief) directs a broad and multifaceted program of services and management programs in the Regional Office. The Assistant SSD Chief plans, manages and evaluates the administrative and finance sections through subordinate supervisors. The Assistant SSD Chief is responsible for planning, organizing, staffing, directing, controlling and evaluating the activities of these sections and informing key officials on all phases of administration and finance functions of the Regional Office. Duties include, but are not limited to, the following:

• Keeps the SSD Chief informed on matters that affect the station or require attention.
• Give advice and recommendations on the administrative feasibility of operating plans, suggestions, and proposals.
• Reviews existing support service programs and recommends modification for improvement as needed.
• In partnership with the SSD Chief, develops, recommends, and implements a variety of programs, the failure of which would have extreme adverse impact on the overall operating capacity of the office services.
• Presents regular briefings to the SSD Chief, fellow Division Chiefs, Director, and Assistant Directors, providing workload status, progress on projects, and making upper management aware of all issues or problems with which he/she should be acquainted or must become involved.
• Conducts detailed studies and analysis of organizational functions and work processes during all phases of RO activities and provides appropriate recommendations.
• Oversees the financial and budgetary operations through the subordinate supervisor and is responsible for coordinating and managing the exchange of information between the Finance staff, the SSD Chief and operating divisions.
• Acts in an advisory capacity to the SSD Chief, Director and/or Assistant Directors relative to the availability of funds for personnel additions, procurement of equipment and significant expenditures for contractual services.
• Serves as Personal Identity Verification (PIV) Official who manages the PIV issuance process at the Regional Office and is responsible for the total scope of the chain trust of the process.
• May assume the full responsibility of the SSD Chief in the absence of the Chief.

Starting at $102,597 Per Year (GS 13)

A full-time position has arisen with our company for an Office Support.
Your working hours would be Monday to Friday 9am – 5pm.

The job would entail mainly covering our five offices in Bearsted, Barming, Headcorn, Walderslade and Strood, whilst Funeral Directors are on funerals, annual leave or to just give general support when the offices are busy.

If successful, you will be able to learn the processes for funerals, and when ready, to arrange funerals with bereaved families.
You will also be inputting details into the computer as well as other administration duties that would be needed including any telephone queries.
Full Training will be given.

Personal qualities required:

Have use of own car and have a full driving licence.
Be computer literate to a good standard, including Word, Excel and Google.
Smart in appearance although uniform will be supplied after a successful probation period.
Be calm, friendly, approachable and empathetic towards bereaved families.
Be able to prioritise jobs when busy.
Be able to listen to clients.
