This role requires an individual capable of navigating the intricacies of grain trading execution, ensuring the smooth and cost-effective execution of contracts, and accurate and timely statuses of operations, and fostering effective communication across various stakeholders.
Responsibilities:
- Manage the operational aspects and documentation related to post-contract execution for grain purchases and freight chartering to minimize risks of the execution.
- Manage purchase contracts and charterparties to ensure their clauses are fully understood and executable to guarantee compliance with legal and fiscal requirements.
- Oversee the timely and accurate processing of trade transactions, ensuring compliance with all relevant regulations.
- Coordinate with sellers, freight owners/brokers, internal/external logistics service providers, vessel agents, finance, surveyors and insurance companies to optimize the post-contract execution of the grain procurement program and ensure all necessary operational information is communicated effectively.
- Collaborate closely with traders within the company involved in negotiating deals with sellers and freight owners to ensure seamless execution.
- Collaborate with team members and be involved with shipment planning and scheduling.
- Maintain accurate records of transactions, contracts, and relevant documentation.
- Stay informed about market trends, regulations, and industry best practices to enhance trade execution strategies.
- Provide regular updates to the trading team and Operational team in Pasir Gudang, Lumut and other logistics service providers in commercial ports on the status of executed contracts and potential risks.
- Manage vessel nomination, shipping instructions, stowage plan, ensuring compliance with required shipping documents, and monitor all ship operational matters (e.g. laycan declaration, loadport/disport clearance, discharging sequence, letter of indemnity issuance, etc).
- Work closely with surveyors to ensure accurate quantity and quality of the cargo to minimize loss and cost, and to maximize trading profit during the importation and delivery.
- Covering marine insurance matters for all incoming shipments. This includes reporting to Insurance Department on all insurance claims, compile & submit shipping documents to facilitate claims, liaising with Insurer and to monitor salvage process for all damaged cargo.
- Issuing purchase order (PO) which includes landed cost for all purchases.
- To perform any other tasks and assignments as directed by the management from time to time.
