We have a fixed term opportunity for a Procurement Operations Coordinator to join us for 6 months. Working within the Procurement Operations Team, this position is vital to the Institute as an integral role that is a key point of contact for Procurement.
About the role:
You will provide support on operational activities to ensure that the scientific and wider Campus community receive excellent customer service, from every interaction, to achieve value for money and excellent standards of supply.
As well as maintaining and developing effective relationships you will be responsible for liaising with internal customers keeping them updated on queries and progressing orders.
This will require the Procurement Operations Coordinator to:
Provide administrative and operational support to the Procurement Team
Deliver first class customer service to our stakeholders and ensure that enquiries are completed professionally and efficiently
Provide support and insight to scientists with non-procurement backgrounds to allow them to focus on their scientific goals.
To build and maintain good relationships with new and existing suppliers and end users to maintain a high quality service to all departments in a complex and evolving environment.
To work independently to ensure a continuous improvement mind-set.
Management of the Procurement Mailbox and Helpdesk – handle requests where appropriate.
Management of Price Files and Framework Agreements for key suppliers.
Management of day to day purchasing and Low Risk Low Value Procurement activities.
Monitor sundry purchase activities through the quotation and delivery processes.
Track the progress of non-stock overdue shipments and escalate problems.
Manage the on boarding process of new suppliers.
Assist suppliers, Finance and Accounts Payable with PO delivery and invoicing queries.
Work closely with Finance, Accounts payable and Finance Systems Team.
Maintain personal / professional development to meet the changing demands of the role.
Essential Skills:
Previous experience working in a similar role/Procurement team.
Strong knowledge of Microsoft Excel and Microsoft Word – confident with Pivot and vLookUp.
Excellent attention to detail.
Ability to make quick decisions and work independently.
A people person with a desire to deliver above average levels of customer service
Strong communication skills; face to face, written and via telephone / email
Strong organisational skills and able to balance your workload with deadlines.
Negotiation and conflict resolution skills.

Job Description
Purpose of the Role:
The position is responsible to deliver operational procurement services to NIQ legal entities by ensuring effective and efficient performance of operational procure-to-pay processes (source to pay as future option) and tasks, supported by procurement systems (SAP Ariba, SRM) and in accordance with agreed SLAs with the business. In addition, the position should be highly focused on operational excellence and process standardization, while raising continuous improvement initiatives and supports projects (processes and operational savings).
You will:
Be accountable for the operational procurement processes of the procurement organization from purchase requisitions (PRs) / shopping carts (SCs) to order confirmation.
Check purchase requisitions for completeness of specifications according to pre-defined compliance and quality criteria.
Clarify differences between purchase orders (POs), delivered quantities and invoices in close cooperation with Procurement and Finance departments and amends/ changes to purchase order data in the system if necessary.
Conduct suppliers’ communication and sends required documents as part of the procurement process.
Ensure compliance to Procurement Guideline, along mandatory tools and in accordance with internal approval guidelines.
Process requests for creation and continuous maintenance of new or change of existing supplier master data.
Perform due diligence checks as part of the supplier onboarding process.
Acts as first level of support for business stakeholders for any queries related to the end-to-end Purchase-To-Pay process.
Be highly focused on operational excellence and process standardization, while raising and executing continuous improvement initiatives.
Execute various Procurement reports and is able to analyze data, draw insights and take corrective actions or generate improvement ideas from the data.
Supports key areas of the wider Source-To-Pay process when needed – contracting and tendering, supplier enablement, development of buying channels and system related content (catalogues, internal forms, etc.)
Support Procurement projects or non-operational tasks and activities as and when required and in accordance with strategic priorities
You have:
Good command of Ariba (or equivalent End To End Source To Pay systems as alternative – Coupa, Ivalua, SRM, etc.)
Operational purchasing skills – 2+ years will be considered as a strong advantage
Demonstrated analytical and problem-solving skills
Very good understanding of customer services landscape
Excellent communication and interpersonal skills
Negotiation skills - optional
Strong computer skills and proficient use of Excel, Word and PowerPoint
Language skills necessary to complete the role – proficiency in English.
