Job Respinsibilities:

• Develop and implement HR strategies, initiatives, systems, tactics and procedures aligned with the overall business strategy.
• Bridge management and employee relations by addressing demands, grievances and/ or other issues.
• Administering benefits, compensation and performance appraisal system that drives high performance.
• Ensures legal compliance by monitoring and implementing applicable human resource federal and state requirements, conducting investigations, maintaining records, and representing the organization at hearings.
• To handle all disciplinary & IR issues/disputes, including investigation, disciplinary action, suspension and termination of employment.
• Oversee the end-to-end payroll processing for the Group, maintain accuracy and compliance with statutory requirements.
• Manage the recruitment & selection process by identifying candidates, conduct interviews and issuance of HR related letters.
• Report to management and provide decision support through HR metrics.
• Other ad hoc human resource and administration task may be added from time to time.

Requirements:

• At least a Bachelor's Degree in Human Resource Management or Business Management related discipline.
• At least 3-5 year(s) of working experience in the related field is required.
• Possess a high level of integrity with good leadership, consultative and negotiation skills
• Able to communicate effectively with all levels in the organization
• Good understanding of related statutory legislation includes Employment Act, EPF, SOCSO, and Industrial Relations
• Good interpersonal skills and resourceful in problem solving with the ability to work independently.
• Familiar with KPI setting, monitoring and review
• Meticulous and have a keen eye for details to ensure high-quality work output.

Job Responsibilities

Training

• Develop competency training & weekly tracking.
• Ensure all compulsory training (FSSC 22000, HACCP, safety, environment) is carried out according to plan.
• Ensure all training record proper update - monthly basis.
• Conduct yearly HR Briefing.
• Ensure internship training reports are updated monthly.
• Coordinate in engagement - internship students with PM accordance to internship plan.
• Ensure all courses claim from HRDF without delay.

Foreign Workers Matters

• Ensure FW work permit renew on time.
• New workers arrival and Repatriation.
• Application new FW.
• Update monthly FW report.
• Entertain any matters about FW - attendance, health issue, etc.
• FW hostel - monthly audit ensures compliance and tracking audit report for NC on safety, facilities or maintenance hostel is closed.

Talent Acquisition

• Assist in processing manpower requirements to support effective organization structure aligned towards the business direction.
• Source candidates for Hiring Managers within a stipulated timeframe.
• Process talent acquisition administrative activities such as the administration of offer letter, coordination of medical check-up, collection of documents etc.
• Assist in coordination at farm level in various Employer Branding activities such as university career talks, career fairs, strategic partnerships with schools etc. 
• Coordinate pre-onboard, onboarding and blending-in programs for new employees to ensure an enriching orientation experience.
• Assist in exit interviews with resigned employees, to gauge the attrition reasons and recommend the necessary actions for improvement.

To perform other tasks and assignments as directed by the Management from time to time.

The HR & Payroll Executive is pivotal in supporting the Local MU organization by fostering a performance culture and enhancing associate engagement. This multifaceted role encompasses various HR functions, including day-to-day HR operations, signature HR processes, payroll delivery, data management, policy and handbook compilation, SOP review and updates, compensation and benefits administration, and employee relations. With accountability for executing the local HR agenda, the HR & Payroll Executive plays a crucial role in driving organizational success and employee satisfaction.

You will play an important role, such as:

Payroll Management:

• Oversee and manage the payroll process for employees within the Malaysia MU organization.
• Ensure accurate and timely processing of payroll, including deductions, bonuses, and other compensations.
• Collaborate with relevant stakeholders to resolve any payroll-related queries or issues.

Policy Compilation and Handbook Development:

• Compile, review, and update HR policies and procedures in accordance with legal requirements and organizational guidelines.
• Develop employee handbooks to provide comprehensive guidance on company policies, procedures, and benefits.

Ensure the dissemination of updated policies and handbooks to employees and conduct training sessions if necessary.

Standard Operating Procedures (SOP) Review and Updates:

• Review existing SOPs across various HR functions and identify areas for improvement or updates.
• Work closely with relevant departments to implement changes to SOPs as needed.
• Ensure that all SOPs are up-to-date, compliant with regulations, and effectively communicated to relevant stakeholders.

HR Service Support:

• Provide support to employees and management on HR-related inquiries, such as benefits, leaves, and policies.
• Assist in the recruitment and onboarding process, including preparing documentation and coordinating orientation programs.
• Maintain accurate HR records and databases, ensuring confidentiality and compliance with data protection regulations.

Reporting and Compliance:

• Prepare regular reports on HR metrics, payroll processing, and compliance-related matters.
• Monitor HR activities to ensure adherence to legal requirements, company policies, and industry standards.
• Assist in audits and compliance checks, providing necessary documentation and support as required.

We are seeking a proactive and detail-oriented HR Senior/Executive to oversee the full employee lifecycle within our organization. The ideal candidate will possess a comprehensive understanding of human resources principles and practices, coupled with strong interpersonal skills to engage with employees at all levels effectively. The HR Senior/Executive will be crucial in supporting talent acquisition, onboarding, employee relations, employee engagement and experience, performance management, and offboarding processes.

Key Responsibilities:

Talent Acquisition

·       Support the Corporate HR team in sourcing and screening candidates to identify top talent aligned with organizational requirements.

·       Support in building a talent pool for existing roles for succession planning purposes.

·       Liaise with the recruitment team to support manpower placements.

Onboarding and Orientation

·       Facilitate effective orientation and onboarding of new joiners.

·       Provide guidance and support to new hires through monthly check-ins.

·       Data entry of new hires into payroll software.

·       Administration of leave management, and other employee benefits

Offboarding

·       Manage the offboarding process, including exit interviews and exit formalities.

·       Conduct exit interviews to gather feedback and insights for organizational improvement.

·       Ensure compliance with payroll and legal requirements related to employee separation.

·       Facilitate the collection and documentation of office assets from departing employees.

Employee Relations

·       Serve as a primary point of contact for employee inquiries, concerns, and grievances.

·       Address employee relations issues promptly and effectively.

·       Identify performance trends and recommend interventions to enhance individual and team effectiveness.

Employee Engagement and Experience

·       Assist in conducting quarterly surveys on employee engagement levels.

·       Assist in planning and conducting quarterly Townhalls and other staff engagement activities.

·       Prepare engagement reports using statistics and data collected.

·       Implement engagement initiatives and recommend ideas that would help to engage the ground workforce

·       Diploma/Degree in HR, Business Administration, or equivalent.

·       At least 1-2 years of relevant HR experience, preferably in Technology industry or IT Outsourcing Services environment.

·       Prior experience in recruitment is an advantage.

·       Proficient in Microsoft Office tools i.e. Word, Excel, Hellosign/Docusign.

·       Prior experience in SAGE EasyPay system is an advantage.

·       Detailed and meticulous with his/her work.

·       Must be able to communicate effectively both spoken and written in English.

·       Self-motivated, proactive, and resourceful.

·       Must be able to work from office, 5 days a week (Monday to Friday)
