About the role

Coordinating the customs documentation & clearance tasks while also taking care all activities in regards to sea export or import for assigned customer, assist the Administration Officer and various departments to collect and send documents / cheques to vendors, banks, customers, etc.

Key Accountabilities

Custom Clearance

- To coordinate and work with teammates for daily clearances at Northport, Westport, Southport and Customs Bonded Warehouses.
- To attend to Customs examinations, Customs queries, Customs payments and Customs related requirements until task/job is completed.

Custom Declaration

- To perform loading and engage in surveys on discrepancy cargoes when needed.

- To coordinate with relevant authorities and vendors to collect documents, customs receipts, SSR, MAQIS payment receipt, etc for office administrative and customer’s billing

- To attend to Customs Bonded containers and trucks sealing or break seal activities either in the port or any Customs Bonded warehouses.

- To meet Customs Officers, other relevant government officers to facilitate Customers inquiries

Document Dissemination

- Collect documents & cheques from relevant parties.

- Send letters and documents.

- Stamping and endorsement of documents.

- Send all relevant documents / cheques to the Government authority.

Operation Process

- Prepare documentation by entering data into CW1 system.

- Prepare certificates as per shipper’s request.

- Arrange for fumigation and certificate where applicable.

- Submit pre alert & close job file after vessel/flight depart.

- Check the Ports' system to validate the Port opening and closing time.

- Apply 3rd party code for new COD Customer.

- Arrange Payment Voucher to Carrier/Co-Loader/Supplier/Vendor.

- Update Events in CW1.

- Update customers' website/system where applicable.

Seafreight Export Operations Officer will responsible for ocean operation and documentation process.

WHAT YOU WILL BE DOING

Operation

• Coordinate with customer, sales, overseas offices and suppliers to manage sea export bookings as per company working instructions and guideline in timely manner
• Verify buying & selling at the time of bookings
• Response to customer’s enquiry and problem solving
• Ensure services provided as per customer’s KPI and company guideline

Documentation

• Sending shipping instruction to carrier/co-loader
• Process and complete MB/L & HB/L pick up & release
• Issue credit note/debit note/Invoice to customer and overseas office in timely manner
• Checking all expense and cost accrual
• Complete data in system in timely manner
• Pre-alert to overseas office

ABOUT THE ROLE

Air Import Operations Officer will contact with customer and response for Air Import related to operation and documentation process.

WHAT YOU WILL BE DOING

• Contact consignee when shipment is required for green light.
• Scan invoice and supporting docs to customer before sending original billing to them.  
• Create job file and invoice timely and correctly to meet with KPI.
• Update event date in Pegasus as required from operation controller / sales correctly & timely.
• Create PV
• Scan e-Docs.
• Filing all import files at the end of each month.
• Inform sales, customer services and overseas when damaged goods are found.
• Submit intend to file a claim to the carrier as Standard Operating Procedures - Damaged.
• Follow up with overseas when shipment is partial.
• Follow up overseas of TELEX amendment.
• Provide network information as SOP Air Import and rate (cost / selling) when required.
• Ask green light from overseas to accept import duty & tax amount. (DDP)
• Cooperate with accounting for billing and checking litigation.
• Cooperate with operation controller for pending supplier invoices that could not be matched with JIA
• Provide overseas D/N with job file no. and send to operation controller and accounting for matching.
• Provide sales & customer services info and rate (cost/selling) when required.

• Monitor and control Oil & Gas (OG) shipment for Import, Export, & Domestics

About the role

The incumbent will be part of the sustainability team and will support the Sustainability Manager in implementing our climate change strategy & the reduction of Greenhouse Gas (GHG) emissions across our operations, with a focus on Buildings Efficiency.

What you will be doing

• Monitor and conduct regular assessments to report GHG Emissions of our buildings, staying in line with our Climate Change target.
• Propose, develop and/or implement solutions to reduce carbon emissions, not limiting to exploration of efficient technologies, renewable energy sources, and process improvements.
• Be the key user of IoT tools (Schneider EcoStruxure software/Power Monitoring System) to monitor, analyse & anticipate energy consumptions,
• Work together with the facility management teams and support them with advises on energy management, building certifications, procedures & IoT tools usage,
• Support data collection & solutions analysis related to energy, keeping up with local and international environmental regulations to ensure company’s emissions and efforts are compliant.
• Manage, procure and retirement of Renewable Energy Certificates.
• Support sustainability training and awareness campaigns to educate employees and stakeholders.

What you will be doing

Customer Service Support

• Ensure customer’s orders are processed in a timely and accurately manner
• Ensure reports are submitted on a timely to established customer’s schedules
• Investigate root-cause of operation incidents and service failures, make recommendation to the CS Managers / Management for improvements
• Liaise and update customer closely to resolve customer orders or shipments related issues

Cycle Count

• Initial cycle count as per schedule
• Ensure proper keeping of cycle count sheet for audit trail purpose
• Be responsible in reconciling all stock discrepancies

Others

• Inventory Management for Customer’s WMS system
• Ensure all billings are done timely & accurately with all necessary supporting documents
• Adhere to relevant Standard Operating Procedures (SOP) and Work Instructions (WI).
• Maintain and ensure safe keeping and traceability of relevant customer’s document / records
• Capture and update on all CSD KPI measurement, orders management, and orders’ turnaround time metrics etc.
• Collate and compute the monthly KPI report
