Job Scope:

The Procurement Executive for purchasing is responsible for
planning and purchasing of raw materials in order to ensure smooth
supply of materials from supplier to production.

Key Responsibilities:

• To prepare material requisition, purchase order and other related
  documents
• To source for alternative and new supplier
• To monitor the raw material prices
• Maintain close liaison with suppliers on production capacities,
  readiness, quality issues and material supply
• Liaising with supplier for shipment / delivery schedule
• To update and maintain proper purchasing files and records in
  both hard copy and ERP system
• Special related duties

Competency:

• Related product knowledge
• Good interpersonal skills and the ability to interact with all level of
  people
• Strong written and verbal communication skills
• Fluent in written and spoken English Language
• Computer literate with Microsoft Office

Qualification:

Related first degree/diploma preferably in the area of business
administration or manufacturing or equivalent qualification with
relevant experience

related field

Responsibilities:

• Compares prices amongst various vendors in order to make sound purchasing decisions.
• Manage within a given budget to purchase goods and services for an organization.
• Guarantees that products are delivered in a timely manner, and that the quality of the goods received is satisfactory.
• Negotiate with contractors on price, mode of shipping, and delivery time.
• Purchase goods such as office supplies on a continuing basis in order to maintain certain inventory levels.
• Monitor invoices for accuracy, and authorizes the accounts payable department to issue payment.
• Analyse the performance of certain vendors in order to decide whether or not to continue buying from them.
• Input data concerning inventory and order amounts into a computer database.

Requirements:

• Proven working experience as a procurement specialist.

• Talent in negotiations and networking.
• Thorough knowledge of supplier or third party management software.
• Excel in decision-making and working with numbers.
• Familiarity in collecting and analyzing data.

• Ensure all procured items meet the specification, quality, halal requirement, and food act/regulations.
• To check and verify order confirmation documents, perform costing calculation and update system accordingly.
• To perform entry of Code creation, Purchase order, Good receive, Stock adjustment and other data maintainance in SQL.
• To notify stock arrival to all parties concerned upon arrival of stocks.
• To liaise with supplier on quality issue or reject items.
• Work closely with other departments to achieve operational efficiencies.
• Participate in process improvement initiatives & workflow for streamlining.
• To generate reports assigned.
• To execute any other tasks assigned.
   

Job Requirement

• At least 3 years of purchasing experience in the same industry (fresh vegetables imported from China, onions, potatoes, garlic, etc.)
• Able to speak and write fluently in Mandarin
• Pro-active, Team Player, Meticulous with sense of urgency.
• Competent in managing and proper handling of accurate records and system/ procedure compliance.
• Computer literate and proficient in Microsoft Office (Excel and Word)
• Good interpersonal and communication skills.
• Must be able to work independently.
• Knowledge on familiar with China’s fresh vegetable import and procurement matters, industry market dynamics, market information from the source base and related freight priority.
