- Promote and sell all functions of the catering and events to achieve the optimum departmental revenue targets
- Procures new business for the hotel by establishing leads from internet, printed materials, relevant industry documents and follow ups. Establishes and continuously updates mailing lists/database
- Secures repeat business for the hotel by maintaining contacts with travel agencies, professional conference organizers / associations, destination management companies, commercial houses, government bodies, and corporate accounts, through personal sales calls, telephone contacts and written communications (relevant to the industry assignment).
- Promotes the hotel as often as possible through entertaining, conducting site inspections, tour familiarizations & hotel presentations, etc. Organizes and attends major sales/ PR related functions, and/or trade shows when directed.
- Analyses historical & other statistical information; and monitors competitor activities, and use this information when developing strategies, comparing industry practices vs. hotel’s practices. Keeps aware of trends, systems, practices for rates, package details, audio visual equipment, IT & communication systems, etc. through trade literature, hotel show and site visits.
- Creates and implements special programs / packages / promotions to achieve greater productivity through
- Increasing average rate per cover
- Increasing occupancy (Maximize Utilization of Function Space)
- Increasing business volume during non-peak periods
- Upselling and maximizing food and beverage banqueting sales, room rental, AV & miscellaneous revenue.
- Main liaison person between clients/ planners, and the hotel operational departments, for all event & catering logistics from planning to execution to after-sales stages.
- Provide after-sales service and to ensure all guests’ feedback are brought to management’s attention and communicated with the respective departments necessary for proper handling. Ensure that all negative feedback are reviewed, investigated and follow-up action is initiated
- From time to time, to recommend and review menus with Executive Chef; updated products from vendors; latest audio-visual / IT equipment or requirements .
- Utilize clients’ feedbacks, provide recommendation and discuss with F&B/banquet operation & Executive Chef on service improvement new set up trends, and competitors creativities & trends– ongoing.
- Offer suggestions to Marketing Communications to promote hotel effectively and efficiently.
- Serve “Executive on Duty” as required.
- In the case where there is complex & severe negative feedback received, able to assist the junior staff to address to dissatisfied clients, respond to complaints and offer suggestions or compensations efficiently. To facilitate on behalf of junior staff on internal departments’ follow-up investigations & actions.
- Be able to coordinate effective and efficient resource allocation through establishing a flexible workforce based on multi-skilling and multi-tasking for the catering sales team.
- Ensure that the department standards are met and that all company policies and procedures are adhered to
- Attends & conducts event briefings, Banquet Event Order (BEO) meetings, Pre-Con meetings, and any other meetings as needed to discuss event arrangements to ensure a seamless event execution
- Handles the Sales & Catering system of Opera
- Under your guidance, ensure all sales proposals and agreements, BEOs, floor plans, etc prepared by the team are accurate and directs all sales activities for the team to ensure they meet the goals of the Revenue Plan
- Provide supervision of job functions assigned to junior staff members and check the effectiveness to each staff when completed
- Assists in producing the Annual S&M/Revenue Plan
- Assists in producing, implementing and monitoring action plans to ensure Revenue Plan objective are achieved
- Works with superior in the preparation and management of the department’s budget. Duties include:
- Participate in the preparation of the hotel's revenue plan and marketing programs
- Assists in co-coordinating the preparation of the departmental annual budget
- Controls and monitors departmental costs on an ongoing basis to ensure performance against budget
- Assists in co-coordinating monthly forecasts
- Assists in the preparation of weekly & monthly catering pick-ups / forecasts, incentive reports and any other reports in order to monitor business flow accurately
- Attends any weekly / monthly financial or revenue related meetings on behalf of the Catering Sales department.
- Assists to review & set Catering Sales pricing for all Food & Beverage, Room Rental, AV or any other event related pricing to be competitive with the market.
- Assists to monitor and control all booking and pricing of function space in order to maximize its optimum usage & yield
- To perform any other duties that may be assigned by the Management.
