Position Summary
The Race Director will be responsible for all facets of operations for assigned portfolio of races and events. This person will be well versed in large scale, logistically complex events, be able to multi-task and financially responsible. The ideal candidate is capable of working independently, extremely well organized, communicates well and has good working knowledge of triathlons and running events.
Assists with management and organization of Life Time Fitness’ athletic events through the coordination of event operations and production. Upholds the fulfillment of Life Time Fitness’ Mission Statement.
Job Duties/Responsibilities
- Manages and executes all production and operational execution of assigned portfolio of races and events. This includes the races themselves as well as related activities.
- Support event operations and production as needed for events managed by other LTF events offices
- Assist and manage all aspects of the Event Operations project planning life cycle through site planning, event permitting, event sanctioning/certifying, expense tracking and invoice processing, course/event development, vendor coordination, sponsorship activation execution, and overall event operations execution
- Assist and manage all aspects of the Event Production planning life cycle through finish fest coordination, preparation of run of shows, scripts, announcer scheduling, power and sound, entertainment, stage management, sponsorship activation execution, broadcast management, anthem singer coordination and overall event production execution
- Collaborate internally with sponsorship, athlete services, expo manager, registration, volunteers, hospitality, medical and marketing to ensure all operational and production plans integrate seamlessly into the overall event plan
- Develop and create site layouts, event timelines, staff manuals and overall operational and production event plans
- Manage, obtain, train and coordinate event staff for the events
- Procure operational elements, included but not limited to event credentials, bike numbers, radios, toilets, waste services, tenting and tables, staging, barricading and fencing, and medical units
- Coordinate with event photographers and videographers covering participant photos and videos
- Coordinate with National Account Manager and Marketing Manager in creation of event signage
- Prepare post-event reconciliation, reports and recaps with event staff
- Oversee operational and production vendor orders
- Collaborate with all Life Time Athletic Event corporate business divisions in supporting implementation of event plans including but not limited to creative development, communications, merchandise, financial systems, and event series directors
- Liaison externally with local municipalities, city agencies in coordination of event operations
- Prepare and manage all contingency plans, including but not limited to medical, event crisis, event continuity, emergency, weather, evacuation, security, and risk management
- Manage Event Operations expense budgets, complete all required financial reports, deadlines and processes as outlined by the Finance management team
Minimum Required Qualifications
Education:
- Four-year college degree in Business Administration, Sports Management or related field
Years of Experience:
- Minimum 5 years experience in race or event management
- Strong logistical and customer service background
- Experience with large scale complex events including triathlons and half marathon distance events
Licenses / Certifications / Registrations:
Preferred Qualifications
- Experience in sports or entertainment industry
- CPR/AED and First Aid Certification
- Forklift Certification
- Ability to manage to budget and work within established event budgetary guidelines
- Willingness to travel, work weekends and extended hours as needed
- Ability to multi-task, learn quickly and manage multiple projects simultaneously in a fast-paced environment with tight timelines while showing great attention to detail
- Exudes excellent customer service skills and leadership
- High energy individual who is able to work semi-autonomously, comfortable with ambiguity and embraces change
- Strong leadership skills with the ability to motivate and influence all levels of the internal organization and external partners

- Quantifiably demonstrated a track record for driving brand or category growth/development
- Strong MS Office and/or other software with an ability to adapt learning to use new technology
