A fantastic opportunity is available working for this award-winning Housing Association in the Richmond area, who support the local community with housing needs. They have a reputation for staff well-being and are and employer of choice in the local area. The organisation are now looking to add to their Customer Service team with a Resource Scheduler who will support with neighbourhood or repairs queries and will be hired initially on a 6 month FTC. The role is based close to Richmond, close to a station. This position will be a fully office based position initially so you will need to live in the SW London area.


Your new role
Your new role will involve resolving customer queries, owning them from start to finish across various channels including phone, email, webchat and social media. You will support customers accessing online services, making referrals and signposting, taking reports of anti-social behaviour or dealing with repairs/maintenance queries. A large proportion of this role will involve the scheduling, planning and support with maintenance queries, booking in engineers and a full cycle of resource planning within a housing association environment.
What you'll need to succeed
In order to be successful, you must have recent experience within a Contact Centre ideally with scheduling of repairs, maintenance and planning in an office-based customer service position, ideally with experience in housing, property, construction or public services. You will be within easy reach of Richmond/ South West London and be immediately available to start work as this is a fully on site position.
What you'll get in returnIn return you'll be offered a 6 month fixed term contract with possibility to extend subject to organisational needs and personal performance, you will be offered a competitive salary of £30,000 (pro-rata over the 6 months), other benefits include 27 days holiday plus bank holidays (pro-rata over 6 months), hours are 36 per week either 8-4.15 Monday to Thursday and 8-4pm on Friday or 9-5.15 Monday to Thursday and 9-5pm on Friday, well-being allowance of £30 per month and other fantastic benefits.

About the job:

The role is responsible for successfully coordinating all activities related to Client/Staffing Assistant schedules and staffing open shifts.  They are also responsible for spending part of their time conducting Staffing assistant interviews and assisting HR Coordinator with Staffing Assistant activities.

During the on-call periods in the evening, the role would be responsible for answering incoming phone calls, handling issues with our employees who are on shifts, as well as doing file-audits. During normal business hours, the role would be answering phones (along with our team), staffing shifts, performing HR interviews, etc.

Duties and responsibilities:

• Answer incoming calls in a professional, friendly, and knowledgeable manner
• Create and maintain client and Staffing assistant schedules with an emphasis on creating high-quality matches and the development of extraordinary relationships.
• Monitor, mediate, and log all client and Staffing assistant activity utilizing the software system.
• Follow up with all client and Staffing Assistant issues to ensure their problems are resolved. 
• Enter and maintain accurate client and Staffing assistant records in the software system.
• Follow up and communicate Staffing assistant and client issues to ensure problems are resolved.  
• Recognize and capture opportunities to increase service hours to enhance and/or increase quality care. 
• Staffing on-call after-hours On-Call Coordinator – holidays split up and a regular rotation of every other Thursday.
• Assist the Service Manager in monitoring all Staffing assistants overtime.
• Work to have recurring schedules for all clients to limit the number of Staffing Assistants going and to give consistency to clients and Staffing Assistants with their hours.
• Document all staffing, overtime, clock-in/out issues, scheduling changes, etc. in ClearCare.
• Have monthly One to One meetings with Service Manager

Minimum Requirements:

• Must have at least 3-5 years of experience in a similar field/ role.
• Experience handling employee schedule and concerns is nice to have
• A high level of English language customer service (phone and email) is very important.
• Proficiency in Microsoft Teams & Outlook is required
• Any experience with the software Wellsky (formally ClearCare) would be great, but not required
• Familiarity with Ring Central (phone system) is a plus but not mandatory.
• Must demonstrate excellent oral and written communication skills and the ability to listen effectively.
• MS Office Application experience

This is a 12-month contract role based in Singapore.

Overview:

Utilize our dynamic scheduling system to deliver a customer-focused, efficient, and flexible service for resolving repairs to customers' homes
Coordinate and schedule operatives' appointments on a day-to-day basis, ensuring they have all the necessary information and resources to complete their tasks effectively.
Proactively work with operatives to facilitate a "Right First Time" approach, encouraging and enabling them to complete appointments successfully.
Make informed decisions based on workload, priorities, and current demands to optimize scheduling efficiency.
Collaborate with various stakeholders, including customers, operatives, and management, to ensure smooth and timely completion of appointments.
Maintain accurate records and documentation related to scheduling activities.
